When products reach or fall below their reorder point, Pickware sends you an email notification once a day with a list of all affected products. This way you can see at a glance which items need to be reordered and whether a supplier order is already in progress. The reorder point email is sent by the Pickware ERP Reorder Mail flow. On a new installation, it is deactivated. If you had already turned the email on before, the flow is active.
Set up the notification
You turn on the reorder point email in the Flow Builder:
In the Shopware Admin, open Settings → Shop → Flow Builder and search for Pickware ERP Reorder Mail. Open the flow via the context menu with Edit.
Check the box next to Active and click Save at the top.
Set the time
You set when the email is sent under Settings → Extensions → Pickware ERP in the Reorder point section, in the field Time of the daily comparison of stock and reorder point for all products. There you will also find the Go to flow link. You cannot turn the email on or off here, that is only possible in the flow.
Set the recipients
You set who receives the email in the Pickware ERP Reorder Mail flow, in the Send email action under Recipients. Select Custom and enter the email addresses that should receive the notification.
The email does not arrive
The reorder point email is sent via the Pickware ERP Reorder Mail flow. First check whether this flow is active. If it is deactivated or deleted, no email is sent.
If the flow is active and the email still does not arrive, the message queue of your shop is usually not working. To find out how to check and fix this, see What can I do if my message queue is not working?.
Content of the email
The email contains a table with all products whose stock has reached or fallen below the reorder point:
Product name and Product number
Reorder point — the configured threshold
Stock — the current physical stock
Incoming stock — the total quantity from open supplier orders that are not yet considered delivered or completed
The Incoming stock column shows you for which products a reorder is already in progress. If a product has no incoming stock, 0 is displayed. This way you avoid duplicate orders without having to switch to the administration first.
The email is only sent if at least one product is affected. It lists up to 500 products. Via the Administration link at the end of the email, you open the stock overview with all products at or below the reorder point.
Only active products for which Manage stock is active are taken into account. Products with a reorder point of 0 also appear as soon as their stock reaches 0. If you do not want to see them in the email, exclude them as described below.
Exclude products from the notification
If individual products should not appear in the reorder point email, you can exclude them specifically. This makes sense, for example, if you do not want to reorder certain products at all or deliberately want to keep their stock low.
To do this, open a product in the Shopware Admin and navigate to Stock → Stock Limits → Ignore product in reorder notification mail .Activate the option to exclude the product from the notification.
If you want to exclude several products at once, you can do this via bulk edit:
In the product overview, filter for the desired products and select them.
Click Bulk edit at the top.
Under Stock Limits, activate the option Change: Exclude from reorder notification mail and then turn on Exclude from reorder notification mail.
Run the bulk edit. The selected products will then no longer be listed in the reorder point email.
You set the reorder point in the product details in the Stock tab in the Stock Limits section, for many products also via CSV, see Which product information can I maintain with Pickware?. To learn how to use demand planning based on the reorder point, see How does demand planning work with Pickware?
Why are products missing from the email or appearing unexpectedly?
Switch not active: If products still appear in the email after a bulk edit, the Ignore product in reorder notification mail switch under Stock → Stock Limits is not active for these products. Check the switch in the product.
Variant products: Main products of variants have no stock of their own and do not appear in the email. The email only contains the variants.
Outdated version: Some cases in which products were missing or too many products appeared in the email were errors in older versions and have been fixed. Therefore, keep Pickware ERP up to date.
Incoming stock column missing: In that case, an older version of the email template is still active in the shop, for example because it was customized earlier. Reset the template to the default under Settings → Email templates → Reorder point notification. Back up your own customizations beforehand.
