A sale is the standard process at the POS. As soon as a sale is completed, stock is always adjusted in real time in the selected warehouse. Once payment is completed, every order can be found in the Shopware backend. The documents created (receipt, vouchers, etc.) are stored there as well.

Select/create a customer (optional)
If your in-store customer has already shopped in your online shop or would like to open a customer account with you, you can select the customer at the cash register or create a new one. You can select customers before or while adding items to the cart, or even when you are already in the payment view, as long as you have not yet selected a payment method.
Shopping with a customer account offers your customers the following advantages over anonymous purchases:
The customer group and any resulting different prices are taken into account
Support for the Shopware bonus points system
Offline orders can be clearly allocated to a customer's online orders
Orders can alternatively be sent to the customer by post if they do not want to take the order with them right away
To select a customer, tap Add customer and then search for the customer's name, or choose Create new customer to create a new customer account. In this case, a window opens for entering the customer data. If you like, you can also sign the customer up for the newsletter here and/or flag them for customer card printing. Note that all mandatory fields required to create a customer account in the online shop must also be filled in so that the customer account can be created in Shopware without any problems. Finish your entry using the Save button at the top. Using the forgot-password function, the customer can set the password they want for their account at a later time and log in to your online shop directly.
Note: When a new customer is created, the default payment method stored for the main shop under Settings → Basic settings → Storefront → Login / Registration → Default payment method (ld) (Registration) is assigned automatically.
Add items to the cart
There are three ways to add an item to the cart:
Scan the item's barcode.
Enter a search term at the top left and select an item from the list of search results, for example if the barcode is damaged or missing entirely.
Select an item using the favorites buttons in the left area of the sales screen. The nine best-selling items in your shop are displayed here.
To display further information about the item during a consultation with the customer, or to check the item's availability in your other warehouses, tap the pencil icon next to the item in the cart.
Remove items from the cart
To remove an item from the cart, tap the trash can icon next to the relevant item.
Special line items / manual items
To add an additional line item that is not linked to an item in your shop and therefore does not cause a stock change, tap the menu button at the bottom left of the cart and select Manual line item there. A window opens in which you can enter the name, quantity and unit price. You can also choose between the VAT rates available in your shop. The manual item is only added to the cart and recorded on the receipt, but it is not permanently created in your shop.
Grant line item discounts and adjust the price
Tap the pencil icon next to an item in the cart to grant a percentage discount or, alternatively, to adjust the price directly. The changed price only applies to this purchase and is not permanently saved in the system.
Redeem vouchers
To redeem a voucher, open the cart menu and select Voucher. A window opens in which you can enter the code manually or scan it. If you enter the code manually, make sure to include the hyphens as well. You can redeem as many vouchers per purchase as you like, until the remaining cart value reaches €0.00.
Note: In addition to general Shopware voucher codes, in Shopware 5 you can also redeem individual voucher codes when using the Gift vouchers powered by Pickware plugin. For these vouchers, remaining values are then calculated across all sales channels, for example.
Note: In the settings for the Shopware voucher codes, you can define the conditions under which they can be redeemed. Please note that Pickware POS only supports the restriction of the validity period. All other restrictions, i.e. items, customer groups, shops or manufacturers, do not apply, so the vouchers can always be redeemed despite these restrictions.
Sell individual gift vouchers
If you have installed the Gift vouchers powered by Pickware plugin in your shop, you can also easily sell individual gift vouchers in your branch stores. To do so, simply search for the gift voucher item you want and add it to the cart. Once payment is completed, the desired voucher is generated automatically. It can either be sent by email or printed directly if a DIN A4 printer has been set up (in addition).
Note: If you already have pre-printed gift vouchers in your branch stores that you would like to keep using, you can also have the voucher we generate displayed only on the iPad / iPod and transfer the voucher code by hand to the voucher of your choice.
Select a different shipping method (optional)
In certain cases, your customers may not be able or willing to take the goods with them right away. Below we look at some such possible scenarios and show how they can be handled with Pickware POS.
Customer pays, goods are shipped afterwards
If your customer pays for the goods right away but wants to have them sent later instead of taking them with them, you can select the Delivery option in the Take-away / Shipping method field and then choose one of your available shipping methods.
The order is then created in your shop, taking the selected shipping method into account, with the order status Open and the payment state Paid in full or Paid, and can then be picked and shipped like any normal order in your online shop.
Note: If you want to charge shipping costs for this service, you still need to add a corresponding manual line item in the amount of the shipping costs to the cart.
Customer pays, goods are picked up afterwards
If your customer pays for the goods right away and wants to pick them up at a later time, you can select one of the pickup shipping methods as the shipping method and otherwise complete the payment as with an ordinary sale. You can find more information on this in connection with Click & Collect.
Pre-order / reservation - payment & pickup at a later time
If your customer wants to set certain items aside temporarily in order to pick them up and pay for them at a later time, select the shipping and payment method for Click & Collect (in Shopware 5: the POS - placeholder payment method for Click & Collect defined in the plugin configuration). The order is then created in the shop with order status and payment state Open. The handover of the goods and the payment then take place at the later pickup. You can find more information on Click & Collect here.
Payment and invoicing
To complete the purchase at the POS, tap Pay now at the bottom of the cart.
Select a shipping method
Choose between direct take-away or delivery. Please note that a customer account is required for delivery. You can create a new account or select an existing one at the top left. In the dropdown menu under Delivery, you can choose one of the shipping methods available in your shop.
Select a payment method
Now select a payment method. All payment methods that have been created for the POS and correctly stored in the plugin configuration are available.
Note: With the update to version 5.6, Shopware introduced an additional configuration option, Consistently round net orders to 2 decimal places, in the backend under Basic settings → Storefront → Cart / Item details . If you update from an older Shopware version to version 5.6, the option is deactivated automatically. With a new installation of this version or higher, the option must be deactivated manually, as rounding differences may otherwise occur. If the option is activated, you will receive a corresponding error message in the POS App if you still try to create or pick up an order for net customer groups.
Cash payment
For cash payments, quick buttons and a change calculator are available.
Card payment
For debit or credit card payments with iZettle, follow the instructions on the iPad / iPod. If you process the card payment without iZettle using an external card reader, the payment amount is transmitted automatically.
Payment on pickup
To select this payment method, a customer account and a corresponding Click & Collect shipping method must be selected. With this payment method, an order with the state Open is created in the backend, but no CashBook entry is written yet. You can find out how things continue with orders for pickup in this article.
Purchase on invoice
If your customer wants to buy the goods on invoice, this is also possible via the POS. To do so, simply select Invoice as the payment method. In the next step, it makes sense to use the Change invoice format function to provide your customer with a DIN A4 invoice instead of a receipt. You can find more about payment documents in the next chapter. With payment on invoice, no CashBook entry is written yet, as the payment takes place at a later time, separately from the handover of the goods.
Payment documents
As soon as the payment process is completed, the document is printed. You can then print the document again, generate and print an invoice document for the purchase, or print any gift vouchers that were purchased. Finally, you can also send all generated documents to the customer by email. This is possible even without selecting a customer beforehand, since the address can be entered manually in this case. However, if you have selected a customer account beforehand, the corresponding email address appears automatically.
Note: With a card payment via iZettle, no additional card payment receipt is printed alongside the regular receipt, but the card provider and the masked card number appear on the receipt. If you have installed and set up the Zettle App, you can also print a corresponding receipt retroactively for every payment made.
Using Done you can complete the process and return to the sales screen, where you can start the next checkout process.
Tip: If you want to print the document again after completing the checkout process, you can find all past sales in the app menu under Sales history and have the document output again there. At this point, you can also switch directly to return mode for the order in question.
