Every morning it's the same: Which orders need to go out today? Is everything in stock? Where are the bottlenecks? With Pickware AI, you can clear this up in just a few prompts — instead of clicking through order lists, warehouse overviews, and supplier pages.
This article shows you a typical workflow you can run through with Pickware AI in just a few minutes.
Query open orders
Start with a simple question to Pickware AI:
How many open orders do we have? Which ones need to go out today?
Pickware AI shows you the number of open orders and highlights which of them are particularly urgent — for example, because they have already been waiting for several days. You can also ask the question more specifically:
Show me all open orders that are older than 3 days.
Check whether everything is in stock
Before you start shipping, check whether there is enough stock for the open orders:
Is everything in stock for all open orders?
Pickware AI compares the open order items with your current stock levels and shows you where something is missing. If products are not available, you can follow up directly:
Which products are missing and in what quantity?
Check incoming stock
If stock is missing, it's worth taking a look at open supplier orders:
What is incoming? Are there open supplier orders for the missing products?
This way you can see right away whether the required stock has already been ordered and when it is expected to arrive.
Trigger a reorder
If no incoming stock is planned, you can prepare a reorder directly:
Reorder the missing products from the respective supplier.
Pickware AI creates supplier orders based on the missing quantities. Afterwards, review the created orders in the Admin before you send them.
Estimate delivery times
To be able to inform affected customers, ask about the expected delivery time:
How long does delivery from these suppliers usually take, based on experience?
Tips for this workflow
Work step by step — Ask the questions one after another instead of packing everything into a single prompt. This way, Pickware AI delivers more precise results at each step.
Narrow down time periods — "Orders from the last 7 days" delivers more targeted results than "current orders".
Verify results — Especially for numbers and totals, you should cross-check the results in the Admin before you act on them.
Ask follow-up questions — If an answer doesn't fit or is too general, narrow the question down further or rephrase it.
