How do I set up the POS App for Germany?

Due to the fiscalization of all point-of-sale systems in Germany and Austria, the setup process for your POS system differs depending on whether your store is located in Germany, Austria, or a country without fiscalization requirements.

To use the POS system, we recommend using an iPad, but you can also use an iPod or iPhone. You can find more about the POS hardware we recommend here. You can easily download the POS App for the POS system from the App Store.

Starting setup

When you open the Pickware POS App for the first time, you can either start the configuration via Start Setup or start demo mode. This configures your device so that you're automatically connected to our Shopware 6 demo shop, where you can test all functions for as long as you like. Please note that not all functions available in POS for Shopware 6 are also available for Shopify.

To connect your device to your actual shop, tap Start Setup. The setup wizard will guide you through all the necessary steps.

Pickware Account login

To use the app, you need to log in with your Pickware Account.

Connecting an iOS device

Next, your iOS device is registered to your account. If connecting the new iOS device would exceed the number of POS registers you've booked, you'll receive a corresponding message and will need to either delete an existing device or increase the number of registers to continue. Devices and registers can be managed in your Pickware Account.

Selecting a store

In the next step, you can select the store for which you want to register your register or iOS device. If available, select an existing store from the list or create a new one. If your store isn't located in Germany, you only need to provide a name and country. If the store is located in Germany, it's subject to the KassenSichV (German Cash Register Anti-Tampering Ordinance) and additional information is required. Then click Next.

Selecting a Sales Channel

In the next window, select the desired Sales Channel. If you haven't created a Sales Channel yet, you can create a new one at this point. You can also select the shipping and payment methods to be used.

Selecting or creating a register

In the next step, you select the register you want to link to your iOS device. You can select an existing entry from the list or create a new register. A register can only ever be connected to one device at a time. If the selected register is already linked to another device, the previous link will be removed and the previous register can no longer be used. We therefore recommend only overwriting an existing link in exceptional cases.

Selecting a warehouse

Next, you can select the desired warehouse. If you want to adjust this later, you can do so via the settings in the app menu.

Setting up hardware

In the following windows, you can now connect a receipt/document printer as well as a Zettle card reader to your register. You can find all the details in this article. If you don't have suitable hardware yet, you can skip these steps for now and come back to them later via the Settings entry in the app menu. You can purchase our recommended hardware in our shop.

After completing the app setup, you can log in with your Pickware credentials and, for example, try out the sales functions.

Creating a Fiskaly account

If you've created a store in Germany, the KassenSichV applies and your register requires a technical security device (TSE). If you've completed the setup successfully, an account with Fiskaly — our partner for connecting cloud-based TSEs — has already been created for you, and you just need to confirm your email address with Fiskaly. You should now already have an email with a confirmation link in your inbox. Click the link in the email to complete your details.

With your Fiskaly account, you get access to the Fiskaly Dashboard, where you can view your registered stores, registers, and completed transactions. Once your register has been successfully registered, you'll receive a corresponding email from Fiskaly. If you register additional registers later, you'll receive a confirmation email for each register again.

Recommended settings for your iOS device

For convenient use of our apps in daily operations, we recommend also making the following settings on your Apple devices:

  • Under Settings → Face/Touch ID & Passcode, disable the mandatory passcode entry to unlock the display.

  • Set the automatic display lock under Settings → Display & Brightness to, for example, five minutes, or turn it off completely.

  • Reduce the display brightness to achieve longer battery life for the devices.

  • Check that the settings for your country are stored under Settings → General → Language & Region.

  • Move the POS App to the quick access bar at the bottom of the display.

We also recommend using the Pickware apps with sound turned on, to get audio feedback when scanning barcodes. Please note that, in addition to the volume control in the operating system, iPhones have a mute switch on the left side that must be turned off.

Keeping apps up to date

We generally recommend disabling automatic app updates on your iOS device and only performing updates manually.

In general, you should make sure to install all updates promptly to benefit immediately from new features and small improvements.

Additional settings in Pickware Admin

Once the app is set up, you should check the settings of your Sales Channel and, if needed, create any missing shipping and payment methods in the Admin and assign them to the Sales Channel. If you haven't already done so, you can also book stock for your store's warehouse. We recommend maintaining products and stock via the Shopify Admin and then syncing them to Pickware.

Demo mode

When you start the app for the first time, you can choose between setup and demo mode on the start screen. Demo mode connects your device to our demo store, where you can test the app's functions as much as you like.

A device can only ever be connected to one shop, with the demo shop being an exception. To switch between demo mode and your regular shop, open the app menu in the top left and log out. On the login screen, you can now start demo mode via the gear icon in the top right.

Before resetting a register, remember to perform a register closeout. A retroactive register closeout isn't possible. You can find more information on how to proceed if you've forgotten to do this here.
