Which Pickware-specific triggers are available in the Flow Builder?

Shopware 6 — Use Pickware-specific triggers such as returns and shipping events in the Flow Builder to automate warehouse processes and notify customers.

In addition to the general Flow Builder triggers from Shopware, you also have Pickware-specific triggers available. These let you tie automations directly to warehouse processes, shipping events, and returns in Pickware.

Return – Fully returned

What?

Triggered when a return has been fully received, meaning all items contained in the order have been returned.

When?

As soon as the return

  • has been confirmed in the Shopware Admin via the "Receive return" button

    or

  • has been saved in the Pickware WMS App (the return is automatically marked as received in the process).

If an open return already exists, saving it in the app marks it as received.

Why?

- Automatic notification to the customer about the complete goods receipt
- Creating an invoice correction or booking a refund
- Updating internal return statistics

Return – Partially returned

What?

Triggered when only some of the ordered items have been received, meaning a partial return has come in. The order status remains partially fulfilled.

When?

As soon as the partial return

  • has been confirmed in the Shopware Admin via the "Receive return" button

    or

  • has been saved in the Pickware WMS App (here too, the return is automatically marked as received in the process).

If an open return already exists, saving it in the app marks it as received.

Why?

- Automatic notification about the partial return
- Adjusting order status and stock
- Documenting partial invoice corrections

Shipping – Fully shipped

What?

Triggered when all items of an order have been fully shipped. The shipping status of the order changes to fully shipped.

When?

After the last shipping process is completed, e.g. by scanning the last item in the shipping process.

Why?

- Shipping confirmation to the customer
- Automatic invoicing or booking of the sale
- Handover to the accounting system or ERP

Shipping – Partially shipped

What?

This trigger fires when only part of the order has been shipped – for example, with partial deliveries.

When?

As soon as a partial shipment is completed in the shipping process.

Why?

- Notification to the customer about a partial delivery
- Information to purchasing or the warehouse that remaining stock is still outstanding
- Creating an interim invoice or partial delivery documentation

Reorder – Reorder email sent

What?

Triggered as soon as a reorder has been sent to a supplier by email.

When?

Right after the email is sent from the Pickware Admin or from within purchasing.

Why?

- Internal notification that the reorder has gone out
- Automatic documentation in the purchasing system
- Setting a reminder if no delivery has arrived after x days

Which triggers are not available?

Not every step in Pickware is a trigger in the Flow Builder. There is no Pickware trigger for the following cases:

  • Creating a return: The triggers Return – Fully returned and Return – Partially returned only fire once the goods have been received in the warehouse. There is no trigger for creating or announcing a return.

  • Status in the WMS App: Steps such as putting an order on hold or completing picking are not triggers. You can use the change of the order status to In progress instead.

The trigger Order → Return → Created (Order return created) comes from the Shopware Commercial plugin, not from Pickware. For returns that you process with Pickware, use the change of the delivery status to Returned or Partially returned instead.

Which data is available for returns?

For the trigger Return – Partially returned, the data of the entire order is available to you. The returned line items are not available individually.

Tracking link in the shipping email

Pickware writes the tracking code into the Shopware default field for tracking codes when shipping. You therefore include it in the shipping email via the standard Shopware mechanism in the mail template. Use Pickware ERP Completely Shipped as the trigger.
