What states can a stocktake have and what do they mean?

The five states of a stocktake in Pickware for Shopware 6, what you can do in each state, and what to do when errors occur.

A stocktake in Pickware for Shopware 6 always has one of five states. You can see the current state in the stocktake overview under Warehousing › Stocktake. As long as a stocktake is In progress, you can change everything. As soon as you finish it, Pickware books the differences, and the state shows whether that worked.

In progress

A newly started stocktake is set to In progress. In this state, you count, change and delete countings, or delete the entire stocktake. Nothing changes in your stock yet; booking only happens when you finish.

Booking stock...

Right after you click Finish stocktake, the stocktake switches to Booking stock.... Pickware now books the differences from the Counted tab in the background. For large stocktakes, this can take a few minutes. From this moment on, the countings can no longer be changed.

If the stocktake gets stuck in this state, the message queue of your shop is not working. Usually a permanently running worker is missing. You can display the status of the message queue with a queue extension from the Shopware Store. How to fix the problem is described in What can I do if my message queue is not working?.

Completed

In the Completed state, all differences have been booked. The stocktake remains in the overview, and you can export its countings as a CSV file at any time, for example for your records.

Completed (with errors)

In the Completed (with errors) state, the stocktake is completed, but individual differences could not be booked. All other differences have been booked anyway. The most common reason: so much stock has been booked out since the counting that the difference would have led to negative stock. For example, if you counted 6 units fewer than expected and the bin location is already at 0 when you finish, the −6 can no longer be booked.

Another reason is products that were counted and then set to not stock-managed before the stocktake was finished. They also produce error rows in the log.

Here's how to find the affected products: In the stocktake overview, click Open stock logging details next to the state. The booking runs as an import, and its log lists the reason for every failed row. You can also find the same import in the import/export overview of your Shopware Admin. Check the stock of the listed products in the warehouse and correct it manually.

Failed

In the Failed state, Pickware was unable to carry out the booking. Here too, open the log via Open stock logging details and check the reason given. If you can't resolve it that way, contact our support with the name of the stocktake.
