How do I use the Bundles.app from Gazebo with Pickware for Shopify?

Shopify — Create flexible bundles with Gazebo and sync them automatically with Pickware, including availability and nested line items.

The Bundles.app from Gazebo lets you flexibly create bundles for your Shopify shop and automatically sync them with Pickware when an order comes in. The Bundles.app calculates the availability of the bundle parent in Shopify based on the bundle children and ensures that your shop cannot oversell. To create bundles, you use the external user interface of the Bundles.app.

Function & display in orders

In Shopify, your customers only see the bundle parent throughout the entire frontend. This applies to the listing, the cart, and the checkout. If needed, you can list the individual product components in the listing. So the customer only orders the bundle parent, not the individual children.

Shortly after the order comes in, the Bundles.app automatically processes the order and adds the bundle children to the order with a 100% discount. In the following example, the product Hoptimist Gelb was ordered once more in addition to the bundle above.

After this automatic processing of the order, it is automatically imported into Pickware. In Pickware, in addition to the bundle parent, the associated bundle children (the individual products it contains) are imported as nested order line items.

When picking with the WMS, only the actual products need to be confirmed, not the virtual bundle parents. So that you always have an overview that some products may need to be packed together, you are shown that product bundles are included in an order.

If the products are already stored pre-packed, you can also open the bundle during picking with one click and confirm all products that are part of the bundle.

If you pick with the picklist instead, you are only shown the products that actually need to be collected.

On the other order documents (delivery note, invoice), only the bundle parent appears, that is, the product the customer actually ordered.

If you need to create export documents because you ship to third countries (outside the EU), only the products actually in the parcel are listed on the customs declaration or the commercial invoice.

Returns of bundle products in Pickware

Returns for bundle products can be created as usual via Shopify or Pickware. You can find all information on general return processing with Pickware here.

If you create a return for a bundle order via the Pickware Admin, all products that are part of a bundle are marked with a prefix. In the WMS, these products are currently not marked.

After creating and processing the return, you can create an invoice correction as usual. If the bundle is returned in full, only the bundle parent appears on the invoice correction, as usual. If only bundle children are returned, they are not shown on the invoice correction.

Stock changes of bundle children in Pickware

As soon as the stock of one of the assigned bundle children changes in Shopify, the Bundles.app automatically updates the stock of the bundle parent. So if, for example, a goods receipt for a bundle child is booked in Pickware and the stock is transferred to Shopify, the stock of the bundle parent is recalculated automatically.

Configuration of the Bundles.app

For the app to work correctly with Pickware, the following settings must be enabled or disabled in the Bundles.app:

Enable Order Editing so that the bundle children are automatically added to the order shortly after it comes in.

Disable Automatic Fulfill so that bundles are displayed correctly in the WMS and can be picked manually.

Enable Pickware Integration so that Pickware can clearly identify bundles and display them correctly.

Bundle Access.png

The Bundles.app handles the calculation of the bundle parent's availability in Shopify. Pickware only transfers the stock of the bundle children. In Pickware, stock management for bundle parents should therefore not be enabled, so that the stock of these products in Shopify is not overwritten. If it is active, Pickware assumes a stock of 0 for the bundle parent and corrects the stock in Shopify accordingly.

Stock management is only disabled automatically once the first order for a bundle parent comes in. For new bundles, therefore, disable it manually in advance in the respective product in Pickware, in the General tab in the Stock management card (Manage stock switch). For many bundles, you can do this via bulk edit in the product overview or via CSV import, see Where can I maintain which product information?. Afterwards, trigger the stock calculation again in the Bundles.app.

How to recognize an incorrect setting

If Automatic Fulfill is active in the Bundles.app, the order cannot be marked as shipped, and the Shopify shipping confirmation only lists the bundle children. In this case, disable Automatic Fulfill. With Pickware Integration active, you do not have to pick the bundle parent during picking.

How Pickware recognizes a bundle

You enable the Pickware Integration in the Bundles.app under Settings → Integrations at the very bottom. Pickware recognizes a bundle by the Bundles.app metafield and by the Part of bundle discount that the app sets. If the item name is missing from the title of this discount, Pickware cannot distinguish the components of the bundle.

Having older orders recognized as a bundle

Pickware does not recognize orders that came in before the Bundles.app was set up, or line items that were added by script, as bundles. In this case, edit the order in Shopify: remove the original product and add the bundle product again. The Bundles.app then splits it up.

Limitations

Compatibility between Pickware and the Bundles.app is currently based on the Order Edit feature of the Bundles.app. After an order comes in, the app edits the order and adds the bundle children to it.

Shopify does not allow editing of imported orders. As a result, the Bundles.app cannot edit orders that were created by marketplace integrations such as magnalister, for example. The bundle children are not added to these orders, so they appear incomplete in Pickware and can be neither picked correctly nor booked out. You can find additional information on this here, directly from Shopify.

If you sell bundles on marketplaces, use Shopify Bundles together with Shopify Marketplace Connect instead. How this works is described in Can I sell bundles on marketplaces such as Amazon or eBay?.
