Pickware AI is an AI-powered chat assistant built directly into your Pickware/Shopware Admin. Instead of clicking through menus and lists, you ask your questions in natural language — and Pickware AI provides you with answers, analyses, and actions based on your shop and inventory data.
What can Pickware AI do?
Pickware AI accesses your shop's data and answers questions about orders, stock, suppliers, shipping, and picking. Some examples:
Check orders – "How many open orders do we have? Which ones need to ship today?"
Analyze stock – "Which products are below the reorder point and need to be reordered?"
Keep track of suppliers – "What did we order from supplier XY last quarter?"
Create daily reports – "Where do I have a problem today – stock, shipping, or picking?"
Analyze returns – "Which product groups have the most returns?"
Pickware AI is aware of the context of the page you currently have open in the Admin. For example, if you have an order detail page open, you can ask questions directly about that order without having to provide the order number.
If you want to work on two matters in parallel, you can do so in separate chat windows to keep track of everything at all times.
Pickware AI uses the existing functions of your Pickware and shop system and makes them accessible via chat. Instead of clicking through menus, you describe what you want to do — Pickware AI translates your request into the appropriate actions and can intelligently combine multiple steps in the process. Pickware AI works with the existing data and functions of your system. By intelligently combining these building blocks, it can also solve tasks for which there is no single button in the Admin — such as calculating the total weight of an order or summarizing a supplier's open items. However, Pickware AI cannot create new data fields or functions that don't exist in Pickware.
Activating Pickware AI
The first time you open the Pickware AI chat, an info window with details about data processing appears. Read through the information and confirm to activate the chat. After activation, you can open the chat at any time via the chat icon in the Pickware Admin.
Pickware AI is currently in the preview phase. This means the feature is continuously being developed and improved. The scope of functions and availability may still change.
Security and permissions
Pickware AI works with the permissions of your user account. This means: Pickware AI cannot query data that you're not allowed to see in the Pickware Admin. Requests are sent to an external AI service for processing. Your data is not used to train AI models.
You can find more details on data processing in the article Data protection and data processing with Pickware AI.
Limitations and notes
Pickware AI is based on an AI language model. Keep the following limitations in mind:
Answers can be incorrect or incomplete. Check results before acting on them — especially for figures and calculations.
Pickware AI is not suitable for legally binding information or accounting purposes.
For extensive bulk changes (e.g., setting tags for many products), processing can take some time.
Chat histories are currently not saved. Every chat starts as a new session — previous conversations cannot be retrieved.
Use the feedback buttons in the chat to flag incorrect or particularly helpful answers. Your feedback helps continuously improve Pickware AI.
Pickware MCP Server
In addition to the built-in chat, you can also connect Pickware to AI assistants such as Claude or ChatGPT via the MCP Server. This lets you work with your Pickware data directly from your preferred AI assistant — independent of the Pickware Admin. You can find all the details on setup in the article Connecting the Pickware MCP Server.
Tips for good prompts
The more precise your question, the better the result. Here are some tips:
State time periods – "Orders from the last 7 days" delivers more targeted results than "current orders".
Provide specific values – "Products with fewer than 5 units in stock" instead of "products with low stock".
Proceed step by step – For complex tasks, several questions that build on each other deliver better results than a single long question.
Ask follow-up questions – If an answer doesn't fit, rephrase the question or narrow it down further.
