How do I set up DHL for Pickware?

Before you can assign DHL products to your shipping methods and automatically create labels, you need to make a few settings first.

Registration with DHL

To create DHL shipping labels in Pickware, you need access to the DHL business customer portal. If you ship 200 or more national and/or international packages per year, you can quickly and easily request access here.

Using the enclosed return label

When creating DHL shipping labels, you can select the option to have a return label attached directly. However, this is the enclosed variant of the DHL return, which requires its own billing number. If you don't have such a billing number, please contact your DHL representative.

Pickware only supports DHL Retoure Online. The DHL Retoure Selbstzahler variant is not compatible and therefore cannot be used for the automatic creation of return labels. If DHL Retoure Selbstzahler has been set for a shipping method or a product anyway, this will result in an error message when creating a shipping label. In this case, make sure that the correct return type DHL Retoure Online is used.

DHL settings in the admin

Before you make the settings for DHL, make sure you have already made the general settings for all shipping providers. You can find them under Settings → Extensions → Shipping labels general. These settings apply to all shipping providers you use. You can find all the details here.

Under Settings → Extensions → DHL you will find the settings specifically for DHL shipping.

Sales Channel

Here you can specify for which of your Sales Channels the following settings should apply. By default, the settings apply to all Sales Channels. If you only use one Sales Channel, select the All Sales Channels option anyway.

If you select a specific shop, all fields are initially linked to the general settings. You can recognize this by the chain icon and the greyed-out fields. Click on the icon to remove the link and make individual settings while other fields remain linked.

DHL business customer portal login

  • Username and password - Enter your username and password for the DHL business customer portal here. Please test your login credentials first by logging into the DHL business customer portal.

  • Use testing webservice - Activate this option if you don't want to use DHL's productive webservice. In this case, you must enter the API key in the Username field and the API secret of your DHL developer portal account in the Password field. You can find this data in the DHL developer portal under Account.

Premium vs. Economy for DHL Paket International

For DHL Paket International, DHL distinguishes between Premium and Economy labels. Which type of label is generated depends on your configuration in the admin.

Beyond this configuration, however, some countries also have requirements that determine whether label creation is possible. DHL uses country groups for this purpose, which apply different rules.

Premium and Economy available with free choice

In countries such as Switzerland, you can control label creation simply by activating the respective option:

  • Premium activated → Premium label

  • Premium deactivated → Economy label

Premium and Economy available with limited choice

In countries (e.g. Austria or Denmark) where both Premium and Economy are possible and are tied to different delivery types, the combination of delivery type and Premium option controls the result:

  • Door delivery → always Premium

  • Closest Droppoint → always Economy

This results in:

  • Premium deactivated + Closest Droppoint active → Economy label

  • Premium deactivated + Closest Droppoint not active → still a Premium label, since door delivery is only possible with Premium

Only Premium available

For some countries (e.g. Luxembourg), DHL generally does not offer an Economy variant, and only Premium is available. In such cases, DHL always enforces a Premium label, regardless of whether Premium is activated or deactivated in Pickware or whether Closest Droppoint is used.

Using PDDP with DHL International

To use DHL's Postal Delivered Duty Paid (PDDP) service for international shipping, go to Settings → Shipping → Corresponding shipping method in your admin. Here, you need to activate the options Assumption of import duties and Create export documents. You then need to select the correct incoterm Delivered Duty Paid, Customs Cleared, Duties and Taxes Paid (DDP).

With these settings, you can use the service smoothly for international shipping as well.

The selected product must be a DHL International product.

Contract information

Once you've entered your correct login credentials for the DHL business customer portal, you can click the Retrieve contract data button at the top so that your customer number as well as the billing numbers for the individual DHL products and the return recipients are automatically imported from the DHL business customer portal. Alternatively, you can also find this data in the DHL business customer portal under the Contract data menu item.

Preferred services

Here you'll find some of the configuration options for the DHL Wunschpaket feature. It's important that you enter your customer number (EKP) here if you want to use the preferred services. You'll find the exact setup steps here further down in this article. DHL also offers the option of delivering shipments to parcel shops and similar locations. You can find all the details on configuration here.

Return recipients

Enter the Receiver Id of the return recipient here for each country. You'll find this information in the DHL business customer portal under Paket & Waren → Retouren → Einstellungen.

Account details

This data is required to route cash-on-delivery payments to the correct account. In the Purpose or Customer reference fields, you can use the placeholder #####{{ customerReference }} to insert the respective order number.

Saving data

Don't forget to save your entered data using the blue button at the top before leaving the menu. If the button shows a white checkmark instead of the word "Save", this means that all data has been saved since your last entry.

DHL settings in the DHL business customer portal

In the DHL business customer portal under Paket & Waren → Versenden → Einstellungen → Allgemeine Einstellungen, you'll find further settings for shipping labels. It's important that you make the appropriate printer settings in the business customer portal so that shipping labels are printed correctly.

By default, the following print settings are selected for printing on DIN A5:

  • Shipping label – Common Label Laserdruck 105 x 205 mm (910-300-700)

  • Return shipping label – Common Label Laserdruck 105 x 205 mm (910-300-700)

The exact identifier for the paper format used (xxx-xxx-xxx) is a small number on the DHL shipping labels. The following size settings are suitable for certain use cases:

  • Hide additional labels on the sides of the shipping label – Common Label Laserdruck 105 x 205 mm (910-300-700) ohne Zusatzetiketten

  • Use of thermal label printers – Common Label Thermodruck 103 x 199 mm (910-300-600, 910-300-610)

Shipping to parcel lockers, parcel shops or post offices

The DHL shipping extension also supports shipping to a parcel locker, post office or parcel shop.

Process from the customer's perspective

  1. Customers create a different delivery address in their customer account or directly at checkout.

  2. Customers select whether they want their order delivered to a DHL parcel locker, post office or a DHL parcel shop.

  3. Clicking the Select on map button opens the Location search window. There, a postal code can be entered. All facilities in the immediate vicinity are then shown on the corresponding map section. Clicking one of the icons opens a pop-up with the address and opening hours.

  4. Clicking the Select button transfers the parcel locker number, postal code and city to the input form above. Customers now only need to enter their post number.

Storefront configuration

To offer your customers this option, open your DHL shipping method under Settings → Shop → Shipping. In the Storefront configuration → Delivery options section, you can specify which delivery locations should be available.

Configuring the Google Maps API key

To display the map for locating parcel lockers etc., you need a Google Maps API key. You can enter this under Settings → Extensions → Shipping labels DHL, in the Preferred services section. You can find out how to get such an API key here.

Data protection

Please also note that you need to update your privacy policy if you want to offer this service. At checkout, only a placeholder map is initially displayed. By clicking the button in the notice, customers consent to their data being shared with Google Maps so that the actual map is displayed to them.

The notice already links to the privacy policy. On your end, you therefore only need to add a corresponding section within your privacy policy.

Configuring Wunschpaket

The DHL Wunschpaket service gives your customers the option of selecting various additional options for the delivery of their shipment, such as delivery on a preferred day or to a preferred neighbor. With our DHL shipping extension, these options can already be set by the customer at checkout, provided you've made the corresponding settings in the administration. To use these services, you need to enter your customer number (EKP) in the DHL settings in your Shopware Admin.

Activating and configuring the Wunschpaket feature

Go to Settings → Shop → Shipping and select your DHL shipping method. Please note that the Wunschpaket feature is only available for national shipping with DHL Paket. In the Storefront configuration → Wunschpaket section, you can specify which Wunschpaket options should be available at checkout.

Which days are available for delivery is determined by DHL. However, you can set an internal processing time, which is then taken into account for the preferred day suggestions.

You can find further settings for influencing the preferred day under Settings → Extensions → Shipping labels DHL in the Preferred services section. If orders arrive after the time set under Last order time, they're treated like orders for the next day. You can also exclude weekdays if, for example, you only pick orders on certain days.

The Wunschpaket feature during picking

You can see the customer's Wunschpaket configuration in the order details under the additional fields section.

When you create a shipping label, the corresponding fields are already pre-filled according to the customer's information, and this information is then also printed on the shipping label. Only the drop-off location is visible only to the delivery driver for data protection reasons.

End-of-day closing via the business customer portal

DHL automatically performs an end-of-day closing every day, during which the shipping and return labels created are manifested and billed. After this, a shipping label can no longer be canceled or deleted. The time for the daily automatic end-of-day closing is 5:45 PM by default and can be adjusted in the DHL business customer portal under Paket & Waren → Versenden → Einstellungen → Versandbenachrichtigungen & Tagesabschluss in the Tagesabschluss tab.

Setting the recipient address for return labels

The recipient address for return labels can be adjusted in the DHL business customer portal under Paket & Waren → Retoure → Einstellungen.

There you'll find a table with one entry per country. Use the pencil icon to edit the data and enter the desired address.

FAQ: Printing your company logo on a DHL label

This isn't currently possible, as the DHL webservice currently doesn't offer a way to pass the logo and print it on the label.
