What do the Pickware Flows do?

Shopware 6 — Pickware automatically installs Flows that update order statuses and send daily stock alerts. See which Flows exist and how they work.

When you install Pickware, a few new Flows are automatically added in the Flow Builder. Here is a short overview of what these Flows do:

Pickware ERP Partially Shipped

When this Flow is active, the delivery status of an order is automatically set to Partially shipped as soon as the order has been partially shipped. You can find more about partial deliveries in the WMS App here.

Pickware ERP Completely Shipped

When this Flow is activated, the delivery status of the order is automatically set to Shipped as soon as the order has been shipped.

Pickware ERP Partially Returned

If this Flow is activated, the delivery status of the order is automatically set to partially returned when a partial return is generated.

Pickware ERP Completely Returned

If this Flow is activated, the delivery status of the order is automatically set to returned when a complete return is generated.

Pickware ERP Transition order to "Done" after shipping

If this Flow is activated, the order is automatically set to Completed once the order has been shipped.

Pickware ERP Reorder Mail

If this Flow is activated, an email is sent daily that lists all products whose current stock is less than or equal to the defined reorder point. You can set the time this email is sent under Settings → Extensions → Pickware ERP. You can find more details here.

Do the Pickware Flows have to be active?

Yes. After shipping, Pickware sets the delivery and order status via these Flows. Only when picking starts does Pickware set the order status to In progress itself. In the Shopware Admin, check under Settings → Shop → Flow Builder whether the Flows you want to use are active.

After you activate a Flow, it applies only to future orders, not retroactively. For orders that have already been shipped, use bulk edit in the order overview to set the correct status. You can find them by filtering the order overview for the order status In progress and the delivery status Open.

If the status does not change after shipping, find out what you can do in Why does the order status not change automatically after shipping?

When is Pickware ERP Completely Shipped not triggered?

If an order consists only of items that are automatically marked as shipped, e.g. e-tickets or digital products, Pickware ERP Completely Shipped is intentionally not triggered. This way, no shipping confirmation is sent to your customer.

Which emails do the Flows send?

Emails to your customers come from Flows in the Flow Builder, usually from the default Shopware Flows that react to a status change, or from your own Flows. The Pickware Flows that come with the plugin only set the delivery or order status. You can customize or deactivate both. If an email does not arrive, Why does my Flow not send an email or invoice? can help.

What do I do if a status is set twice?

If a status is set twice within milliseconds, two Flows are reacting to the same status change. In that case, check whether there are duplicate Flows and whether other plugins react to the status Shipped.

If you use multiple Sales Channels, branch the existing Flow using a rule instead of creating many parallel Flows.
