DHL Adapter Plugin Configuration

You can find the plugin configuration in your backend under Customers → DHL → Configuration. Using the Shop field at the very top of the configuration, you can select the subshop for which you want to make the settings.

DHL Business Customer Portal Login

  • Username – Your username for the DHL Business Customer Portal. Please note that correct upper and lower case must be observed.

  • Password – Your password for the DHL Business Customer Portal.

  • Use testing web service – Enable this option if you don't want to use the productive web service from DHL. In this case, you need to enter the developer ID in the Username field and the password of your DHL Developer Portal account in the Password field. You can find the developer ID in the DHL Developer Portal under Account.

Once you've entered your username and password, you can use the Check credentials button. If your data is incorrect, a corresponding error message will appear.

Shipping Country & DHL Products

By registering with the DHL Business Customer Portal, you can send DHL shipments from Germany. If you also want to ship from other countries, this is only possible with DHL Express, which requires a registration for DHL Express.

After selecting the shipping country, click on Apply data. If everything is correct, the fields Customer number and Participation DHL [Product name] will be filled in automatically. If an error message appears, please follow the instructions in the error message and check your credentials for the Business Customer Portal. If you can't determine the cause of the error message, please enter your customer number and the participation numbers manually.

You can find your 10-digit DHL customer number (EKP) in the DHL Business Customer Portal under the menu Contract data (accessible by clicking on your name in the top right). You can also find your billing numbers for the respective products under Contract data. The participation numbers that need to be entered in the plugin configuration each correspond to the last two digits of the associated billing number.

If the error message "The selected billing number is not available." appears in the backend, this may be due to outdated billing numbers. In this case, compare the billing numbers stored in the backend with those in the Business Customer Portal and correct them if necessary.

If a billing number is missing entirely (for example, because it was lost by DHL during the transition from Intraship to the Business Customer Portal), please contact your DHL account manager so that the missing billing number can be set up.

Sender Address

In this section, you specify the sender address that should be printed on the shipping labels. You should also enter a contact person via the fields Contact person, Email address, and Phone number, in case DHL has any questions. Please enter only one phone number. It may only consist of digits, as spaces, punctuation, and special characters will lead to an error message.

Weight Determination

In this section, you set the default weights for the various DHL products and configure settings for determining the package weight.
However, these settings should be viewed independently of the shipping cost calculation in Shopware, which is set up in the backend under Settings → Shipping Costs.

  • Default weight in kilograms – The weights entered here are used when creating shipping labels if automatic weight calculation is disabled, or (if weight calculation is enabled) if no weight is maintained for any item within the order.

  • Calculate package weight automatically – If this field is enabled, the package weights are calculated automatically based on the weights of the items included as well as the percentage and fixed weight surcharges. Note: If weight calculation is enabled but not all items have a defined weight, or if individual item weights are below 0.1 kg, a default value of 0.1 kg is assumed for each of the affected items. The weight shown on the shipping label may therefore differ from the weight displayed/entered in the backend.

  • Percentage weight surcharge for filling material – Percentage weight surcharge for filling material based on the sum of the item weights, if automatic weight calculation is enabled.

  • Weight surcharge for packaging material in kilograms – Fixed weight surcharge in kilograms for packaging material, if automatic weight calculation is enabled.

Note: You should take these flat rates into account when determining your shipping costs, if the shipping cost calculation is based on weight.

Other

  • Only allow addresses that can be routing-coded – Enable this checkbox if shipping labels should only be created for addresses that DHL considers to be routing-codable. DHL usually charges a surcharge for addresses that aren't routing-codable.

Customs Information for International Shipments (to non-EU countries)

  • Type of shipment – Commercial goods is recommended for online shops. Corresponds to field (10) on the CN 23 customs declaration.

  • Description of the shipment (if type of shipment is other) – Must be provided if the type of shipment is other. Corresponds to field (10) on the CN23 customs declaration. Must be provided in English or French.

  • Default Incoterm – This is the Incoterm (International Commercial Term) that describes the applicable contract formula for national and international goods flows. You can find further information on this directly from customs. A selection is required for creating export documents.

  • General export description – This field serves to further describe the package contents for international shipments. This description is added to the export documents just like the content description for export mentioned above. This is a required field for international shipments with a minimum of two characters.

  • Point of submission – This is the point of submission where you hand over your packages, e.g., a specific post office branch. This information is printed on the export documents created.

  • Sender's identification number for customs purposes – Whether this field needs to be filled in depends on the regulations of the country of origin and destination. Possible values include, for example, your customs number (EORI number), tax number, or VAT ID.

Note: Optionally, you can maintain the country of origin and the customs tariff number for each item. You can find these fields in the item details under the Master data tab in the Free text fields section. By default, Germany is shown as the country of origin and no customs tariff numbers are shown on the export documents.

Note: The DHL web service currently doesn't offer the option to transmit an MRN number. For shipments requiring an export declaration, please manually enter the MRN on the printed export document.

Email Notifications from DHL to the Customer

You can find general information about this setting option here. Below you'll find the settings that specifically apply to the DHL Adapter.

  • Enable automatic shipping notification – Here you can enable the automatic shipping notifications from DHL. The shipping notifications are sent daily at the end of your shipping day. You set the time for this in the Business Customer Portal. You can find out more here.

  • Sender email address for shipping notifications – If you've enabled the automatic shipping notifications, you need to enter an email address in this field, which will then act as the sender address.
    Important: If this field doesn't contain a valid email address, no shipping notifications can be sent by DHL!

  • Enable automatic package announcements – Here you can specify whether you want to enable the automatic package announcements from DHL. You can find further information on this here. An individual logo in the package announcement email can be set up manually by DHL Sales. Please contact your DHL Sales representative for this.

In the DHL Business Customer Portal, you can view the email text template for the shipping notifications under Package & Goods → Settings → Shipping Notifications & End of Day in the Notifications tab, and edit it using the pencil icon, allowing you to set up a BCC email address, for example.

DHL Express (optional)

To use DHL Express shipping, please enter your credentials for DHL Express Global Web Services.

DHL Returns (optional)

DHL assigns individual return recipients/portal names for each customer and each country of origin. Therefore, the corresponding return recipient must be entered in the DHL Adapter configuration for each country you want to use. You can find the return recipients available to you for the respective countries in the Receiver Id selection box in the DHL Business Customer Portal under Package & Goods → Returns → Settings.

Note: In addition to Germany, the DHL Adapter currently supports the following countries for creating return labels: Austria, Switzerland, Belgium, Bulgaria, Cyprus, Czech Republic, Denmark, Estonia, Spain, Finland, France, United Kingdom, Greece, Hungary, Ireland, Italy, Lithuania, Luxembourg, Latvia, Netherlands, Poland, Portugal, Romania, Sweden, Slovenia, Slovakia.

In the plugin configuration, in the Shipping label settings section, enable the option Automatically send return label in order confirmation if you want a return label to be created automatically for customer orders and sent to the customer as an attachment to the order confirmation email.

Further Settings for Shipping Labels in the DHL Business Customer Portal

In the DHL Business Customer Portal under Package & Goods → SendSettings → General Settings, you'll find further settings for the shipping labels. It's important that you make the corresponding printer settings in the Business Customer Portal so that the shipping labels are printed correctly.

By default, the following print settings are selected for printing on DIN A5:

The exact identifier of the paper format used (xxx-xxx-xxx) can be found as a small number on the DHL shipping labels. The following size settings are suitable for certain use cases:

  • Hide side additional labels on the shipping labelCommon Label laser print 105 x 205 mm (910-300-700) without additional labels

  • Use of thermal label printersCommon Label thermal print 103 x 199 mm (910-300-600, 910-300-610)
