How do I create invoice corrections?

Shopware 6 — Create invoice corrections for returns and credits. Easily handle shipping costs and discounts afterwards.

In this article, you will learn how and under which conditions you can create an invoice correction, refund shipping costs, and offset discounts.

Create invoice correction

In the order overview, you will find a corresponding quick button for creating invoice corrections at the top in the General tab.

To create an invoice correction for an order, the following conditions must be met:

  1. An invoice was previously created for the order.

  2. Changes were made to the order (e.g. return, modified shipping costs, credit line item, empty line item, or modified line items) that make an invoice correction necessary.

You can find everything about the configuration of the document template for the invoice correction here.

Create an invoice correction without a return

You don't need a return for an invoice correction. A change to the order is enough: for example, change the shipping costs, add a credit line item or an empty line item, or modify a line item. Save the order and then click Invoice correction in the General tab.

The invoice correction shows the difference between the state of the order at the time of the last document and its current state. If nothing has changed since then, the preview shows €0.

If the amount actually refunded differs from the amount of the return, for example by €5.05, add a manual line item for the difference.

If you use the DATEV export, also record a partial refund as a DATEV payment with a negative amount. You can find out how this works in How is the amount of automatic DATEV payments and DATEV refunds determined?

Create an invoice correction for returns

During the return process, a button for creating the invoice correction is available to you as soon as the return has been accepted.

Even if the return is completed and the returned products have been booked in or written off, you can still adjust the quantities within the return in order to create an invoice correction. This then simply no longer affects the stock movements.

You can find the complete guide to handling returns with Pickware here: How do I process returns?

Refund shipping costs

Shipping costs are preselected for refund by default. If needed, you can deselect the refund using the checkbox in the Line items section. For an existing return, toggling this is saved and recalculated immediately; there is no separate save button for it.

Withhold a return shipping or return fee

If you want to withhold a return shipping or return fee, add an empty line item with a positive amount to the order and then create the invoice correction. If you instead enter the fee as a credit, it increases the refund instead of reducing it.

Offset discounts for full returns

Discount line items from the order are preselected when you edit the return. If you deselect them, the invoice correction does not take them into account.

Offset discounts for partial returns

If it is only a partial return and you therefore want to refund only part of the discount, proceed as follows:

When accepting the return, select only the products in the corresponding quantity that were returned. Deselect the preselected discount line item.

In this example, one of three products was returned. The original order included a 10% discount on the entire cart. The customer should therefore not be refunded the full unit price of €11,289.36, but only the price reduced by 10%, i.e. €1,128.94.

Therefore, open the associated order, click the arrow to the right of Add product, and select Add empty line item. For better traceability, enter a suitable name and enter the share of the discount that applies to the returned product in the Gross price field.

Save the order and create an invoice correction. On the invoice correction, you can now see that the amount to be refunded has been reduced by 10%.

You enter the tax rate of the empty line item yourself; Shopware creates it with 0%.

You also use the same approach with an empty line item in these cases:

  • A voucher whose minimum order value is no longer met after the partial return. There is no automatic check of the minimum order value.

  • Small-quantity surcharges

  • Refunds without a return shipment. You don't need a return for this. Check the amount beforehand using the invoice correction preview.

Pickware does not reactivate vouchers from voucher plugins in the case of a partial return. In the case of a full cancellation, the plugin triggers the reactivation via the order status Voided, not Pickware.

Create another invoice correction for the same order

Each additional invoice correction compares the current state of the order with the last document. If you created a manual line item for a partial return, for example for a proportional discount, do not delete it for the next invoice correction; instead, adjust its amount. Then check the invoice correction preview.

Note on e-invoices (ZUGFeRD/XRechnung)

If you use the e-invoice types in Shopware (e.g. Rechnung: PDF mit eingebetteter ZUGFeRD E-Rechnung), please note: you cannot yet create invoice corrections for e-invoices. A solution that lets you create invoices, cancellation invoices, and invoice corrections as e-invoices is in the works. Until then, you cancel the original invoice completely using a cancellation invoice and then create a new invoice.

What is the difference between an invoice correction and a cancellation invoice?

A cancellation invoice is needed, for example, to correct the address or the contact person on the original invoice. This cancels the original invoice and creates a new one. If you want to cancel an order that has not yet been shipped, you can also use a cancellation invoice.

An invoice correction, on the other hand, must be created when changes occur to the invoice line items, for example as part of a return.

For an address or template correction, you can trigger the cancellation and reissue directly from the invoice's context menu with one click. You can find out how this works in the article How can I cancel and regenerate an invoice?

Is there a partial cancellation document?

There is no dedicated partial cancellation document in Pickware for Shopware 6. If only part of the order is cancelled or returned after the invoice has been created, you represent this with an invoice correction. It contains the difference between the state of the order when the invoice was created and its current state.

Can I use the Shopware credit note document?

The Shopware Gutschrift (credit note) document is not supported by Pickware. Among other things, it is not taken into account in the DATEV export and can only represent one tax rate. Use an invoice correction or a cancellation invoice instead.
