How do I set up Pickware POS for trade fairs and pop-up stores?

Pickware POS synchronizes your product and customer data with your Shopware shop in real time. Therefore, a working internet connection is required for selling with Pickware POS. Note that the internet connection is also needed for processing payments via debit/credit card.

Ensure internet connectivity

To ensure internet connectivity, you can use the trade fair's WiFi, if available. Note that a ZVT card terminal must be on the same network as your iOS device. Alternatively, you can purchase a Zettle terminal for trade fairs, which also works without a shared network with the iOS device.

Another option is to use a router with a SIM card to set up your own network. During the trade fair, the organizers may ask you to reduce the strength of your network to avoid potential interference with other networks. Another option is to use an iPhone with mobile data instead of an iPad and connect your ZVT card reader via hotspot.

If you want to evaluate your trade fair sales separately, you can, for example, create a separate warehouse for trade fairs in the Shopware Admin and book stock in and out of your regular warehouse accordingly before and after the trade fair. In addition, we recommend creating a separate Sales Channel with a default customer for POS sales.

Configure tax rates

If the trade fair takes place in a different country, you'll also need to create corresponding tax rates. To do this, navigate to Settings → Shop → Tax in your Shopware Admin. Here, you can add tax rates for different countries. This is done centrally via the standard and reduced tax rates.

By clicking on the corresponding row, you can set a standard tax rate, a reduced rate, and a highly reduced rate for each country. Create the desired tax rates in this way.

In the product properties, you can then assign the standard or reduced tax rate to a product. For tax-free products, the highly reduced tax rate of 0% must be assigned. When selling at the POS, the correct tax rate is then selected based on the country stored in the Sales Channel.

Note on price calculation

The gross and net prices in the product details are linked to each other when the lock icon is displayed as shown in the image above. This means that when you adjust the gross or net price, the other price changes accordingly. The basis for this is the tax rate entered at the very top of the tax configuration.

At the POS, the customer pays the gross price stored here, regardless of their location. However, the associated net price is calculated based on the applicable country tax rate and may therefore differ from the price displayed in the Shopware Admin.
