Tip: If you are new to Pickware for Shopify, we recommend our onboarding series, including the corresponding video tutorials. In the third part of the onboarding series, we show you in a video how to set up the WMS App and how to use it to pick orders.
Download and open the WMS App
You can download the WMS App from the Apple App Store. It allows you to pick your orders, book goods receipts and stock movements, and carry out a stocktake.
When you open the app for the first time, you can either start the configuration or use demo mode. Demo mode automatically connects your device to our demo shop, where you can thoroughly test all functions.
If you want to connect your device to your own shop, tap Start setup. A setup wizard guides you through all the required steps.
Pickware Account login
To use the app, you need a Pickware Account. You should have already created it during the initial setup. For more information about the Pickware Account, click here.
License check
Next, the app checks whether you still have enough free device licenses. If the check is successful, you can use the Continue button to get to the app PIN assignment. If you do not have enough free licenses, you can either manage your already connected devices and remove some if necessary, or book additional licenses.
Assign an app PIN
If the check was successful, you can assign a PIN for the app in the next step. You need it to log in to the app with your user.
You can change the PIN later in the user settings in the Pickware Admin under Settings → System → Users & Permissions. If you have already assigned a PIN in the Pickware Admin, this step is skipped. Once you have entered the PIN twice, you can use the Continue button to get to the printer setup.
Printer setup
Next, you can assign printers to different paper formats and document types. Under Paper formats you will find the formats A4, A5 and A6 as well as various shipping label types. Under Document type you will find all document types that you can create in the Admin.
You can reopen this menu at any time via the settings in the app menu under Printers and make changes. You can find more help with printer setup here.
Save different configurations for multiple shops
In the next step, you can name and save your configuration. The configuration includes all settings you made during the app setup. This way, you can create configurations for different printer setups or different shops and conveniently switch between them using the arrow at the top right.
App login
With that, you have completed the setup of the WMS App and can log in with your user. You can assign the PIN for logging in during the app setup and, if needed, change it in the Pickware Admin under Settings → System → Users & Permissions for your user in the Pickware Authentication section. You also need the Pickware WMS User role. You can find more information about roles and permissions here.
Additional devices and login
Licenses for the WMS App apply per device, not per user. In the Pickware Admin, you can create as many users as you like, and all of them can be selected in the app. You book additional device licenses in your Pickware Account.
You set up an additional device the same way as your first one, with all the steps from this article. You have to set up the printers again on each device. Picking profiles, on the other hand, also apply on the new device without any further setup.
In the device management of your Pickware Account, you cannot deactivate devices, only remove them.
Each employee should log in with their own user and their own PIN. For security reasons, the login in the app expires automatically after a certain time. Simply log in again then.
If a user's password is modified, the app can no longer renew its access in the background and reports Authentifizierung fehlgeschlagen. In this case, log in again with that user.
Start demo mode & reset the configuration
You can save multiple configurations on one device, for example for different shops. On the login screen, tap the Configuration field and select the configuration you want. Using New configuration, you create another one, and the setup wizard then guides you through all the steps again.
To rename or delete a configuration, swipe left in the list. If you delete the last configuration, all settings are lost and you start over with the setup wizard.
To switch to demo mode, first log out of the app. On the login screen, tap the gear icon at the top right and select Start demo mode. Your configurations are kept in the process.
Please note that in demo mode the app connects to our Shopware 6 demo shop. There, you also have access to functions that do not yet exist in Pickware for Shopify.
Further setup steps
Here you will find the settings we recommend for your iOS device, as well as an important note about automatic app updates.
Recommended settings for your iOS device
For comfortable use of our apps in daily business, we advise you to also make the following settings on your Apple devices:
Under Settings → Face/Touch ID & Passcode, disable the mandatory entry of a passcode to unlock the display.
Set the automatic display lock under Settings → Display & Brightness to, for example, five minutes, or turn it off completely.
Reduce the display brightness to achieve a longer battery life for the devices.
Check that the settings for your country are set under Settings → General → Language & Region.
Move the Pickware Apps to the dock at the bottom of the display.
The font size of the WMS App follows the text size of your device. You set it under Settings → Display & Brightness → Text Size, and even larger text under Accessibility.
We also recommend using the Pickware Apps with the sound turned on, so that you get acoustic feedback when scanning barcodes. Please note that, in addition to the volume control in the operating system, iPhones have a silent switch on the left side, which must be deactivated.
Some actions in the WMS App are confirmed by pressing and holding the button. This is intentional and prevents you from confirming something by accident.
Language of the WMS App
The WMS App follows the language settings of the iOS device, not the user who logs in to the app.
If employees with different languages work on one device, you can also set the language for the WMS App only, without changing the language of the entire device: To do so, open the settings of your iOS device, search for the WMS App and select the language you want there.
If the language you want does not appear in the language selection in the app settings, at least two languages must be set under Settings → General → Language & Region in the Preferred Languages section. If only one language is set there, iOS hides the selection. Using Add Language, you can add more languages.
Keep the app up to date
If a new app update for WMS is available, always check before installing whether the changelog of the WMS App requires a minimum version of the Pickware POS or WMS plugin. In these cases, you should install the latest extension version in the Pickware Admin before performing the app update.
In general, make sure to install all updates promptly so that you immediately benefit from new features and small improvements.
You can see which version of the WMS App is running on your device in the app menu under Settings. The version is at the very bottom, below Privacy policy.
You cannot switch back to an older app version, as Apple does not provide for this.
A single device behaves differently
If only one device behaves differently from the others, it is usually running an older app version. Open the WMS App in the App Store and check in the detail view whether an update is available. The button to update sometimes appears only there. If that does not help, uninstall the app and reinstall it.
You turn on automatic app updates in the iOS settings under Apps → App Store → App Updates.
