At the cash register, you can directly reverse any sale that was made there. You always start the return from the original sale in the Sales history of the POS App.
You can only return POS orders at the cash register, including those that were captured at the cash register and then sent via shipping. This is the only way to ensure the transactions are fully processed and correctly transmitted to DATEV.
Process a return via the Sales history
In the app menu at the top left, you will find the Sales history with all past sales. Select the desired sale, click Return and select the products that are to be returned. You now enter the cart in return mode, with the selected items already in the cart and the relevant customer account already selected. Alternatively, you can scan the corresponding barcode.
Using the Return button, you can select the payment method for the refund and carry out the refund of the money. Afterwards, you have the option to put the goods back into stock and book them directly into a warehouse of your choice. If restocking is not possible, for example because the product is damaged, deactivate the option. To continue, press Save.
In the next step, the cancellation receipt is printed. As with a sale, you can also output it here in DIN A4 format as a cancellation invoice or send it to the customer by email. With Done, you can complete the process.
After the refund has been made, the return is created in your Shopware Administration under Orders → Returns and the stock levels are increased again upon stocking. In addition, a corresponding entry with a negative amount is created in the cash register report.
Why does every return need a sale?
A return at the cash register always needs a reference to an order. A return and a new sale, for example in the case of an exchange, cannot be combined on one receipt. Record them as two separate transactions.
Refund a deposit without a previous sale
If you want to refund a deposit without a matching sale, create a collective order containing the deposit item in a high quantity. You then book deposit returns as a return against this collective order.
Can I undo a return?
No. A return that has been booked cannot be undone. In this case, check with your accounting department whether a credit note or a cancellation invoice is required.
Cancellation invoice in the Shopware Admin
A cancellation invoice for a return is only available in the Shopware Admin if a regular invoice was created for the order beforehand.
EC payment method without a connected terminal
If you use a card terminal that is not connected to the POS App, create your own payment method such as EC in the Shopware Admin under Settings → Extensions → Pickware POS at Additional payment methods. Afterwards, log out of the cash register and log back in so that the payment method is available.
