How do I set up picking profiles?

Shopify — Use picking profiles to filter your orders in the WMS App, for example to process orders with a specific payment method.

With picking profiles, you can filter your orders in the WMS App, so that, for example, orders with a specific payment method can be processed in a targeted way. Please note that you need the Advanced or Professional package or Pickware WMS for this.

Configuring picking profiles

In the Pickware Admin under Picking → Picking profiles, you can see all existing picking profiles and create new ones. The Pickable column shows for each picking profile how many open orders can be picked based on the current stock in the default warehouse.

In the General section, you can specify whether partial deliveries should be allowed for the picking profile.

For each picking profile, you can use the filter settings to specify which orders should be displayed. In the Configure filters section, you define which orders are shown for each picking profile. In the Extended view, you can combine your IF conditions with AND/OR conditions to cover even complex requirements.

Note: A picking profile only filters orders. It does not filter individual items and does not define a sequence; the WMS App calculates the walking routes when picking starts. If an order matches several picking profiles, for example because it has several matching tags, it appears in each of these picking profiles.

If you want to create a picking profile that lets you pick open orders purchased via invoice or Pay Later, for example, you need to configure your picking profile as follows:

Note: Pickware takes the payment method, payment state and shipping method of an order from Shopify. For the shipping method, the technical code from Shopify counts, not its title. Only for custom shipping methods with the code "custom" does the title count. If there is a shipping method with the same name in several sales channels (e.g. "Switzerland"), add all of these shipping methods in the picking profile.

If orders arrive with the payment state "Authorized" instead of "Paid", add the condition "Payment state is one of: Authorized" to the picking profile.

Prioritizing orders: picking urgent orders first

If you want to process certain orders first, such as urgent orders, express shipping or orders that have been open for a long time, there are two ways to do this.

Via the picking profile, you can mark individual shipping and payment methods as prioritized (see below).

In the WMS App, orders are sorted by order date, with the oldest order at the top. You cannot set a different sorting, such as by shipping date. To find older orders that have been open for too long, use the Overdue and Prio/Express cards in the order overview, which are described in the article How do I pick orders via the Pickware Admin?

Setting prioritized shipping and payment methods

For each picking profile, you can select shipping and/or payment methods that should be displayed with priority in the WMS App. The respective orders are then marked with a corresponding icon: a banknote for prioritized payment methods, a delivery vehicle for prioritized shipping methods.

Using tags for picking profiles

You can assign individual tags to orders or customers and select them in the picking profile configuration in the fields AND tags on the order contain at least one of or AND tags on the customer contain at least one of.

With tags, you can also deliberately exclude orders. To do this, use a condition that excludes tags ("and not tags" or "tags do not contain"). Typical examples are tags like "Shipping stop", "Clarification needed", "On Hold" or a tag like "International" set by a marketplace connector: orders with such a tag then do not appear in the WMS App. You combine multiple tag conditions with AND or OR via the Extended view.

To assign tags to orders, open the order details and click Add tags in the Info section of the General tab.

Tags for customers can be added by opening the customer and then clicking Edit at the top right. In the Account section, you will find the Tags field at the very bottom.

Tags from Shopify

Tags that you add to an order in Shopify are transferred to Pickware. If you remove a tag in Shopify, this is not transferred: the tag remains in Pickware. Pickware cannot tell whether a tag comes from Shopify or was created in Pickware.

It is therefore better to work with release tags, for example "pick", which release an order for picking, rather than with blocking tags that you would later have to remove again in Shopify.

Automating tag assignment

It is also possible to automate the assignment of tags. To do this, you can have specific tags added within the Flow Builder via an Action (THEN).

For orders that should receive a tag as soon as they come in, the "Order Placed" trigger is suitable in the Pickware Flow Builder. You can also set tags automatically with Shopify Flow, for example for Single Item orders, for orders containing a specific item or for a specific warehouse aisle such as "Aisle 5".

Selecting a picking profile

In the WMS App, in Picking mode, you can select the desired picking profile using the button at the top left next to the search bar. The blue number next to the name of the picking profile indicates how many orders match the selected filter settings.

Selecting a picking profile in the Pickware Admin

You can also see which orders a picking profile covers in the Pickware Admin. Under Orders → Overview, you will find the Picking profile field in the filter settings on the right, where you select the desired picking profile. Also set a filter on pickability, otherwise all orders remain visible.

If an order is missing from a picking profile, you can find the most common reasons in Why is an order not displayed in the WMS App?
