Set up the POS App

Shopware 5 — Connect your device to your shop and set up your Pickware account. The setup wizard guides you step by step through activation and login.

When you open the Pickware POS App for the first time, you can either start the configuration via Start setup (Einrichtung starten) or start the demo mode. The demo mode configures your device so that you are automatically connected to our demo shop, where you can test all functions for as long as you like. To connect your device to your actual shop, tap Start setup (Einrichtung starten). The setup wizard guides you through all the necessary steps.

Note: If you were already using the app before fiskaly was introduced, please follow the instructions further down in this article.

Login / Create a Pickware account

To use the app, you need a user account. You can create it directly in the app. Follow these steps:

  1. Click Create account (Account erstellen) and select Shopware 5 in the next window.

  2. Enter the URL of your shop and activate your device in the backend under Settings → Device management (Geräteverwaltung). When a device is connected to the shop for the first time, it must be activated manually in the backend under Settings → Pickware Device management (Einstellungen → Pickware Geräteverwaltung). If the device management is not visible in the backend, follow the steps described here.

  3. After your device has been activated, click Continue.

  4. Then log in with your backend user and enter your email address in the following window.

  5. You will now receive an email from us. To confirm your address and set up your account, click Confirm email address. You will be taken to the Pickware Business Platform, where you can set your password and enter your company details. Then return to the app and log in with the account you just created.

If you want to change your email address at a later point, you can do so at any time by logging in again at https://account.pickware.de/login and setting the new address there.

Important: Didn't receive an email? Then please follow the steps described in this article.

Select a branch store and subshop/sales channel

In the next step, you can select the branch store for which you want to register your cash register and your iPad. If one exists, select an existing branch store from the list or create a new one. If your branch store is not located in Germany, you only need to enter a name and the country. If the branch store is located in Germany, it is subject to the KassenSichV (German Cash Register Security Ordinance) and further details are required.

After you have entered all the required data, click Continue and select the corresponding Shopware subshop or sales channel in the next window. If you have not yet created any subshops/sales channels, you can also create a new one at this point. You can also select the shipping and payment methods to be used.

Select a cash register

In the next step, you select the cash register you want to link your iPad to. To do so, you can choose an existing entry from the list or create a new cash register. A cash register can only be connected to one device at a time. If the selected cash register is already linked to another device, a corresponding notice appears, which you must confirm before the allocation is changed.

You can then select the desired warehouse. If you want to change it later, you can do so via the settings in the app menu.

Hardware setup

In the following windows, you can connect a receipt printer or document printer as well as a card reader to your cash register. You can also skip the setup for now and do it at a later point via the Settings entry in the app menu. There you can also adjust the device settings if needed.

Receipt printer

To add a receipt printer, you must first connect it to the iPad via Bluetooth. Then tap Select printer (Drucker auswählen) in the Receipt printer (Bondrucker) section to display all available devices nearby and select the desired device. Finally, you can print a test page for your connected printer using the button below, or continue without a test print.

Document printer

In the Default document printer (Standard-Dokumentendrucker) section, tap Select printer (Drucker auswählen). All printers available in your network are now listed and you can select the desired printer. If the printer is not displayed, you can add it manually by entering its URL via Add document printer (Dokumentendrucker hinzufügen). You can find more help on setting up printers in this article.

Once you have selected a printer, you can adjust various settings such as tray selection and paper format, depending on what your printer supports, and also perform a test print or continue right away.

Card reader

In the next step, you can connect a card reader. For this, the POS App needs access to your local network. Open the iOS settings and then, for the POS App, check Local Network (Lokales Netzwerk) in the Allow access (Zugriff erlauben) section. If you have previously connected a Zettle by Paypal card reader to your app, it is directly available for selection. Otherwise, tap Add card reader, choose whether you want to connect a Zettle by Paypal device or a ZVT device, and follow the respective steps.

Note: The PIN required for setup is the cashier PIN. You receive it from your terminal provider.

If you add a ZVT device, the Receipts on receipt printer (Belege auf Bondrucker) option lets you have your card payment receipts additionally printed on the receipt printer. If the option is disabled, the receipts are printed on the card terminal instead.

You can find further information on setting up Zettle by Paypal on the provider's support page. Once your card reader is connected, tap Continue to complete the profile setup.

Note: If you offer card payment in your shop, you should select the payment method to be used after configuring the corresponding devices in the plugin configuration or sales channel settings (Payment method for ZVT card terminal (Zahlungsart für ZVT-Kartenterminal) or iZettle payment method (iZettle Zahlungsart)).

User selection

To use the app, you now need to log in with your Shopware user. You can find out which permissions are required for this in this article.

Create a fiskaly account

As soon as you have created a branch store in Germany, you automatically receive an email from fiskaly to set up your fiskaly account. With your fiskaly account, you get access to the fiskaly dashboard, where you can view your registered branch stores, cash registers, and completed transactions. Click the link in the email to complete your details. Once your cash register has been registered successfully, you will receive a corresponding email from fiskaly. If you register additional cash registers later, you will receive a confirmation email for each cash register again.

Notes for users of older app versions

Updates

If you update the app to version 6.1.0, for example because you have enabled automatic app updates on your device, an update of the POS plugin is also required afterwards so that you can continue to use the app. If you have only updated your POS plugin, you can continue to use the app as usual. Please keep in mind, however, that from April 1, 2021, you are legally required to certify your cash register transactions. You should therefore update your app as soon as possible and carry out the necessary configuration steps.

Customizing the configuration

If you have already set up and used the app before, you can first log in and process sales as usual. In the app menu, you will find the link for customizing your configuration in the yellow notice box. You can also create your Pickware account there. The steps you go through are described further up in this article.

Important: Before you perform the migration, a cash register closing must be carried out to avoid open CashBook entries after the changeover. To do so, proceed as follows:

  1. Make a withdrawal of the entire cash amount in your cash register.

  2. Perform a cash register closing.

  3. After you have carried out the steps described above and set up your new cash register, you can pay the previously withdrawn amount back in.

We have compiled further background information on the effects on your cash registers, cash register reports, and subshops or branch stores in this article.

Start demo mode & reset the configuration

Your device can only be connected to one shop at a time. If you want to connect it to a different shop, you must reset the configuration. Demo mode is an exception, i.e. you can switch from your configured shop to demo mode and back at any time without losing the configuration.

To reset the configuration or switch to demo mode, you must first log out of the app. To do so, open the menu at the top left and tap this icon:

Logout.png

You are now back in the user selection window, where you can reset the configuration or switch to demo mode via the gear icon at the top right.
