How do I create return labels?

With the connected shipping service providers, you also have the option to create return labels. In addition, DHL offers the enclosed return service.

Return labels with DHL, DHL Express, DPD, UPS, Swiss Post, and Deutsche Post

To create a return label, open the relevant order and click Create return label in the Shipping labels tab.

If you have already configured the Return configuration section during the configuration of the associated shipping method, these settings will be preselected. However, you can adjust them at any time while creating the label. For example, if you're creating a return label for an order from Switzerland, you can have DHL generate the export documents directly by enabling the corresponding option.

In the Packages tab, you can specify — if known — which products and quantities are included in the return. The total package weight is then calculated from their weight.

Once the label has been created, you'll see it as usual in the Shipping labels tab, where you can view, download, or send it directly to the customer via the context menu.

Enclosed return (DHL)

The enclosed return is a separate service that requires its own billing number. If you have any questions about this, please contact your DHL representative.

Enclosed returns can be created together with the shipping label right from the start and, unlike regular return labels, are only billed when actually used. To do this, enable the Attach return label checkbox in the Create shipping label window.

You can enclose the return label with the shipment or send it directly to the customer by email, either right away or upon request. To send the return label to the customer by email, navigate to the Delivery section within the order and open the context menu for the relevant list entry using the button on the right. There you'll find the option Send return label to customer.

If you create a return label for DHL this way, you can show either the QR code or the label at a DHL branch to have the return label printed directly on site.

Creating return labels via the Flow Builder

Return labels can also be created automatically via the Flow Builder. This allows you to include return label creation as an action in a flow — for example, in response to an incoming order or a return registration in Shopify.

Prerequisite

A return label provider must be configured in the Pickware Admin. You configure this in the settings of the respective shipping method, in the Return configuration section.

Setting up the flow

  1. Open the Settings → Shop → Flow Builder section in the Pickware Admin.

  2. Create a new flow or open an existing one.

  3. Choose a suitable trigger — for example, Order completion → Order → Received or a status change.

  4. Add Create return label as an action.

  5. Select the desired shipping provider and the return product.

  6. Save the flow and activate it.

The generated return label is attached to the order and can be downloaded in the Shipping labels tab. You can combine return label creation with other flow actions — for example, with an email action to automatically send the return label to the customer via an email template.

Example use case: Creating a return label in advance for marketplace orders

Some marketplaces (e.g., OTTO) require return tracking codes to be submitted as soon as the order is shipped — that is, before a return is actually registered. In this case, you can set up a flow that creates the return label based on a rule as soon as the order is received or shipped. You can then view the return tracking code in the order details via the Return tracking codes custom field and pass it on to the marketplace.
