A sale is the standard process at the POS. Once a sale is completed, the stock is always adjusted in real time in the selected warehouse zone. Below, we walk you through the entire process.
In general, you can select an existing customer account for cash register sales or create a new one directly at the cash register. You can find out more here.
Adding and removing products in the cart
There are three ways to add a product to the cart:
Scan the product's barcode.
Enter a search term at the top left and select a product from the list of search results, for example if the barcode is damaged or missing entirely.
Select a product using the favorites buttons on the left side of the sales screen. The nine best-selling products in your shop are displayed here.
To show more information about the product during the consultation with the customer, or to check the product's availability in your other warehouse zones, tap the pencil icon next to the product in the cart.
Adding manual line items to the cart
To add an additional line item that is not linked to a product in your shop and therefore does not cause a stock change, tap the menu button at the bottom left of the cart and select Manual line item. A window opens in which you can enter the name, quantity and unit price. You can also choose between the VAT rates available in your shop.
The manual item is only added to the cart and recorded on the receipt, but it is not permanently created in your shop.
Adding a cart note
To add a note to the entire cart, tap the menu button at the bottom left of the cart and select Add note. A text field opens in which you can enter any note you like, for example special customer requests or internal information about the order.
After saving, the note is printed on the receipt and displayed in the Shopware Admin as a customer comment in the order overview. It also appears on generated picklists if the order is handled via shipping.
The note does not appear on the invoice. Additional information on the invoice, for example the cart note, can only be added by customizing the Twig template.
You can edit or delete an existing note at any time before completing the purchase by tapping the note icon in the cart again.
Removing products from the cart
To remove a product from the cart, tap the trash can icon next to the product in question.
Which warehouse does the cash register deduct stock from?
The cash register deducts sold products from the warehouse you selected when setting up the POS App. You can change it in the POS App under Settings → Warehouse. It is best to create a separate warehouse for your store and move the stock there beforehand using an own transfer.
Within the warehouse, the cash register deducts stock in alphanumeric order of the bin locations. It is not possible to select a specific bin location when scanning.
What happens if a product has no stock?
Negative stock does not exist in Pickware. If you sell a product without stock at the cash register, the cash register assumes the goods are physically present: it books in the missing stock and immediately books it out again. Whether the cash register displays a warning in this case is determined in the Shopware Admin using the Show warning on overselling setting.
Can I sell product sets at the cash register?
Yes. You can sell product sets at the cash register. As with an online order, they are split into their sub-products, and the stock is deducted via the sub-products. The sub-products appear on the receipt.
Granting discounts and redeeming vouchers
At the cash register, you can grant a discount both for individual line items and for the entire cart. You can also redeem Shopware voucher codes as well as vouchers created with EasyCoupon. You can find detailed information on voucher codes at the POS here.
Granting a line item discount
Tap the pencil icon next to a product in the cart to grant a percentage discount or, alternatively, to adjust the price directly. The changed price only applies to this purchase and is not permanently saved in the system. You then see it in the cart directly next to the original price.
Granting a cart discount
To grant a discount for the entire cart, open the cart menu at the bottom right and tap Cart discount. Here you can now enter either a percentage or an absolute amount. The discount is then displayed on the right above the total.
Redeeming voucher codes
To redeem a Shopware promotion code, open the cart menu and select Voucher. A window opens in which you can enter the code manually. You can redeem as many vouchers per purchase as you like, until the remaining value of the cart reaches €0.00.
Tiered prices and quantity discounts
In the product details in your Admin, you can set tiered prices or a quantity discount for the respective product in the Advanced pricing tab. Here you can configure exactly when these price rules should apply. By default, Always valid (Default) is selected.
Completing the purchase
To complete the sale at the cash register, click Pay now at the bottom of the cart. If the customer takes the goods with them right away, you can proceed directly to selecting the payment method.
Delivery instead of taking the goods immediately
Alternatively, you can offer your customers the option of having their purchase shipped to them. To do this, a customer account must be selected. You can then choose the Delivery option at the top and then pick from all shipping methods that you have assigned to your Sales Channel. At this point, you can also choose the Click & Collect shipping method if your customer wants to pick up the goods at a later time.
Taking the selected shipping method into account, the order is then created in your shop with the order status Open and, if applicable, the payment state Paid. Sales with subsequent shipping can then be picked and shipped like any regular order in your online shop.
If you want to charge shipping costs for this service, you still need to add a corresponding manual line item in the amount of the shipping costs to the cart.
Calculating shipping costs
The cash register does not calculate shipping costs automatically. Besides the manual line item, you can also enter the shipping costs on the order afterwards in the Shopware Admin and only then create the invoice. If you have already created a manual line item for shipping at the cash register, delete it in that case.
Note: If the cart contains products with different tax rates, a flat tax rate on the manual line item is problematic.
Invoices for cash register sales show the row “Shipping costs €0.00”. This is a Shopware default. It can only be hidden by customizing the Twig template for POS orders.
Returns of POS orders
POS orders – including those that are recorded at the cash register, stored and then sent by shipping – can only be returned at the POS. A return via the Admin or WMS is not possible for these orders. Only through a return at the POS are the transactions fully processed and correctly transmitted to DATEV.
You can find out how returns work via the POS in the article: How can I process a return at the cash register?
Choosing a payment method
All payment methods that have been created in the Administration and selected for the corresponding Sales Channel are available to you. You can find help with configuring your payment methods for the cash register here.
In addition to the usual payment methods (cash and card payment), you can also offer purchase on invoice or payment on pickup.
Purchase on invoice
If your customer wants to buy the goods on invoice, this is also possible via the cash register. Simply select Invoice as the payment method. In this case, you can issue an invoice to your customer in addition to the receipt. With payment on invoice, no CashBook entry is written yet, since the payment takes place at a later time, independent of the handover of the goods.
Payment on pickup
To select this payment method, a customer account and the Click & Collect shipping method must be selected. After the cash register process is completed, an order with the state Open is created in the Administration, but no CashBook entry is written yet. You can find more about handling Click & Collect orders in this article.
Can my customer pay partly in cash and partly by card?
A split payment, i.e. cash and card in one sale, is not possible at the cash register because Shopware only supports one payment method per order. Split the sale instead: distribute the products across two sales, or reduce the price in the first sale and collect the rest in a second sale, using a manual line item if necessary. Your customer then receives two receipts.
Alternatively, your customer first buys a voucher with the first payment method and then pays for the product with this voucher and the second payment method.
Payment receipts
As soon as the payment process is completed, the receipt is printed. You can then print the receipt again or generate and print an invoice document for the purchase.
You can also send all generated documents to the customer by email. This is also possible without selecting a customer beforehand, by entering the address manually in this case. However, if you have previously selected a customer account, the corresponding email address appears automatically.
For a card payment via iZettle, no additional card payment receipt is printed alongside the regular receipt, but the card provider and the masked card number appear on the receipt. If you have installed and set up the Zettle App, you can also print a corresponding payment receipt retroactively for every payment made.
Via Done you can complete the process and return to the sales screen, where you can start the next checkout. You can then also find all sales and receipts in your Shopware Admin.
Viewing purchases in the customer account
In the Orders section of their customer account in the online shop, shop customers can view not only their online purchases but also their POS purchases. The view can be narrowed down using a filter:
Online purchases – shows all orders from the current online shop Sales Channel.
In-store purchases – shows all purchases from all POS Sales Channels, regardless of which branch store the purchase was made in.
Displaying POS purchases in the customer account requires a current version of the Pickware ERP, WMS & POS extension. With older versions, the customer account only shows online orders.
