Bulk editing products and orders with Pickware AI

Assigning tags, changing shipping methods, setting default warehouse locations — tasks that quickly eat up hours when done manually for many products or orders. With Pickware AI, you can trigger such bulk changes via prompt instead of editing each object individually.

This article shows you what's possible with bulk changes via Pickware AI — and where the limits are.

Assigning tags

You can ask Pickware AI to assign tags based on certain criteria:

Alle Produkte vom Hersteller X sollen den Tag "Sale" erhalten.

Or based on inventory data:

Versehe alle Produkte mit weniger als 3 Stück auf Lager mit dem Tag "Restposten".

You can also set tags for orders:

Setze bei allen offenen Bestellungen aus der Schweiz den Tag "Zollabwicklung".

Changing shipping methods

If you want to adjust the default shipping method for a specific product group:

Setze die Standard-Versandart aller Produkte der Marke ACME auf Express.

Or with more advanced conditions:

Ändere bei allen Versandarten mit Exportdokumenten den Incoterm auf DDP.

Assigning default warehouse locations

Instead of maintaining default warehouse locations one product at a time:

Weise allen Produkten vom Hersteller X den Standardlagerplatz "A-01" zu.

or:

Füge bei allen Produkten mit dem Tag "Schnelldreher" den Lagerplatz "Schnelldreherzone" als Standardlagerplatz hinzu.

Limits and notes

Bulk changes via Pickware AI work, but there are a few limitations you should know about:

  • Processing can take time — Pickware AI usually processes bulk changes object by object. With many products or orders, this can take several minutes. Plan your time accordingly.

  • Check the results — After a bulk change, spot-check in the admin to make sure the changes were applied as intended.

  • Split up complex conditions — If a change combines multiple conditions (e.g. "all products from manufacturer X with stock below 10 and without tag Y"), it can help to split the request into several steps: first identify the affected products, then carry out the change.

  • No undo function — Bulk changes can't be undone automatically. If in doubt, test with a small selection first before applying a change to your entire catalog.

Tips for bulk changes

  • Query first, then change — First ask which products or orders would be affected before triggering the change. This helps you avoid unintended bulk changes.

  • Formulate clear criteria — The more clearly you describe which objects are affected and what should be changed, the more reliable the result.

  • Use precise terminology — Pickware AI delivers better results with technically precise language. "Set the tag" is clearer than "mark it somehow".
