How do I configure shipping methods so that the correct carrier products are automatically selected?

You can configure all shipping methods as usual under Settings → Shop → Shipping. In addition to the standard Shopware settings, Pickware adds two more sections within the settings: Pickware WMS Document Printing and Shipping Carriers.

Note on the tracking URL

In the Basic information section, you'll find the Tracking URL field. Here you can enter the link to the tracking page for the respective carrier. This is then displayed in the customer account in the order details. If an order consists of multiple packages, multiple tracking numbers will be displayed here as well.

Instead of the actual tracking number, enter the placeholder %s . For DHL, for example, you would enter this URL:

https://www.dhl.de/de/privatkunden/dhl-sendungsverfolgung.html?piececode=%s

You can also use this field to integrate the tracking link directly into your email template. You'll find detailed instructions here – there you'll also find the tracking URLs for the other carriers.

Pickware WMS Document Printing

Here you can define which documents should be printed automatically, and in what quantity, after picking. For documents to be printed, they must have been generated beforehand. Invoices and delivery notes are generated by default; if you want to automatically print another document type, you must first generate it (or have it generated), for example by creating a corresponding flow in the Flow Builder.

Shipping Carriers

Here you can select a previously configured carrier and make various settings depending on the provider. All settings made here are automatically pre-selected when creating a shipping label with the respective shipping method. When you create the shipping label in your Shopware Admin, you can still adjust these settings before creating the label if needed.

Package configuration

In addition to the individual configuration options for the various carriers, you'll find the Package configuration section for entering package weights and dimensions, as well as the Privacy configuration section for determining whether the customer's email address and/or phone number should be passed on to the carrier.

  • Weight surcharge per package – Here you can specify an absolute or relative value for packaging and cushioning material, which is added to the package weight.

  • Fallback package weight – A package weight is required in order to create a shipping label. If no weight is specified for a product in an order and the package weight therefore cannot be determined, the value you enter here is used instead. If you leave this field empty, you'll have to manually enter a weight for every shipment containing a product without a specified weight.

  • Maximum package weight – If you enter a value here, an order will automatically be split into multiple packages if it exceeds this value. You can leave this field empty if you don't want automatic splitting.

Below you'll find some basic information about the individual carriers:

  • For UPS shipping labels, you must select the Customer Supplied Package option in the Packaging type field.

  • For international shipments with DHL, you must specify how packages that cannot be delivered should be handled. You can define this setting in the delivery instructions section, in the Advance disposal instructions field. For this field to appear, a DHL product intended for international shipping must be selected.

  • For DHL, after selecting a suitable product (e.g. DHL Paket International), you can enable the option to automatically generate export documents. This is only available for DHL. For GLS and UPS, export documents must be created manually.

  • When creating DHL shipping labels, you can directly select the option to include a return label. However, this is the enclosed-in-package variant of the DHL return, which requires its own billing number. If you don't have such a billing number, please contact your DHL representative.

Privacy configuration: passing email/phone number to the carrier

For each of your shipping methods, you can separately control whether the customer's email address and phone number are passed on to the selected carrier.

In this detail view, you can set whether your customers' phone numbers should be passed on to the carrier. You also have three options for deciding how your customers' email addresses should be handled:

Always (default setting): The email address is transferred to the carrier along with the label.

Never: The email address is not transferred. In the label creation screen, the affected input fields are grayed out; they can be filled in manually there if needed.

With customer's consent: An opt-in checkbox is displayed at checkout in the storefront, allowing the customer to decide for themselves.

The text of the checkbox can be customized using a snippet, so if needed you can adjust it under Settings → Snippets to fit your privacy policy:

The customer's decision is saved directly in the order and taken into account when creating the shipping label. If consent has been given, the email address and phone number are passed on to the carrier. If no consent has been given, this information is automatically removed when the label is created. In this case, the corresponding fields in the label dialog are disabled and marked with a note explaining why they cannot be edited (e.g. "No customer consent").

Behavior in label creation

When you open the Create shipping label dialog, the recipient's data is displayed on the right. Depending on the privacy configuration (and, if applicable, the customer's decision), the email/phone number will already be pre-filled, removed, or grayed out. Settings from the shipping method are automatically applied to the label creation screen and can be adjusted if needed.

Address configuration

Here you can define whether you want to use your default sender address, an alternative sender address, or a sender reference for the shipping method. If you select one of the last two options, a corresponding input screen will open.

You can configure the default sender address by clicking the link on the right.

Removing the assignment

To remove the assignment to a carrier, open the relevant shipping method, click in the Shipping Carrier field in the Carrier configuration section, and press the delete key on your keyboard. Then click outside the field so that the No selection entry is applied.

Export documents and customs information

Currently, export documents can be created together with the shipping label for DHL and DHL Express. For DHL Express, this information is transferred digitally if a corresponding DHL Express product has been selected. This allows DHL Express to generate a commercial invoice. An invoice is required for each order for this purpose.

Entering customs information

Under Settings → Extensions → General Shipping Label Settings, you'll find various input fields in the Customs Information for Export section. All settings made here apply globally to all carriers used. You can get more information about the individual fields by hovering your mouse over the blue question mark.

The following fields are required for DHL shipping:

  • Type of shipment

  • Description of shipment

  • Identification number for customs purposes

  • Remark

For shipping with DHL Express, only the following information is required:

  • Drop-off location

  • Type of shipment

Controlling the visibility of shipping methods

In order for shipping methods to be generally available, they must be selected in the Sales Channel settings, in the Payment and shipping section under Shipping methods.

Through the configuration of the individual shipping methods under Settings → Shop → Shipping, you can also define whether a shipping method should only be visible under certain conditions, for example for specific customer groups, above a certain price, or only on a specific day of the week. To do this, you can use Shopware's Rule Builder.
