How do I set up the Pickware WMS App?

Tip: If you're new to Pickware for Shopify, we recommend our Onboarding series including the corresponding video tutorials. In part three of the onboarding series, we show you in a video how to set up the WMS App and how to use it to pick orders.

Download and open the WMS App

The WMS App can be downloaded from the Apple App Store. It lets you pick your orders, book goods receipts and stock movements, and carry out stocktaking (inventory).

The first time you open it, you can either start the configuration or use demo mode. The latter automatically connects your device to our demo shop, where you can thoroughly test all features.

If you want to link your device to your own shop, tap Start setup. A setup wizard will guide you through all the necessary steps.

Pickware account login

To use the app, you need a Pickware account. You should already have created one during the initial setup. For more information about the Pickware account, click here.

License check

Next, the system checks whether you still have enough free device licenses available. If the check is successful, the button Continue takes you to the app PIN assignment. If you don't have enough free licenses, you can either manage your already connected devices and remove some if needed, or book additional licenses.

Assign an app PIN

If the check was successful, the next step lets you assign a PIN for the app. You need this PIN to log in to the app with your user. You can change the PIN later in the user settings in the Pickware Admin under Settings → System → Users & permissions. If you have already assigned a PIN in the Pickware Admin, this step will be skipped. Once you have entered the PIN twice, the button Continue takes you to the printer setup.

Printer setup

Next, you can assign printers to various paper formats and document types. Under Paper formats, you'll find the formats A4, A5, and A6, as well as various shipping label types. Under Document type, you'll find all the document types you can create in the Admin.

You can access this menu again at any time via the settings in the app menu under Printer and make adjustments. You can find more help with printer setup here.

Save different configurations for multiple shops

In the next step, you can name and save your configuration. The configuration includes all the settings you made during the app setup. This way, you can create configurations for different printer setups or different shops and easily switch between them using the arrow in the top right.

App login

This completes the setup of the WMS App, and you can now log in with your user. You can assign the login PIN during the app setup and, if needed, change it in the Pickware Admin under Settings → System → Users & permissions for your user in the Pickware authentication section. You also need the role Pickware WMS User. You can find more information about roles and permissions here.

Start demo mode & reset configuration

Your device can only be connected to one shop at a time. If you want to connect it to a different shop, you need to reset the configuration. Demo mode is an exception to this—meaning you can switch back and forth between your configured shop and demo mode at any time without losing the configuration.

To reset the configuration or switch to demo mode, you first need to log out of the app. In the user selection window, you can use the gear icon in the top right to reset the configuration or switch to demo mode.

Please note, however, that in demo mode the app connects to our Shopware 5 demo shop, which means features that aren't yet available for Pickware in Shopify may also be accessible there.

Recommended settings for your iOS device

For a smooth experience with our apps in daily operations, we also recommend making the following settings on your Apple devices:

  • Under Settings → Face/Touch ID & Passcode, disable the mandatory passcode entry for unlocking the display.

  • Under Settings → Display & Brightness, set the auto-lock to, for example, five minutes, or turn it off completely.

  • Reduce the display brightness to achieve longer battery life on the devices.

  • Check that your country's settings are stored under Settings → General → Language & Region.

  • Move the Pickware apps to the quick access bar at the bottom of the display.

We also recommend using the Pickware apps with the sound turned on to get audible feedback when scanning barcodes. Please note that, in addition to the volume control in the operating system, iPhones have a mute switch on the left side that must be turned off.

Keep the app up to date

If a new app update is available for WMS, always check before installing whether the changelog of the WMS App requires a minimum version of the Pickware POS or WMS plugin. In these cases, the latest extension version should be installed in the Pickware Admin before performing the app update.

In general, you should make sure to install all updates promptly so you can immediately benefit from new features and small improvements.
