Stocktake counting in the Shopware Admin

Record and save stocktake counts in Pickware for Shopware 6 directly in the Shopware Admin, one by one or for many products at once.

In the Shopware Admin, you record stocktake counts on your computer, for example when you counted in the warehouse with pen and paper. To do this, you work in the Uncounted tab of the respective stocktake under Warehousing › Stocktake. For each bin location, you enter the counted quantities and save them. Only when you save do they appear in the Counted tab.

Which products appear in the Uncounted tab

The Uncounted tab lists all products that have stock in the selected warehouse or have a default bin location assigned there, each with its bin location. The Expected column shows the current stock at that bin location. It is not frozen when the stocktake starts but changes with every sale. The expected amount is only fixed once you save a count.

You add products without stock afterwards in the Counted tab, see Why can't I see a product in the stocktake?

Entering count values

If you counted a different quantity than expected, click the edit icon at the end of the row. The row becomes editable, you enter your quantity in the Counted column and confirm.

If the expected amount is correct, it's faster: The blue arrow in the row copies the amount from Expected into the Counted column. The blue arrow in the column header copies the expected amounts for all rows on the current page. Using Items per page at the bottom right, that can be up to 500 at once.

Attention: Only copy expected amounts for products you have actually counted. Otherwise, you confirm a stock level that nobody has verified.

Saving counts

Select the rows using the checkbox on the left and click Apply all selected counts above the table. The selection is kept when you switch pages. You save a single bin location via the context menu at the end of the row with Save stock count, and a product on Unknown with Save product count.

The whole bin location is always saved. Pickware saves entries without a count value as 0, see What happens to products I don't count at a bin location?

Attention: If you switch tabs before saving, your entries are lost. For details, see Why is my stocktake count not being saved?

Counting products without a fixed bin location

Products without a fixed bin location appear in the list with the bin location Unknown. Here, multiple saved counts of the same product are added together, not replaced. If you have already saved a product with 3 and later save another 2, the stocktake ends up with 5. If in doubt, check in the Counted tab what has already been recorded.

Filtering the displayed products

Using the filter icons in the table, you display all products of a bin location or all bin locations of a product. In the filter menu on the right, you can also filter by category, manufacturer, or tag, hide inactive products, and define whether stock at the bin location Unknown is displayed. If you count in stages, the Last counted filter helps, see Rolling stocktake.

After counting

You'll find all saved counts in the Counted tab. There you review and correct them before you complete the stocktake, see Correcting stocktake counts and adding products afterwards.
