How do I configure shipping methods so that the correct carrier products are selected automatically?

Shopware 6 — Configure shipping methods and carriers to select the correct products automatically, with tracking URLs and print settings.

You can configure all shipping methods as usual under Settings → Shop → Shipping. In addition to the standard Shopware settings, Pickware adds two more sections to the settings: Pickware WMS Document Printing and Carrier.

Note on the tracking URL

In the Basic information section, you will find the Tracking URL field. Here you can enter the tracking link for the respective carrier. It is then displayed in the customer account in the order details. If an order consists of several parcels, several tracking codes are displayed here as well.

Instead of the actual tracking code, you enter the placeholder %s . For DHL, for example, you would enter this URL:

https://www.dhl.de/de/privatkunden/dhl-sendungsverfolgung.html?piececode=%s

You can also use this field to integrate the tracking link directly into your email template. You can find the exact instructions here – you will also find the tracking URLs for the other carriers there.

Pickware WMS Document Printing

Here you can specify which documents are printed automatically after picking, and in what quantity. For the documents to be printed, they must have been generated beforehand. Invoice and delivery note are generated by default. If you want to automatically print a different document type, you first need to have it generated, for example by creating a corresponding flow in the Flow Builder.

Carrier

Here you can choose a previously configured carrier and, depending on the provider, make various settings. All settings made here are automatically preselected when a shipping label is created with the respective shipping method. If you create your shipping label in your Shopware Admin, you can still adjust these settings before creating it if needed.

Customer reference

In the Customer reference section, you specify which order information is used as the customer reference on the shipping label and at the carrier. In the Source of the customer reference field, you choose between:

  • Order number (default) — the Shopware order number is used as the reference. Unless you select something different, this does not change the previous behavior.

  • Custom field of the order — a custom field of the order that you select is used as the reference. If the custom field is empty for an order, no customer reference is passed to the carrier.

  • Product numbers of the shipment — the product numbers of the products contained in the respective parcel are used as the reference.

The setting applies across all carriers for the respective shipping method and is used both for the shipping label and for the data passed to the carrier.

Do not print the customer reference on the label

With Swiss Post, you can turn off printing the customer reference on shipping and return labels. To do so, deactivate the option Print customer reference on label in the Carrier section of the shipping method. The option is activated by default. The customer reference is still kept in the label's file name even when the option is turned off.

This option does not exist for other carriers. If you do not want a customer reference to appear on the label there, select the option Custom field of the order under Source of the customer reference and choose a custom field that stays empty for your orders. However, in that case no reference is passed to the carrier either.

Parcel configuration

In addition to the individual settings for the different carriers, you will find the following sections here for all providers: Parcel configuration for entering parcel weights and dimensions, and Privacy configuration for specifying whether the customer's email address and/or phone number should be passed to the carrier.

Paketkonfiguration.png

  • Weight surcharge per parcel – Here you can specify an absolute or relative value for packaging and padding material, which is added to the parcel weight.

  • Fallback package weight – A parcel weight is required to create a shipping label. If no weight is stored for a product in an order and the parcel weight therefore cannot be determined, the value you enter here is used instead. If you leave the field empty, a weight has to be entered manually first for every shipment containing a product without a weight.

  • Always use the fallback package weight instead of the calculated package weight for the selected shipping method – If you activate this option, every shipping label for this shipping method gets the fallback package weight instead of a weight calculated from the products. This is useful if you create many labels with a fixed weight or do not maintain product weights.

  • Maximum package weight – If you enter a value here, an order is automatically split into several parcels when it exceeds this value. You can leave the field empty if you do not want automatic splitting.

In the WMS App, the app warns you during packing and weighing if a parcel exceeds this value, and then does not create the shipping label automatically but opens the shipping label window first. A weight exactly at the maximum is not considered exceeded.

Parcel dimensions come exclusively from the parcel configuration of the shipping method. Dimensions stored on the product are not used for the shipping label.

Below you will find some basic information on the individual carriers:

  • For UPS shipping labels, the option Customer Supplied Package must be selected in the Packaging type field.

  • For international shipments with DHL, you must specify how parcels that cannot be delivered should be handled. You can set this in the delivery requirements section in the Advance instruction field. For this field to appear, a DHL product intended for international shipping must be selected.

  • With DHL, after selecting a suitable product (e.g. DHL Paket International), you can activate the option to automatically create export documents. For UPS, you can have commercial invoices created automatically together with the shipping label; you can find more on this in How do I set up UPS for Pickware? For GLS, export documents have to be created manually.

  • When creating DHL shipping labels, you can directly choose to attach a return label. This is the enclosed variant of the DHL return, which requires its own billing number. If you do not have such a billing number, please contact your contact person at DHL.

  • For GLS, the Additional services section offers, among others, the options SignatureService for delivery requiring a signature and LimitedQuantitiesService for marking shipments as dangerous goods in limited quantities. There you will also find AddresseeOnlyService (delivery to the recipient in person only), AddOnLiabilityService with Liability amount per parcel, and Dangerous goods. In the Label section, you set two note lines and Print reference as barcode. Details can be found in How can I set up GLS for Pickware?.

  • For GLS, you will also find the separate section Delivery to ParcelShop. With ShopDeliveryService, you have a shipment delivered to a ParcelShop chosen by the recipient instead of the shipping address. You can store the ParcelShop ID per order via a custom field, or have it determined based on the shipping address using the option Automatically determine nearest ParcelShop.

  • For Swiss Post, the option Dangerous goods in limited quantities (LQ) is available to mark shipments accordingly.

Privacy configuration: passing email/phone to the carrier

In each of your shipping methods, you can separately control whether the customer's email address and phone number are passed to the selected carrier.

In this detail view, you can set whether your customers' phone number should be passed on to the carrier. You also have three options to choose from to decide how your customers' email address should be handled:

Auswahl.png

Always (default setting): The email is transmitted to the carrier together with the label.

Never: The email is not transmitted. In the label form, the affected input fields are grayed out; if needed, you can fill them in manually there.

With customer consent: An opt-in checkbox is displayed in the storefront at checkout, which lets the customer decide for themselves.

The text of the checkbox can be customized via a text snippet, so you can adapt it to your privacy concept under Settings → Snippets if needed:

Textbaustein.png

The customer's decision is stored directly in the order and taken into account when the shipping label is created.

If consent has been given, the email address and phone number are passed to the carrier.

If no consent has been given, this information is automatically removed when the label is created. In this case, the corresponding fields in the label dialog are disabled and include a note explaining why they cannot be edited (e.g. "No customer consent")

Behavior when creating a label

When you open the Create shipping label dialog, the recipient data is displayed on the right. Depending on the privacy configuration (and, if applicable, the customer's decision), email/phone are already prefilled, removed, or grayed out. Settings from the shipping method are automatically transferred to the label form and can be adjusted if needed.

Address configuration

Here you can specify whether you want to use your default sender address, an alternative sender address, or a shipper reference for the shipping method. If you select one of the last two options, a corresponding input form opens.

You can configure the default sender address by clicking the link on the right.

Remove mapping

To remove the mapping to a carrier, open the relevant shipping method, click into the Carrier field in the Carrier configuration section, and press the Delete key on your keyboard. Then click outside the field so that the entry No selection is applied.

What happens if a shipping method has no carrier?

If no carrier is assigned to a shipping method, Pickware cannot automatically create a shipping label for orders with this shipping method. Product, services, and document printing are always tied to the order's shipping method. If the carrier is missing, the following happens:

  • After picking, the WMS App does not create a shipping label and jumps directly to the overview.

  • The bulk edit aborts with an error.

This typically affects imported marketplace shipping methods or variants of a shipping method such as "DHL Standard (3-5 working days)". Each shipping method is configured individually. Therefore, select a carrier in every shipping method you use, and specify in the Pickware WMS Document Printing section which documents are printed.

Note: After changing a shipping method, switch to the main menu once in the WMS App. The app then loads the new configuration.

Shipping method for international orders

For international orders, you need a separate shipping method with an international product of the carrier, for example DHL Paket International. A label with the product "DHL Paket" to an address abroad fails. Therefore, create an additional shipping method and select the international product there. You control which shipping method an order gets via the Rule Builder (see Controlling the visibility of shipping methods).

Export documents and customs information

Currently, export documents can be created together with the shipping label for DHL and DHL Express. With DHL Express, this information is passed on digitally if a suitable DHL Express product has been selected. This allows DHL Express to generate a commercial invoice. An invoice is required for each order.

For UPS, you can have commercial invoices created together with the shipping label. If your UPS account supports Paperless Trade (PLT), they are transmitted electronically to UPS. Details can be found in How do I set up UPS for Pickware?

To learn how to create export documents for your shipments, see How do I create export documents for shipments to non-EU countries?

Entering customs information

Under Settings → Extensions → Shipping labels common you will find various input fields in the customs information for export area. All settings made here apply globally to all carriers you use. You can find additional information on the individual fields by hovering the mouse over the blue question mark.

For DHL shipping, the following fields are required:

  • Type of shipment

  • Description of the shipment

  • Customs identification numbers of the sender

  • Remark

For shipping with DHL Express, the following information is required:

  • Drop-off point

  • Type of shipment

  • Description of the shipment

For DHL Express, the Description of the shipment is the content description and applies to all DHL Express shipments.

To find out what additional information needs to be maintained in the product properties for shipments abroad, see here.

Controlling the visibility of shipping methods

For shipping methods to be available at all, they must be selected in the Sales Channel settings in the Payment and shipping area under Shipping methods.

Verkaufskanal_Versandarten.png

Via the configuration of the individual shipping methods under Settings → Shop → Shipping, you can in turn specify whether a method should only be visible under certain conditions, for example for certain customer groups, above a certain price, or only on a certain weekday. You can use the Rule Builder from Shopware for this.

Verfügbarkeitsregel.png

With these availability rules, you also control which shipping method an order gets. Typical examples are a small-parcel shipping method only for certain products, a bulky-goods shipping method, products that should only be shipped with DHL or only with GLS, or no self-pickup for dropshipping products. You set bulky goods in the shipping method, not via a custom field on the product.
