How do I configure Pickware POS in the admin?

In this article, we'll explain where you can configure the Pickware POS extension in your admin.

Create a warehouse for in-store sales

So that the stock levels of each store can be managed separately from your online shop, you should create a corresponding warehouse with its own stock for each store. You can specify which warehouse stock should be deducted from when setting up the POS App.

Check payment and shipping methods

Installing Pickware POS creates, among other things, shipping and payment methods for your store. You can find these under Settings → Shop → Shipping and Settings → Shop → Payment methods, in case you want to check or adjust them.

In the bottom left of the navigation, by default under Pickware POS, you'll find the Sales Channel settings. There, you can specify which (default) payment and shipping methods should be available in your store.

Under SettingsExtensionsPickware POS, you'll find further relevant settings for payment methods:

  • Shipping method for POS sales – This shipping method is used to create sales made at the POS as an order in the Shopware Admin

  • Cash payment method – This payment method is used at the register as the cash payment method.

  • Card payment method – This payment method is used at the register as the card payment method.

  • Additional payment methods – Here you can specify other payment methods that should be available at the register, for example for payments with external card terminals.

  • Payment methods with payment status "Open" – Payment methods that should be created with the payment status Open, for example for purchases on invoice.

If you've created your own shipping or payment methods, these need to be entered accordingly in the Sales Channel or extension settings.

Settings for the register and receipt

Design your receipt

Under SettingsExtensionsPickware POS in the Receipt section, you can customize your receipt. You can upload a logo, enter your VAT ID, and add free text (left-aligned or centered). You can also choose to display the crossed-out price of your products.

If you're using the mPOP cash drawer with integrated receipt printer (2"), it's best to use a black-and-white .png file with a maximum width of 384 pixels. If you're instead using the external mC-Print3 receipt printer (3"), you can use a black-and-white .png file with a maximum width of 576 pixels.

To get, for example, an English-language receipt via the POS App, you need to change your system language to English in the Apple settings.

Individual receipt per Sales Channel

By default, your settings apply to all Sales Channels. If, for example, you want to design your receipt differently for each store, you first need to select the desired Sales Channel at the very top of the Pickware POS settings.

Once a specific Sales Channel has been selected, you can tell from the icon in front of a field's name whether the field is "inherited", meaning whether the information in that field is taken from the global configuration. You can adjust the inheritance status by clicking on the icon.

Settings for the register

Under SettingsExtensionsPickware POS, you'll find the following settings in the Register section:

  • Automatic receipt printing – Determines whether the receipt should be printed automatically after each sale.

  • Group product variants – Determines whether variants of the same product should be grouped together in the register's search results.

  • Show overselling warning – If enabled, a warning is displayed at the register if a product is added to the cart in a quantity that exceeds the product's current available stock or physical stock.

  • Comments for cash deposit/withdrawal – Here you can specify which comments should be available for deposits and withdrawals in the POS App.

Customer account settings

You have the option to select an existing customer account for POS sales or create a new one. If you don't select a customer account, a new anonymous customer account is created for each sale. Alternatively, you can create a dummy customer and select them here. You'll find this setting under SettingsExtensionsPickware POS → Basic settings → Customer account for POS sales.

If you want to offer your customers the option to create a customer account at the register, you need to select a Sales Channel under SettingsExtensionsPickware POS → Basic settings → Sales Channel for email templates for new customers, whose domain will be used in the emails sent to the customer. This Sales Channel must have a storefront, otherwise customers won't be able to complete their registration or confirm newsletter sign-ups.
