How do I create quotes with Pickware?

Shopware 6 — Create custom quotes for customers directly in the Admin and send them by email. When accepted, an order is created automatically.

With the quote feature, you create custom quotes for your customers directly in the Shopware Admin. A quote follows a fixed process: you create it as a draft, send it to the customer by email, and the customer can accept or decline it. When the acceptance is confirmed, an order is created automatically.

Note: The quote feature is included in the Pickware ERP, WMS & POS plugin and is available from the Professional plan.

In the overview under Orders → Quotes, you can click the colored state label of a quote to filter the list directly by that state – for example, to all quotes that have been sent but not yet accepted, as a follow-up list for sales. Using the filter icon next to the customer, you can additionally filter by a specific customer. Another click on the label removes the filter again.

Create a quote

In the Shopware Admin, go to Orders → Quotes and click Create quote.

Select a customer. The company is displayed next to the customer name — so you can search directly for a company and select the right contact person. The associated Sales Channel is applied automatically, but you can also adjust it manually if needed.

You then land in the draft screen. A default shipping method and a payment method are loaded automatically here. Both can be changed — for example, you can choose a different shipping method such as Express or set the payment method to Invoice or Prepayment. The selected shipping and payment method is transferred directly to the order when the quote is accepted.

The shipping costs can be overridden manually if needed. Under Gültigkeitsdatum (Validity date), you specify until when the quote is valid.

In the Products section, you then add the desired items. You can search by product name or product number, or scroll through the list. You can add products by double-clicking. The search stays open, so you can add several variants of a product one after another.

The quantities and unit prices of the line items can be adjusted at any time by double-clicking the corresponding field; the tax rates are applied automatically.

Note: The quote takes over the customer's advanced prices and tiered prices, even if you change the quantity. Adjust the unit price by double-clicking if needed.

For each product, you can also use the list settings to display, for example, the purchase price, list price, or the margin directly, so that when adjusting the unit price you can make sure you still achieve a positive margin.

Using Add custom line item, you can add additional line items that do not exist as a product in the shop — for example, a call-out fee or a service charge. For each manual line item, you define the label, price, and tax rate.

Your custom line items are also included directly in the quote and later in the order.

Using Add credit, you can add credits as negative line items — for example, for a flat overall discount on the cart or an offsetting amount.

The credit is added to the line item list with a negative amount and deducted from the total of the quote.

In the Comment field, you can enter a text that appears on the quote PDF — for example, for terms of validity or individual notes to the customer.

Send a quote

When the quote is ready, you have four options:

  • Save — saves the current state without sending the quote.

  • Download PDF — downloads the PDF for the quote, in case you want to send the quote by other means.

  • Mark as sent — sets the state to Shipped without sending an email via Pickware. Use this option if you have sent the quote by other means.

  • Per E-Mail versenden (Send by email) — opens a dialog with a default text and the quote as a PDF to download.

The header and footer of the Sales Channel are used for the preview and the email. If they are missing, update Pickware to the latest version.

After sending, the state changes to Shipped.

Accept or decline a quote

Afterwards, you can use a button to choose whether the customer declined or accepted the quote:

Decline: The quote is set to the state Declined. For an alternative or follow-up quote, you can Reopen it to edit the quote and send it again.

Accept: When you accept, an order is created automatically. The shipping and payment data stored in the quote as well as the shipping costs are transferred to the order — including the correct tax allocation across the products.

Your quotes at a glance

In the customer detail view, the Quotes tab shows the quotes of the respective customer. This gives you direct access to the quote history from the customer profile.

If an order was created from an accepted quote, a reference to the associated quote is shown in the order detail view.

Customize the quote PDF

You customize the logo and title of the quote PDF in the settings of your Shopware Admin.

If your logo is missing on the quote PDF, enable the Kopfzeile (Header) option in the document settings for quotes.

Change the title of the quote PDF

You change the title "Quote" on the PDF via the text snippet pickware-quotes.quote-document.title under Settings → Textbausteine (Snippets). For custom texts, use the Comment field.

Footer on the quote PDF

By default, the quote PDF has no footer. Unlike the invoice, no details therefore appear in a footer there, even if they are stored in your document settings. For custom texts on the quote, use the Comment field.

Pickware quotes and Shopware Commercial

Pickware's quotes are a separate feature. They are independent of the quote management in Shopware Commercial or the B2B Components and do not override it. Error messages for quotes from Shopware Commercial, e.g. QuoteException … Shipping method … not available, therefore come from Shopware Commercial. Contact Shopware with such errors.
