How do I set up pick profiles?

Pick profiles let you filter your orders in the WMS App or in the Shopware Admin so that, for example, orders with a specific payment method can be processed in a targeted way. By default, a pick profile is created and preselected when Pickware WMS is installed, showing all paid orders. In this article, you'll learn more about the configuration options for creating your own pick profiles.

Configuring pick profiles

In the Shopware Admin under Picking → Pick profiles, you can see all existing pick profiles and create new ones. The Pickable column shows, for each pick profile, how many open orders can be picked based on the current stock in the default warehouse.

In the General section, you can specify whether partial deliveries are allowed for the pick profile.

For each pick profile, you can use the filter settings to specify which orders should be displayed. For each pick profile, you can use the Configure filters section to specify which orders are displayed. Using the Advanced view, you can combine your IF conditions with AND/OR conditions to cover even complex requirements.

For example, if you want to create a pick profile that lets you pick open orders paid by invoice or pay later, you need to configure your pick profile as follows:

Prioritizing orders: picking urgent orders first

If you want to prioritize certain orders — for example, urgent orders, express shipping, or orders that have been open for a while — there are two ways to do this. Using the pick profile, you can mark individual shipping and payment methods as prioritized (see below). There is no fixed sorting of the order list by shipping or order date alone; to specifically find older orders that have been open too long, use the Overdue and Priority/Express cards in the order overview, which are described in the article How do I pick orders via the Shopware Admin?.

Setting prioritized shipping and payment methods

For each pick profile, you can select shipping and/or payment methods that should be displayed as prioritized in the WMS App. The respective orders are then marked with a corresponding icon: a banknote for prioritized payment methods, a delivery vehicle for prioritized shipping methods.

The desired shipping or payment methods can be selected at the very bottom of the pick profile settings.

Using tags for pick profiles

You can assign custom tags to orders or customers and select them in the pick profile configuration in the fields AND tags on the order include at least one of or AND tags on the customer include at least one of.

To assign tags for orders, open the order details and click Add tags in the General tab within the Info section.

Tags for customers can be added by opening the customer and then clicking Edit in the top right. In the Account section, you'll find the Tags field at the very bottom.

Automating tag assignment

It's also possible to automate the assignment of tags. To do this, you can use the Flow Builder to add certain tags via an Action (THEN).

Selecting a pick profile in the WMS App

In the WMS App, in Picking mode, you can select the desired pick profile using the button at the top left next to the search bar. The blue number next to the pick profile's name indicates how many orders match the selected filter settings. For newly created pick profiles to be visible in the app, you may need to log out and back in once.

Under Orders → Overview, you'll find the Pick profile field on the right in the filter settings, where you can choose from all available pick profiles.
