When you open the Pickware WMS App for the first time, you can either start the configuration via Start setup (Einrichtung starten) or start demo mode. Demo mode configures your device so that you are automatically connected to our demo shop, where you can test all features for as long as you like.
To connect your device to your actual shop, tap Start setup (Einrichtung starten). The setup wizard guides you through all the necessary steps.
Pickware Account Login
To use the app, you need a Pickware Account. If you have so far only used a Pickware Account from the Shopware 5 world and want to keep using it, you first have to start the migration process via the account management. You can find more information on this here.
Connect to the shop
Once you have logged in with your Pickware Account, you need to connect the app to your shop. Because your Pickware Account is linked to your shop, it should already appear in the list and only needs to be selected. Then click Continue and, in the next window, Log in to shop (Im Shop einloggen).
In the next step, you set the device name. It is used to identify your iOS device in the device management of your Pickware Account. You can change the name at any time later in the app menu under Settings → Change device name (Gerätenamen ändern).
Next, you need the login details for your Shopware 6 Administration.
The app then checks whether you still have enough free licenses and whether the version of Pickware WMS is sufficient for the app version.
Assign an app PIN
If the check was successful, you can assign a PIN for the app in the next step. You need it to log in to the app with your user. You can change the PIN later in the user settings. If you have already assigned a PIN in the Shopware Admin, this step is skipped. Once you have entered the PIN twice, click Continue to go to the printer setup.
Printer setup
Next, you can assign printers to different paper formats and document types. Under Paper formats (Papierformate) you will find the formats A4, A5 and A6 as well as various shipping label types. Under Document type you will find all document types that you can create in the Admin.
The printer only needs to be on the same network as your iOS device. The app also needs access to your local network. To enable this, open the Settings of your iOS device, search for the WMS App and turn on the Local Network (Lokales Netzwerk) option there. If your printer is not network-capable or you want to print from Windows, you can use a print server.
If you run into problems during setup or when using the printer, we have put together some tips here to help you troubleshoot. If this information does not help, contact our support team.
You can open this menu again at any time via the settings in the app menu under Printers (Drucker) and make changes.
Save different configurations for multiple shops
In the next step, you can name and save your configuration. The configuration includes all settings you made during the app setup. This way, you can create configurations for different printer setups or different shops and conveniently switch between them using the arrow at the top right.
Shopware User Login
This completes the setup of the WMS App. To use the app, you now need to log in with your Shopware user. For this, an app PIN must be set in the Administration and the role Pickware WMS User must be assigned.
If you use custom user roles, make sure that at least the entries Basic permissions (Grundberechtigungen) and Perform setup (Einrichtung durchführen) are checked in the configuration under General → Permissions → Pickware WMS. You can find more about the user roles for the WMS App here.
Additional devices and login
Licenses for the WMS App apply per device, not per user. In the Shopware Admin, you can create as many users as you like, and all of them can be selected in the app. You can book additional device licenses in your Pickware Account.
You set up an additional device exactly like your first one, with all the steps from this article. You have to set up the printers again on each device. Picking profiles, on the other hand, also apply on the new device without any further setup.
In the app, you log in with a Shopware user, not with your Pickware Account. Each employee should log in with their own user and their own PIN. For security reasons, the login in the app expires automatically after a certain time. In that case, simply log in again.
If a user's password is modified, the app can no longer renew its access in the background and reports Authentifizierung fehlgeschlagen. In this case, log in again with the user.
Start demo mode & switch configuration
Besides the user selection, on the login screen you can also create further configurations, rename or delete existing configurations, or switch to demo mode.
Settings for your iOS device
For comfortable use of the WMS App in day-to-day business, we recommend that you also make the following settings on your iOS device:
Under Settings → Face/Touch ID & Passcode (Face/Touch ID & Code), turn off the mandatory entry of a code to unlock the display.
Set the automatic display lock under Settings → Display & Brightness (Anzeige & Helligkeit) to, for example, five minutes, or turn it off completely.
Reduce the display brightness to achieve longer battery life on the devices.
Check that the settings for your country are stored under Settings → General → Language & Region.
Move the WMS App to the dock at the bottom of the display.
The font size of the WMS App follows the text size of your device. You set it under Settings → Display & Brightness → Text Size (Textgröße), and even larger text under Accessibility (Bedienungshilfen).
We also recommend using the Pickware App with the sound turned on so that you get audible feedback when scanning barcodes. Please note that, in addition to the volume control in the operating system, iPhones have a silent switch on the left side, which must be deactivated.
You confirm some actions in the WMS App by holding the button down. This is intentional and prevents you from confirming something by accident.
Language of the WMS App
The WMS App follows the language settings of the iOS device, not those of the user who logs in to the app.
If employees who speak different languages work on the same device, you can also set the language for the WMS App only, without changing the language of the entire device: To do so, open the Settings of your iOS device, search for the WMS App and select the language you want there.
If the language you want does not appear in the language selection in the app settings, at least two languages must be stored under Settings → General → Language & Region in the Preferred Languages (Bevorzugte Sprachen) section. If only one language is stored there, iOS hides the selection. You can add more languages via Add Language (Sprache hinzufügen).
Keep the app and extensions up to date
You can see which version of the WMS App is running on your device in the app menu under Settings. The version is at the very bottom, below Privacy policy.
If an error message appears after an app update, for example when starting picking, the app and the Pickware extensions in your shop usually do not match. In that case, update all Pickware extensions together, that is, Pickware ERP and Pickware WMS.
If you use the standalone Pickware WMS extension, you do not receive its update via the Shopware extensions but as a ZIP file in your Pickware Account. You can find out how this works and in which order to update under What do I need to consider for software updates?
Many errors in the app are fixed with the next app version. Therefore, update the app first if something does not work as expected. You cannot switch back to an older app version, as Apple does not provide for this.
A single device behaves differently
If only one device behaves differently from the others, it is usually running an older app version. Open the WMS App in the App Store and check in the detail view whether an update is available. The button to update sometimes appears only there. If that does not help, uninstall the app and reinstall it.
You can turn on automatic app updates in the iOS settings under Apps → App Store → App Updates (App-Updates).
