In this article, we introduce the revised picking process for orders in the WMS App. To find out how to process orders directly in the Shopware Admin without the WMS App, see How do I pick orders via the Shopware Admin?.
Filter orders
In the WMS App, you can filter your orders by picking profile. You can select the picking profile using the button to the left of the search bar in the order overview. You can find more information on setting up your picking profiles here.
If you have defined prioritized payment and/or shipping methods in your selected picking profile, matching orders are shown at the top of the list with a corresponding icon: a banknote for prioritized payment methods, a delivery vehicle for prioritized shipping methods.
Selecting an order
Use the Pick next order button to start the picking process for the first order in the list. You can also start with any order if your user account has the Pick any order permission. You can find more about configuring user roles here.
Once you have selected an order, you see all order line items sorted by bin location position (if available) and by bin location. Using the menu at the top right, you can view the information about the order and find the option for a partial delivery, for postponing or for canceling the picking process.
If your user account has the appropriate permission, you will also see the customer's phone number and email address in the order information and can contact them directly if you have questions.
If there is a picking instruction for the order, it appears at the very top in a blue box. The customer's order comment, if there is one, also appears here. Picking instructions for products, if available, are visible directly at the products.
Now tap Start picking.
Capturing products
Once picking has started, the view changes slightly. You now see the associated bin location for each product. In the lower area, you see which product is currently selected. When you scan the product, it is counted below under Quantity. When the required quantity is reached, the checkmark next to it turns green.
Alternatively, you can scan the product once and then confirm the quantity on the display. If you do not take the product from the suggested bin location, first scan the actual bin location or select it by tapping the Bin location field.
Scanning tips: If it is the correct product, a confirmation signal sounds and the screen of your iPod or iPad briefly lights up green. If it is the wrong product, you hear a different signal and the screen briefly lights up red. You can also pick an order manually without a barcode scanner by tapping the individual product line items. However, no visual or audible feedback is given in this case, so make sure you pick the correct product.
Scan requirement: You can specifically prevent confirming by tapping. Using the permissions of the user role, you can specify that products and/or bin locations must be scanned and can no longer be tapped — optionally also in the full quantity instead of just once. Individual products without a barcode can be excluded from this. You can find out how to set this up under How do I manage different user roles for Pickware WMS?
If you have configured that additional information, such as serial numbers or similar, is required, a corresponding prompt additionally appears when capturing the line item. You can find more information on this setting option here.
Once an order line item is completed, you find it at the bottom in the Picked products area.
Confirming products
You confirm a product by scanning it or by using the confirm button. If the quantity is greater than 1 and you only tap Confirm briefly, a confirmation prompt opens. It prevents products from being confirmed accidentally while scrolling and cannot be turned off.
Without the confirmation prompt, you can confirm in two ways:
Press and hold: Hold the button down for about one second until the bar has filled completely. If you release it before then, the confirmation is deliberately canceled.
Scan: Scan the product.
If you tap a product manually, this counts like a scan: the product is pre-filled with 1 unit, and no additional scan is necessary. You complete a preselected product using the Confirm X button, where X stands for the displayed quantity.
Correcting your selection
There is no undo button. As long as you have not yet confirmed a product, you reset the intermediate state by tapping a different product. Line items that have already been confirmed cannot be reverted.
Automatic preselection of the next product
With the option Automatic preselection of the next pickable product under Settings → Extensions → Pickware WMS, you specify whether the WMS App guides you through the order in a fixed sequence. If the option is active, the next product is outlined in blue and opened automatically. If you scan a different product outside of this sequence, the app shows red feedback for a wrong item.
If you want to pick in any order, turn the option off.
Completing picking
After you have scanned all line items, the invoice and/or delivery note are created and printed, depending on the configuration. Next, you can create your shipping label and ship the order.
If needed, you can also postpone orders or carry out only partial deliveries.
What happens if I cancel a picking process?
If you cancel your picking during the process, you can put the products you have already removed back into stock. You can find more on this here.
Viewing and managing picking processes in the Shopware Admin
Under Picking → Picking Processes, you see all picking processes that are in progress, postponed or completed. The views correspond to the Postponed, In progress and Picked tabs in the WMS App. Using these views, you can postpone, cancel or ship ongoing picking processes via the Shopware Admin if needed. You can find more information on this in this article.
