With Pickware, you can configure for each Shopify shipping rate which carrier and which shipping product you want to use for delivery. So that you can create shipping labels when picking your Shopify orders via the WMS App or in the Admin, corresponding shipping methods must be created and configured in the Pickware Admin. Below, we show you all the necessary setup steps.
Configuring the carrier
In the Pickware Admin, under Settings → Extensions, you will find the settings menu Shipping labels common, which applies to all carriers you use. There you can enter the sender address as well as customs information.
Pickware can create export documents for DHL together with the shipping label. For DHL Express, the customs data is transmitted electronically to DHL Express. FedEx uses the export and customs data, among other things, to create a commercial invoice.
In addition, there is a settings menu for each carrier. Once you have made the general settings, they also apply to all other shipping extensions.
You can find all details about the supported carriers in a separate article.
Configuring shipping methods
When you import your Shopify orders, a shipping method with the same name is created in Pickware for each shipping method in Shopify. You can find these under Settings → Shop → Shipping. Here you can make the following settings for each shipping method:
To find out how shipping methods from Shopify are transferred to Pickware, see How are shipping methods from Shopify transferred to Pickware?. To find out how to create export documents for shipments to non-EU countries, see How do I create export documents for shipments to non-EU countries?
Basic information
Here you see the basic information about your shipping method. If it was imported from Shopify, you usually don't need to make any further adjustments here.
If you create a shipping method directly in your Pickware Admin, for example for B2B orders, you will also find the field Tracking URL here. Here you can enter the tracking link for the respective carrier, using the placeholder %s instead of the actual tracking number. For DHL, for example, you would enter this URL:
https://www.dhl.de/de/privatkunden/dhl-sendungsverfolgung.html?piececode=%s
You can use this field to integrate the tracking link directly into your email template for emails sent from the Pickware Admin. You can find the exact instructions here – you will also find the tracking URLs for the other carriers there.
Carrier
Select the desired carrier here. Depending on your selection, further specific settings are available. So that shipping labels can be created later, the corresponding carrier must have been configured.
Attention: Every shipping method imported from Shopify needs its own carrier and its own document printing, including variants such as “DHL Standard (3-5 business days)”. If a shipping method has no carrier, the WMS App does not create a shipping label after picking and jumps straight to the overview, and the bulk edit aborts with an error.
Pickware WMS Document Printing
Here you can specify which documents should be printed automatically after picking, and in what quantity. For the documents to be printed, they must have been generated beforehand. Invoice and delivery note are generated by default. If you want to automatically print a different document type, you must first have it generated, for example by creating a corresponding flow in the Flow Builder.
Pickware WMS return label
Select here whether a return label should be printed automatically for this shipping method after picking with the WMS App. Please note that this option is only available for carriers that support the creation of return labels.
Carrier
Once you have selected a carrier here, various settings are available for each carrier. All settings and service options can also be customized individually when creating a shipping label.
For GLS, the Zusatz-Services (Additional services) section offers, among others, the options SignatureService for delivery requiring a signature and LimitedQuantitiesService for labeling as dangerous goods in limited quantities.
In the separate section Zustellung an ParcelShop (Delivery to ParcelShop), you use ShopDeliveryService to have a shipment delivered to a ParcelShop chosen by the recipient instead of to the shipping address; you can store the ParcelShop ID per order via a custom field or have it determined based on the shipping address using the option Nächstgelegenen ParcelShop automatisch ermitteln (Automatically determine nearest ParcelShop).
For Swiss Post, the option Gefahrgut in begrenzten Mengen (LQ) (Dangerous goods in limited quantities (LQ)) is available to label shipments accordingly.
Customer reference
In the Customer reference section, you specify which order information is used as the customer reference on the shipping label and at the carrier. Using the Source of the customer reference field, you choose between:
Order number (default) — the order number is used as the reference. Unless you select something different, nothing changes compared to the previous behavior.
Custom field of the order — a custom field of the order that you select is used as the reference. If the custom field is empty for an order, no customer reference is passed to the carrier.
Product numbers of the shipment — the product numbers of the products contained in the respective parcel are used as the reference.
The setting applies across all carriers for the respective shipping method and is used both for the shipping label and for the handover to the carrier.
Do not print the customer reference on the label
With Swiss Post, you can turn off printing of the customer reference on shipping and return labels. To do so, deactivate the option Kundenreferenz auf dem Etikett drucken (Print customer reference on the label) in the Carrier section of the shipping method. The option is enabled by default. The customer reference is retained in the file name of the label even when the option is turned off.
This option does not exist for other carriers. If you do not want a customer reference to appear on the label there, select the option Custom field of the order under Source of the customer reference and choose a custom field that stays empty for your orders. However, in that case no reference is passed to the carrier either.
Parcel configuration
In addition to the individual settings for the various carriers, here you will find for all providers the sections Parcel configuration for entering parcel weights and dimensions as well as Privacy configuration to specify whether the customer's email address and/or phone number should be passed to the carrier. The following options are available here:
Weight surcharge per parcel – Here you can specify an absolute or relative amount for packaging and padding material, which is added to the parcel weight.
Fallback package weight – A parcel weight is required to create a shipping label. If no weight is stored for a product in an order and the parcel weight therefore cannot be determined, the amount you enter here is used instead. If you leave the field empty, a weight must first be entered manually for every shipment containing a product without a weight.
Always use the fallback package weight instead of the calculated parcel weight for the selected shipping method – If you enable this option, every shipping label of this shipping method gets the fallback package weight instead of calculating the weight from the products. This is useful if you create many labels with a fixed weight or do not maintain product weights.
Maximum package weight – If you enter an amount here, an order is automatically split into multiple parcels if it exceeds this amount. You can leave the field empty if you do not want automatic splitting.
In the WMS App, the app warns you during packing and weighing if a parcel exceeds this amount, and then does not create the shipping label automatically but first opens the shipping label window. A weight exactly at the maximum is not considered exceeded.
Address configuration
In the Address configuration section, you specify which sender is used for the shipping method: your default sender address, an alternative sender address, or a shipper reference. This way, you can print a different sender on the label for individual shipping methods than for the rest of your shipments. You store the default sender address in the general settings for shipping labels.
