With picking profiles, you can filter your orders in the WMS App or in the Shopware Admin, for example so that orders with a specific payment method can be processed in a targeted way. By default, a picking profile is created and preselected when you install Pickware WMS, which shows all paid orders. In this article, you will learn more about the settings available for creating your own picking profiles.
Configure picking profiles
In the Shopware Admin under Picking → Picking profiles, you can see all existing picking profiles and create new ones. The Pickable column shows for each picking profile how many open orders can be picked based on the current stock in the default warehouse.
In the General section, you can specify whether partial deliveries should be allowed for the picking profile.
For each picking profile, you can use the filter settings to define which orders are displayed. In the Filters section, you define which orders are shown. Using the Extended view, you can combine your IF conditions with AND/OR conditions to cover even complex requirements.
Note: A picking profile only filters orders. It does not filter individual items and does not define a sequence; the WMS App calculates the walking routes when you start picking. If an order matches several picking profiles, for example because it has several matching tags, it appears in each of these picking profiles.
For example, if you want to create a picking profile for picking open orders that were purchased via invoice or Pay Later, you need to configure your picking profile as follows:
Note: Orders paid with Klarna via Mollie have the payment state "Authorized" instead of "Paid". For them to appear in the picking profile, add the condition "Payment state is one of: Authorized". This is easier than changing the payment state via a flow.
Prioritize orders: pick urgent orders first
If you want to process certain orders first, such as urgent orders, express shipping or orders that have been open for a while, there are two ways to do this.
Via the picking profile, you can mark individual shipping and payment methods as prioritized (see below).
In the WMS App, orders are sorted by order date, with the oldest order at the top. You cannot set a different sorting, for example by shipping date. To find older orders that have been open for too long, use the Overdue and Prio/Express cards in the order overview, which are described in the article How do I pick orders via the Shopware Admin?.
Define prioritized shipping and payment methods
For each picking profile, you can select shipping and/or payment methods that should be displayed with priority in the WMS App. The respective orders are then marked with a corresponding icon: a banknote for prioritized payment methods, a delivery vehicle for prioritized shipping methods.
You can select the desired shipping or payment methods at the very bottom of the picking profile settings.
Use tags for picking profiles
You can assign custom tags to orders or customers and select them in the picking profile configuration in the fields AND tags on the order contain at least one of or AND tags on the customer contain at least one of.
With tags, you can also exclude orders in a targeted way. To do so, use a condition that excludes tags ("and not tags" or "tags do not contain"). Typical examples are tags such as "Shipping stop", "Clarification required" or "On Hold": orders with such a tag then do not appear in the WMS App. You can combine several tag conditions via the Extended view using AND or OR.
To assign tags to orders, open the order details and, in the General tab, click Add tags in the Info section.
Tags for customers can be added by opening the customer and then clicking Edit at the top right. In the Account section, you will find the Tags field at the very bottom.
Automate tag assignment
You can also automate the assignment of tags. To do this, you can use the Flow Builder to add specific tags via an Action (THEN).
An example: So that partially shipped orders end up in their own picking profile, create a flow in the Flow Builder with the trigger "Partially shipped" and the action "Add tag". There is a template for this called "Partially Shipped". Alternatively, you can also assign tags using rules from the Rule Builder.
Select a picking profile in the WMS App
In the WMS App, in Picking mode, you can select the desired picking profile using the button at the top left next to the search bar. The blue number next to the name of the picking profile indicates how many orders match the selected filter settings. For newly created picking profiles to be visible in the app, you may need to log out and log back in once.
Select a picking profile in the Shopware Admin
Under Orders → Overview, you will find the Picking profile field in the filter settings on the right, where you can choose from all available picking profiles.
