Checking Open Orders and Planning Shipments with Pickware AI

The same thing every morning: Which orders need to go out today? Is everything in stock? Where are the bottlenecks? With Pickware AI, you can clarify this in a few prompts — instead of clicking through order lists, stock overviews, and supplier pages.

This article shows you a typical workflow that you can run through with Pickware AI in just a few minutes.

Querying open orders

Start with a simple question to Pickware AI:

Wie viele offene Bestellungen haben wir? Welche müssen heute raus?

Pickware AI shows you the number of open orders and highlights which of them are particularly urgent — for example, because they've already been waiting for several days. You can also ask a more targeted question:

Zeig mir alle offenen Bestellungen, die älter als 3 Tage sind.

Checking whether everything is in stock

Before you start with shipping, check whether there's enough stock available for the open orders:

Ist für alle offenen Bestellungen alles auf Lager?

Pickware AI compares the open order line items with your current stock levels and shows you where something is missing. If products aren't available, you can ask directly:

Checking incoming stock

If stock is missing, it's worth taking a look at open supplier orders:

Triggering a reorder

If no incoming stock is planned, you can prepare a reorder directly:

Estimating delivery times

To be able to inform affected customers, ask about the expected delivery time:

Tips for this workflow

  • Proceed step by step — Ask the questions one after another instead of packing everything into a single prompt. This way, Pickware AI delivers more precise results at every step.

  • Narrow down time periods — "Orders from the last 7 days" delivers more targeted results than "current orders".

  • Check results — Especially with numbers and totals, you should double-check the results in the admin before acting on them.

  • Ask follow-up questions — If an answer doesn't fit or is too general, narrow down the question further or rephrase it.
