The update to Shopware 6.5 comes with some major changes. To ensure a smooth update of your Pickware extensions, please make sure to follow the steps in our Update Guide. Below you will also find all relevant changes in the Pickware extensions.
If questions or issues arise during the update process or afterwards, you can contact our support.
Update Guide
1. Create a backup
Before installing updates, you should always create a backup of your data.
2. Deactivate Pickware POS and WMS
As part of the Shopware update, all extensions must be deactivated. A corresponding prompt will appear during the update process, allowing you to deactivate all extensions at once.
To avoid error messages, deactivate the Pickware extensions manually beforehand. If you use the individual extensions Pickware POS, Pickware WMS as well as Pickware ERP Pro, deactivate these first so that you can then deactivate Pickware ERP.
If you use Pickware ERP, WMS & POS instead of the individual extensions, you can deactivate it directly.
You can deactivate the extensions under Extensions → My Extensions (Meine Erweiterungen) using the checkboxes on the left.
3. Update Shopware
Now you can start the Shopware Updater. If this hasn't been done yet, you must first update to the latest 6.4 version of Shopware. Only after that will an update to version 6.5.x.x be possible. The updater will guide you through the process each time. You can find the general Shopware update guide here. Below you will find two special notes regarding the update.
Note: Compatibility
Since Pickware WMS and Pickware POS are obtained through the Pickware Account, Shopware cannot check these extensions for compatibility. The updater will therefore show you a corresponding notice. You can find all information about the compatibility of WMS and POS with the Shopware versions in the Pickware Account.
Note: Deactivate extensions
During the update, a prompt will also appear asking you to deactivate your extensions. Make sure to select the option Deactivate all extensions. If you have not deactivated WMS and/or POS beforehand, as described above, an error message may appear. In this case, deactivate the mentioned extensions manually and try again.
4. Update Pickware
After updating Shopware to version 6.5.x.x, all Pickware extensions must be updated. To avoid errors, make sure to perform all updates first without activating the extensions.
The current update for WMS or POS can be downloaded in the Pickware Account. Make sure to select the version that is compatible with Shopware 6.5. You can then update the extensions in the usual way.
Once Pickware ERP, Pickware WMS and Pickware POS have been updated to the latest version, activate ERP first and only then WMS and POS.
Changes in Pickware
Interface
Starting with Shopware 6.5, you will find the Pickware menu items Lagerhaltung (Warehouse Management) and Einkauf (Purchasing) by default under the menu item Extensions. If you prefer the familiar layout so that all core functions are always immediately accessible, we recommend activating this under Settings → Extensions → Pickware ERP in the section Darstellung im Shopware Menü (Display in the Shopware Menu).
Order details
In the order details, the information is now split into the tabs General (Allgemein), Details, Documents (Dokumente), Returns (Retouren) and Shipping Labels (Versandetiketten). You will also find new action buttons in the General (Allgemein) tab for sending orders, recording returns, and creating invoices and credit notes.
Please note that the availability of the individual tabs and action buttons depends on the installation of the respective extensions:
Shipping labels: DHL, GLS, or ERP Pro
Credit notes: ERP Pro or POS
Returns tab and the ability to record partial returns: ERP Pro or POS
Editing orders
With the new update, the way you edit orders through the admin also changes accordingly. Here you'll find a brief overview of the new process. You can find a detailed description in the respective Help Center articles. One important difference is that actions for editing orders can now be performed using quick buttons:
Creating invoices and credit notes
Clicking the Create invoice or Create credit note buttons opens Shopware's document creation directly, with the correct document type already preselected. The Create credit note button is only available once an invoice exists without a cancellation invoice.
Sending an order
Orders can now be sent faster. To do this, click the Send order quick button in the order details, select the warehouse, and then click Confirm. The stock is then deducted from the selected warehouse and the flow to change the delivery status to Shipped is triggered.
After updating to Shopware 6.5, please check all flows, as there is a change to the order process that affects the triggers of the Flow Builder.
Flow Builder
In the Flow Builder you will find four new triggers (Partially shipped, Fully shipped, Partially returned, Fully returned) along with matching flows that are used, for example, in the order-sending process described above. You can edit the flows as usual, for instance if you use a custom status instead of the Shipped status, or extend them if you want to automatically trigger another action following the status change.
