How do I create return labels?

Return labels can be created for DHL, DHL Express, DPD, UPS, Swiss Post, and Deutsche Post. To create a return label, open the relevant order and click Create return label in the Shipping labels tab.

If you have already configured the Return configuration section in the configuration of the associated shipping method, the settings for the return label are preselected. However, you can adjust them at any time while creating the label. For example, if you're creating a return label for an order from Switzerland, you can have DHL export documents created directly by activating the corresponding option.

Similar to creating shipping labels, you can specify in the Packages tab, if known, which products in which quantities should be included in the return. The total package weight is then calculated from their weight.

Once the label has been created, you'll see it in the Shipping labels tab, where you can view it, download it, or send it directly to the customer by email via the context menu.

Tracking numbers for return labels

Tracking codes for return labels are stored in a separate custom field. This allows shipping and return tracking codes to be clearly distinguished and passed on specifically to marketplaces or external systems. Once a return has been created, you can view the Return tracking codes custom field at the very bottom of the Order details. This displays all the codes for the returns that have been created for the order.

Existing shipping tracking codes therefore remain unchanged in the Tracking number(s) field.

For magnalister (e.g., OTTO), you can configure yourself in the magnalister app which Shopware custom field should be used for the return tracking number.

For some shipping providers, the tracking code only becomes visible once the return label has been activated or used. It then appears automatically in the custom field.

Enclosed return label (DHL)

The enclosed return label is a separate service that requires a separate billing number. If you have any questions about this, please contact your DHL representative.

Enclosed return labels can already be created while creating the shipping label and, unlike regular return labels, are only billed once used. To do this, activate the Attach return label checkbox in the Create shipping label window.

You can enclose the return label with the shipment or send it directly to the customer by email, either proactively or upon request. To send the return label to the customer by email, navigate to the Shipping labels tab in the order and open the context menu for the corresponding list entry via the button on the right. There you'll find the option Send return label to customer.

If you create a return label for DHL this way, you can show either the QR code or the label at a DHL branch to have the return label printed directly on-site.

Creating shipping labels and return labels via Flow Builder

Shipping labels and return labels can also be created automatically via the Flow Builder. This allows you to include label creation as an action in a flow – for example, as a reaction to a status change or an incoming order. You can find the Flow Builder under Settings → Shop → Flow Builder.
