How do I carry out a stocktake?

This is how you carry out a stocktake in Pickware for Shopware 6: start, count, review and finish, with links to all details.

A stocktake in Pickware for Shopware 6 follows four steps: start, count, review and finish. You count with the WMS App or in the Shopware Admin, and you do everything else in the Shopware Admin under Warehousing › Stocktake. As long as you don't finish the stocktake, nothing changes in your stock and every counting can still be corrected. When you finish, Pickware only books the differences between the counted and the expected quantity.

Before you start

  • Inactive products: Inactive products with stock are part of the stocktake. If you count their bin location without recording them, they end up at stock 0 when you finish, see Are inactive products counted during a stocktake?

  • Picking boxes and interrupted stocking: Stock in picking boxes, for example from cancelled picking processes or goods receipts that were not completed, is not on any bin location and is not captured by the stocktake. Complete these processes beforehand in the WMS App under Goods receipt in the tab for interrupted processes. Otherwise the stock is booked in additionally later, see How can I restock cancelled picking processes?

  • Open stock transfers and stocking: Complete them beforehand. During the stocktake they can cause errors.

  • Purchase prices: If you need the stocktake for your annual financial statements, check the purchase prices beforehand, especially for variants. If a variant has no purchase price of its own and does not inherit it from the main product, it is valued at €0.

  • Current versions: Update Pickware ERP and the WMS App before a large stocktake. Many errors that show up during a stocktake have already been fixed in newer versions.

What can continue during the stocktake

Your shop keeps working normally during the stocktake. Orders come in, and you can keep picking and shipping, because Pickware only books differences and sales made after counting are preserved.

You should avoid stock transfers between a bin location that has already been counted and one that has not been counted yet. You should also finish the stocktake promptly after counting. Why this is the case and what applies to products without a bin location is explained in What do I need to keep in mind during an ongoing stocktake?

1. Start the stocktake

In the Shopware Admin, open Warehousing › Stocktake and click Start stocktake. Select the warehouse you want to count and, if needed, assign a name, for example "Annual stocktake 2026". Pickware assigns the number automatically.

From now on the stocktake has the state In progress, and you can count for this warehouse in the WMS App and in the Shopware Admin. All states are explained in What states does a stocktake have and what do they mean?

2. Record countings

You count with the WMS App directly in the warehouse or at the computer in the Shopware Admin, for example after counting on paper. You can combine both. You don't have to count the entire warehouse: bin locations you skip remain unchanged when you finish. If you want to count your warehouse in stages, use several small stocktakes one after another, see Rolling stocktake.

Count with the WMS App

In the WMS App, open the menu item Stocktake and select Select bin location. Scan the label of the bin location, then the products on it, and enter the quantity for each. If a product is not located there according to Pickware, simply scan it as well. Hast you don't have labeled bin locations, select Count products in warehouse instead. Every counting in the app is saved immediately.

Attention: Per bin location, a second counting of the same product overwrites the first. If you find 2 more after counting 3, enter 5. Without a fixed bin location, countings are added together instead.

Both counting methods are explained in Stocktake counting in the WMS App.

Count in the Shopware Admin

Open the stocktake and stay in the Uncounted tab. If your quantity differs from the expected amount, double-click in the Counted column, enter your amount and confirm with the checkmark at the end of the row. If the expected amount is correct, you apply it with the blue arrow in the row. Then select the rows via the checkbox and click Apply all selected counts.

Attention: Your amounts are only saved once you apply them. If you switch tabs beforehand, they are lost, see Why is my stocktake counting not being saved?

Filters, bulk apply and all details are explained in Stocktake counting in the Shopware Admin.

3. Review countings and record missed products

All saved countings are in the Counted tab, per product and bin location. The Difference column shows what will be booked when you finish. Use the filter menu to narrow down to large deviations, and it's best to recount these products.

You change an incorrect amount by double-clicking in the Counted column.

You add an overlooked product via the context menu of a counting on the correct bin location with Add product to counting process. This also lets you record products that don't appear in the Uncounted tab at all because they have no stock, see Why can't I see a product in the stocktake? All correction options are described in Correcting stocktake countings and recording missed products.

4. Finish the stocktake

Before you finish, a quick check is worthwhile:

  • Is every counted bin location completely recorded?

  • Have all countings from the Shopware Admin been applied?

  • Have you recounted large differences?

Then click Finish stocktake in the Counted tab and confirm. Pickware notes that the stock of uncounted products is neither adjusted nor set to zero. Only now does Pickware book the differences as stock.

Attention: Products that were not recorded on a counted bin location are booked to stock 0 by Pickware. Bin locations that you did not count at all remain unchanged. After finishing, countings can no longer be changed. More on this in What happens to products that I don't count on a bin location?

While the booking is in progress, the stocktake has the state Booking stock..., afterwards Completed. If it says Completed (with errors), individual differences could not be booked. Via Open stock logging details you can see which products are affected and correct them manually, see What states does a stocktake have and what do they mean?

After completion: documents and reporting day

You export the countings of a stocktake as a CSV file in the Counted tab, for example for your records, see Can I carry out a stocktake via CSV?

Pickware books the differences at the time of completion. There is no automatic back-calculation to a reporting day, such as December 31.

For the value of your warehouse on a specific date, you create a valued inventory, optionally by FIFO, LIFO or weighted average, see How do I carry out a valuation of my inventory? Together with the history of stock movements, your tax advisor can use it to calculate back to the reporting day.

Can I undo a completed stocktake?

No, a completed stocktake cannot be undone. As a workaround, you export the stocktake in the Counted tab, reverse the signs of the differences in the file and import it as a relative stock import, see How do I book stock out or in via CSV?
