What Pickware-specific triggers are available in the Flow Builder?

In addition to the general Flow Builder triggers from Shopware, you also have access to Pickware-specific triggers. These allow you to tie automations directly to warehouse processes, shipping operations, and returns in Pickware.

Return – Fully returned

What?

Triggered when a return has been fully received, meaning all items included in the order have been returned.

When?

As soon as the return

  • has been confirmed in the Shopware Admin via the "Accept return" button

    or

  • has been saved in the Pickware WMS App (the return is automatically marked as received in this case).

If an open return already exists, saving it in the app marks it as received.

Why?

- Automatic notification to the customer about the complete goods receipt
- Creation of a credit note or booking of a refund
- Updating internal return statistics

Return – Partially returned

What?

Triggered when only part of the ordered items has been received, meaning a partial return has come in. The order status remains partially fulfilled in this case.

When?

As soon as the partial return

  • has been confirmed in the Shopware Admin via the "Accept return" button

    or

  • has been saved in the Pickware WMS App (here too, the return is automatically marked as received).

If an open return already exists, saving it in the app marks it as received.

Why?

- Automatic notification about a partial return shipment
- Adjustment of order status and stock levels
- Documentation of partial credit notes

Shipping – Fully shipped

What?

Triggered when all items of an order have been fully shipped. The order's shipping status changes to fully shipped in this case.

When?

After completion of the last shipping process, e.g. by scanning the last item in the shipping process.

Why?

- Shipping confirmation to the customer
- Automatic invoicing or booking of the sale
- Handover to accounting system or ERP

Shipping – Partially shipped

What?

This trigger fires when only part of the order has been shipped – for example, in the case of partial deliveries.

When?

As soon as a partial shipment is completed in the shipping process.

Why?

- Notification to the customer about a partial delivery
- Information to purchasing or warehouse that remaining stock is still open
- Create an interim invoice or partial delivery documentation

Reorder – Reorder email sent

What?

Triggered as soon as a reorder has been sent to a supplier by e-mail.

When?

Directly after the e-mail is sent from the Pickware Admin or from purchasing.

Why?

- Internal notification that a reorder has gone out
- Automatic documentation in the purchasing system
- Set a reminder if no delivery has arrived after x days
