Pickware AI is an AI-powered chat assistant built directly into your Pickware/Shopware Admin. Instead of clicking through menus and lists, you ask your questions in natural language — and Pickware AI gives you answers, analyses and actions based on your shop and warehouse data.
What can Pickware AI do?
Pickware AI accesses your shop's data and answers questions about orders, stock, suppliers, shipping and picking. Here are a few examples:
Check orders – "How many open orders do we have? Which ones need to go out today?"
Analyze stock – "Which products are below the reorder point and need to be reordered?"
Keep an eye on suppliers – "What did we order from supplier XY last quarter?"
Create daily reports – "Where do I have a problem today – stock, shipping or picking?"
Analyze returns – "Which product groups have the most returns?"
Analyze manual stock bookings – "Can you give me a list of all items and when they were manually booked out?" gives you the items with date and quantity, which you can then export.
Pickware AI knows the context of the page you currently have open in the Admin. On detail pages, you can see this at the bottom of the chat as a badge: for example, if you have an order detail page open, you can ask questions about that order directly without entering the order number.
On overview and list pages, no badge is shown. Pickware AI still knows the context of the list and the filters set there, though — you can ask about it and narrow down the selection further in the chat.
It is not possible to deliberately hide the context. If you want to ask a question unrelated to a page, switch to an area without context beforehand, for example the dashboard.
If you want to work on two matters in parallel, you can do so in separate chat windows to keep an overview at all times.
Double-clicking the chat header enlarges the window, and another double-click shrinks it again. This helps when Pickware AI responds with long tables.
You can also upload files to the chat and have them analyzed, for example PDFs and images. Spreadsheet files are not yet processed reliably.
Export analyses: Conversely, Pickware AI can output analyses as a CSV file that you can open and edit in Excel, for example. To do this, explicitly ask the chat for CSV output, such as: "Give me the open orders of the last 7 days with order number, date and shipping method as CSV."
The data then appears in a code block that you can download as a file. Check the exported values like any other answer before you continue working with them.
Pickware AI uses the existing functions of your Pickware and shop system and makes them accessible via chat. Instead of clicking through menus, you describe what you want to do — Pickware AI translates your request into the appropriate actions and can intelligently combine multiple steps. Pickware AI works with the existing data and functions of your system. By intelligently combining these building blocks, it can also solve tasks for which there is no single button in the Admin — such as calculating the total weight of an order or summarizing open items for a supplier. However, Pickware AI cannot create new data fields or functions that do not exist in Pickware.
Which plans include Pickware AI?
The scope of Pickware AI depends on your Pickware plan: the read-only AI chat is already included in the Starter plan. From the Advanced plan, you can also use Pickware AI with write access and have actions executed directly from the chat. The Pickware MCP Server is included from the Professional plan. You can find a complete overview of all features per plan in the plan overview for Shopware 6 and for Shopify.
You can use agents in all plans and also during the trial period until December 31, 2026. After that, they are included from the Advanced plan, and the full range of agent features is available from the Professional plan. Read more in the article What are Pickware AI agents?
If you request a write action in the chat that your plan does not include – such as a stock change – Pickware AI does not execute it. Instead, a clickable note appears in the chat history that lets you request a free trial period for the write functions. One click is enough, you don't have to fill in anything. If you have already requested a trial period elsewhere, the note shows the confirmation of your open request.
Enabling Pickware AI
When you open the Pickware AI chat for the first time via the icon at the top right of your Admin, a notice window with information about data processing appears. Read the notes and confirm to enable the chat. After activation, you can open the chat at any time via the chat icon in the Pickware Admin.
Pickware AI is currently in the preview phase. This means the feature is continuously being developed and improved. Scope and availability may still change.
On the dashboard, a card also gives you direct access to Pickware AI: a click on Open AI chat starts the chat. If not all AI features of your plan are active yet, the card additionally offers a link that lets you request a free trial period for the missing features (write functions of the chat or the MCP Server). You can hide the card permanently via the close icon in its corner.
Chat history
Your previous chats are kept and can be accessed in an overview sorted by time. You can rename, archive and delete a chat. The name of a chat is also shown at the top of the tab, which makes it easier to find again.
Because the history is saved, it is not lost even if you reload the browser or close the Admin in between. You can continue a longer session later from where you left off.
Knowledge about your business
Pickware AI can remember facts and rules about your business, for example that revenue is always calculated including returns, and takes them into account in all future chats. If you tell the chat something like this, Pickware AI suggests remembering it. You can manage this knowledge in the settings under Pickware AI. How exactly this works and who is allowed to change the knowledge is explained in the article How can Pickware AI remember knowledge about my business?.
Security and permissions
Pickware AI works with the permissions of your user account. This means: data that you are not allowed to see in the Pickware Admin cannot be queried by Pickware AI either. Requests are sent to an external AI service for processing. Your data is not used to train AI models.
You can find more details on data processing in the article Data protection and data processing with Pickware AI.
Limitations and notes
Pickware AI is based on an AI language model. Keep the following limitations in mind:
Answers can be incorrect or incomplete. Check results before acting on them — especially for numbers and calculations.
Pickware AI is not suitable for legally binding information or accounting purposes.
For extensive bulk changes (e.g. setting tags for many products), processing can take some time.
The longer a chat history becomes, the less accurate the answers can get. For a new matter, a fresh chat is usually the better choice.
Use the feedback buttons in the chat to mark incorrect or particularly helpful answers. Your feedback helps to continuously improve Pickware AI.
What to do if the chat shows an error?
If the chat only shows a message such as Etwas ist schiefgelaufen or Es ist ein Fehler aufgetreten, check these causes. They apply to Pickware for Shopware 6.
Outdated plugin version: Older plugin versions use an old connection (
proxy.pickware.ai) that has been shut down. The browser console then showsERR_NAME_NOT_RESOLVED. Update the Pickware plugin. A DNS redirect does not help here.Error
REMOTE_PORT is invalid: This is fixed in the current plugin version. Update the plugin.403 Forbiddenwhen starting the chat: If your shop responds with 403 when establishing the chat session, the cause is usually file permissions, the server configuration or security plugins. Check this together with your hosting provider.
Pickware AI agents
While the chat works on demand, agents run in the background: they start on a schedule, on events in your shop or at the push of a button, check your data and put their result as a message in the inbox. You set them up via chat or start with a template such as the AI warehouse manager. You can find all the details in the article What are Pickware AI agents?, and templates and examples in the article Which agents can I set up with Pickware AI?
Pickware MCP Server
In addition to the built-in chat, you can also connect Pickware to AI assistants such as Claude or ChatGPT via the MCP Server. This lets you work with your Pickware data directly from your preferred AI assistant — independent of the Pickware Admin. You can find all the details on setup in the article Connecting the Pickware MCP Server.
Tips for good prompts
The more precise your question, the better the result. Here are some tips:
Specify time periods – "Orders of the last 7 days" gives more targeted results than "current orders".
Give concrete values – "Products with less than 5 units in stock" instead of "products with low stock".
Proceed step by step – For complex tasks, several questions building on each other deliver better results than a single long question.
Ask follow-up questions – If an answer doesn't fit, rephrase the question or narrow it down further.
