The order status only changes automatically after shipping if the matching Pickware Flows are active in the Flow Builder. If a shipped order stays on In progress or Open, check these flows first.
Which flows set the status after shipping?
After shipping, two Pickware Flows in the Shopware Flow Builder set the delivery and order status:
Pickware ERP Completely Shipped sets the delivery status to Shipped. The flow is triggered when picking is completed in the WMS App or when the order is shipped in the Shopware Admin.
Pickware ERP Transition order to "Done" after shipping sets the order status to Completed after shipping.
In the Flow Builder in the settings of your Shopware Admin, check whether both flows are active, and activate them if necessary. To find out what the individual flows do, see What do the Pickware Flows do?
Does a manual status change book out stock?
No. The order status is decoupled from shipping. If you set the status manually, no stock is booked out. This also applies to bulk edit in Shopware and to status changes from a third-party system, e.g. an external POS system.
To have the stock booked out, ship the order using Ship order in the Shopware Admin or via the WMS App. This is also possible via the API. For how shipping works, see How do I ship an order?
Special cases
Orders with custom or non-stock-managed line items
For custom or non-stock-managed line items, Ship order is greyed out. In this case, it is enough to manually set the order status to Completed and the delivery status to Shipped.
Orders with automatically shipped products
If an order consists only of products that are automatically marked as shipped, e.g. e-tickets or digital products, Pickware ERP Completely Shipped is intentionally not triggered. This way, no shipping confirmation is sent to your customer.
In addition, a product is only automatically marked as shipped if enough stock is available. If stock is missing, e.g. for a voucher without stock, the order cannot be fully picked. In this case, book in stock or turn off stock management for the product.
The status is reset later
If the status of an order is reset later, this may be caused by another plugin or flow, e.g. a payment app that reopens orders. Check your other plugins and flows that change the status. Do not use stock and shipping functions of other plugins in parallel with Pickware.
If an email from your flow does not arrive or the invoice is missing as an attachment, see Why doesn't my flow send an email or invoice?
