How do I set up DHL for Pickware?

Before you can assign DHL products to your shipping methods and automatically create the corresponding labels, you first need to make a few settings.

Registering with DHL

To create DHL shipping labels in Pickware, you need access to the DHL business customer portal. If you ship at least 200 national and/or international packages per year, you can quickly and easily request access here.

Using enclosed returns

When creating DHL shipping labels, you can directly select that a return label should be attached. However, this is the enclosed variant of the DHL return, which requires its own billing number. If you don't have such a billing number, please contact your DHL representative.

Pickware only supports DHL Retoure Online. The DHL Retoure Selbstzahler variant is not compatible and therefore cannot be used for the automatic creation of return labels. If DHL Retoure Selbstzahler has nevertheless been set for a shipping method or product, this will result in an error message when creating a shipping label. In this case, make sure that the correct return type DHL Retoure Online is being used.

DHL settings

Before you make the settings for DHL, make sure that you have already made the general settings for all shipping providers. You can find them under Settings → Extensions → Shipping labels general. These settings apply to all shipping providers you use. You can find all the details here.

The settings specific to DHL shipping can be found under Settings → Extensions → DHL.

Sales Channel

Here you can determine which of your connected Shopify shops ("Sales Channels") the following settings should apply to. By default, the settings apply to all connected shops. If you only have one Shopify shop connected to this Pickware Admin, still select the All Sales Channels option.

If you select a specific shop, all fields are initially linked to the general settings. You can recognize this by the chain icon and the grayed-out fields. Click on the icon to remove the link and make individual settings, while other fields remain linked.

DHL business customer portal login

  • Username and password – Enter your username and password for the DHL business customer portal here. Please test your login credentials first by logging into the DHL business customer portal .

  • Use testing web service – Activate this option if you don't want to use DHL's productive web service. In this case, you need to enter the API key in the Username field and the API secret of your DHL developer portal account in the Password field. You can find this data in the DHL developer portal under Account.

Premium vs. Economy for DHL Paket International

For DHL Paket International, DHL distinguishes between Premium and Economy labels. Which type of label is generated depends on your configuration in the admin.

Aside from this configuration, some countries also have requirements that determine whether label creation is possible at all. DHL uses country groups for this, which apply different rules.

Premium and Economy available with free choice

In countries like Switzerland, you can easily control label creation by activating the respective option:

  • Premium activated → Premium label

  • Premium deactivated → Economy label

Premium and Economy available with limited choice

In countries (e.g. Austria or Denmark) where both Premium and Economy are possible but tied to different delivery types, the combination of delivery type and the Premium option determines the result:

  • Door delivery → always Premium

  • Closest droppoint → always Economy

This means:

  • Premium deactivated + Closest droppoint active → Economy label

  • Premium deactivated + Closest droppoint not active → Premium label anyway, since door delivery is only possible with Premium

Only Premium available

For some countries (e.g. Luxembourg), DHL does not offer an Economy option at all and only offers Premium. In such cases, DHL always enforces a Premium label, regardless of whether Premium is activated or deactivated in Pickware or whether the closest droppoint is used.

Using PDDP with DHL International

To use DHL's Postal Delivered Duty Paid (PDDP) service for international shipping, you need to navigate to Settings → Shipping → Corresponding shipping method in your admin. Here you need to activate the Assumption of import duties and Create export documents options. Then you need to select the correct incoterm Delivered Duty Paid incl. customs clearance, duties and taxes (DDP).

With these settings, you can also use the service smoothly for international shipping.

The selected product must be an International product from DHL.

Contract information

Once you've entered your correct login credentials for the DHL business customer portal, you can click the Retrieve contract data button above to automatically import your customer number as well as the billing numbers of the individual DHL products and the return recipients from the DHL business customer portal. Alternatively, you can also find this data in the DHL business customer portal via the Contract data menu item.

Account details

This data is required to route cash-on-delivery payments to the correct account. In the Purpose or Customer reference fields, you can use the placeholder ####{{ customerReference }} to insert the respective order number.

Saving data

Don't forget to save your entered data using the blue button above before leaving the menu. If the button shows a white checkmark instead of the word Save, it means that all data has been saved since your last entry.

Additional settings for shipping labels in the DHL business customer portal

Printer settings

In the DHL business customer portal under Paket & Waren → VersendenEinstellungen → Allgemeine Einstellungen, you can find additional settings for shipping labels. It's important that you make the appropriate printer settings in the business customer portal so that the shipping labels are printed correctly.

By default, the following print settings are selected for printing on DIN A5:

  • Shipping labelCommon Label Laser Print 105 x 205 mm (910-300-700)

  • Return shipping labelCommon Label Laser Print 105 x 205 mm (910-300-700)

The exact designation of the paper format used (xxx-xxx-xxx) is printed as a small number on the DHL shipping labels. The following size settings are suitable for specific use cases:

  • Hide side supplementary labels on the shipping labelCommon Label Laser Print 105 x 205 mm (910-300-700) without supplementary labels

  • Use of thermal label printersCommon Label Thermal Print 103 x 199 mm (910-300-600, 910-300-610)

Setting the recipient address for return labels

The recipient address for return labels can be adjusted in the DHL business customer portal under Paket & Waren → Retoure → Einstellungen.

There you'll find a table with one entry per country. You can use the pencil icon to adjust the data and set the desired address.

Daily closing via the business customer portal

DHL automatically performs a daily closing every day, during which the created shipping and return labels are manifested and billed. After this, a shipping label can no longer be canceled or deleted. The time for the daily automatic closing is set to 5:45 PM by default and can be adjusted in the DHL business customer portal via Paket & Waren → Versenden → Einstellungen → Versandbenachrichtigungen & Tagesabschluss in the Tagesabschluss tab.

FAQ: Printing company logo on DHL label

This is currently not possible, as the DHL web service doesn't currently offer a way to pass the logo and print it on the label.
