When you open the Pickware POS App for the first time, you can either start the configuration via Start Setup or start demo mode. This configures your device to automatically connect to our demo shop, where you can test all functions for as long as you like. To connect your device to your actual shop, tap Start Setup. The setup wizard will guide you through all the necessary steps.
Note: If you already used the app before the introduction of fiskaly, please refer to the notes further down in this article.
Login / Create Pickware Account
To use the app, you need a user account. You can create this directly in the app. To do so, follow these steps:
Click on Create Account and select Shopware 5 in the next window.
Enter the URL of your shop and activate your device in the backend under Settings → Device Management. When a device is connected to the shop for the first time, it must be manually activated in the backend under Settings → Pickware Device Management. If Device Management is not visible in the backend, follow the steps described here.
Once your device has been activated, click Next.
Then log in with your backend user and enter your email address in the following window.
You will now receive an email from us. To confirm your address and set up your account, click Confirm Email Address. You will then be taken to the Pickware Business Platform, where you can set your password and enter your company details. Then return to the app and log in with the account you just created.
If you want to change your email address at a later time, you can do this at any time by logging in again at https://account.pickware.de/login and setting the new address there.
Important: Didn't receive an email? Then please follow the steps described in this article.
Selecting branch and subshop/Sales Channel
In the next step, you can select the branch for which you want to register your cash register and your iPad. If available, select an existing branch from the list or create a new one. If your branch is not located in Germany, you only need to provide a name and the country. If the branch is located in Germany, it is subject to the KassenSichV (German cash register security ordinance) and additional information is required.
Once you have entered all the necessary data, click Next and select the corresponding Shopware subshop or Sales Channel in the next window. If you haven't created any subshops/Sales Channels yet, you can also create a new one at this point. You can also select the shipping and payment methods to be used here.
Selecting a cash register
In the next step, you select the cash register you want to link your iPad to. You can either choose an existing entry from the list or create a new cash register. A cash register can only ever be connected to one device at a time. If the selected cash register is already linked to another device, a corresponding notice will appear, which you must confirm before the assignment is changed.
Afterwards, you can select the desired warehouse. If you want to change this later, you can do so via the settings in the app menu.
Hardware setup
In the following windows, you can now connect a receipt or document printer as well as a card reader to your cash register. You can also skip the setup for now and complete it at a later time via the Settings entry in the app menu. There you can also adjust the device settings if needed.
Receipt printer
To add a receipt printer, it must first be connected to the iPad via Bluetooth. Then tap Select Printer in the Receipt Printer section to display all available devices nearby and select the desired device. Finally, you can perform a test print for your connected printer using the button at the bottom, or continue without a test print.
Document printer
Tap Select Printer in the Default Document Printer section. All printers available on your network will now be listed, and you can select the desired printer. If the printer is not displayed, you can add it manually via Add Document Printer by entering the URL. You can find further help on setting up printers in this article.
Once you have selected a printer, you can make various settings such as tray selection and paper format, depending on your printer's capabilities, and either perform a test print or continue directly.
Card reader
In the next step, you can connect a card reader. To do this, the POS App requires access to your local network. To enable this, open the iOS settings and then, under Allow Access for the POS App, activate the checkbox for Local Network. If you have already connected a Zettle by Paypal card reader to your app before, it will be directly available for selection. Otherwise, tap Add Card Reader and select whether you want to connect a Zettle by Paypal device or a ZVT device, then follow the respective steps.
Note: The PIN required for setup is the cashier PIN. You will receive this from your terminal provider.
If you add a ZVT device, you have the option, via Receipts on Receipt Printer, to have your card payment receipts also printed via the receipt printer. If this option is disabled, the receipts will instead be printed via the card terminal.
You can find further information on setting up Zettle by Paypal on the provider's support page. Once your card reader is connected, tap Next to complete the profile setup.
Note: If you offer card payments in your shop, you should, after configuring the corresponding devices, select the payment method to be used in the plugin configuration or Sales Channel settings (Payment Method for ZVT Card Terminal or iZettle Payment Method).
User selection
To use the app, you now need to log in with your Shopware user. You can find out which permissions are needed for this in this article.
Creating a fiskaly account
Once you have created a branch in Germany, you will automatically receive an email from fiskaly to set up your fiskaly account. With your fiskaly account, you gain access to the fiskaly dashboard, where you can view your registered branches, cash registers, and completed transactions. Click the link in the email to complete your details. Once your cash register has been successfully registered, you will receive a corresponding email from fiskaly. If you register additional cash registers later, you will receive a confirmation email for each cash register again.
Notes for users of older app versions
Updates
If you update the app to version 6.1.0, for example because you have automatic app updates enabled on your device, an update of the POS plugin is also required afterwards for the app to continue working. If you have only updated your POS plugin, you can continue to use the app as usual. However, please note that starting April 1, 2021, you are legally required to certify your cash register transactions. Therefore, you should update your app as soon as possible and carry out the necessary configuration steps.
Adjusting the configuration
If you have already set up and used the app before, you can initially log in and process sales as usual. In the app menu, you will find a link in the yellow notice box to adjust your configuration. There you can also create your Pickware account. The steps involved are described further up in this article.
Important: Before you carry out the migration, a cash register closing must be performed to avoid open cash book entries after the transition. To do this, proceed as follows:
Withdraw the entire amount of money in your cash register.
Perform a cash register closing.
After you have carried out the steps described above and set up your new cash register, you can deposit the previously withdrawn amount again.
We have compiled further background information on the effects on your cash registers, cash register reports, and subshops or branches in this article for you.
Starting demo mode & resetting the configuration
Your device can only ever be connected to one shop at a time. If you want to connect it to a different shop, you must reset the configuration. Demo mode is an exception to this, meaning you can switch back and forth between your configured shop and demo mode at any time without losing the configuration.
To reset the configuration or switch to demo mode, you must first log out of the app. To do this, open the menu at the top left and tap this icon:
You will then return to the user selection window, where you can reset the configuration or switch to demo mode using the gear icon at the top right.
