How can I map Shopify locations to my Pickware locations?

Shopify - Create mappings, activate the stock export, and what happens when you change, remove, or deactivate a mapping.

So that Pickware knows which orders it should process and where stock belongs, you assign a Shopify location to each Pickware location. Without a mapping, the orders of a Shopify location are treated as externally fulfilled. Locations and fulfillment orders with Pickware explains what locations are.

Where do I find the mappings?

Under Warehousing → Locations, open a location. On its detail page, you will find the Shopify location mappings card with all Sales Channels and the assigned Shopify locations.

A Shopify location always belongs to exactly one Pickware location and vice versa. If you connect multiple Shopify shops to the same Pickware Admin, a location can have one mapping per shop.

Create a mapping

Use Add shop … to select the Sales Channel and, within it, the Shopify location you want. Two cases are not available for selection:

  • Shopify locations that are already assigned to another Pickware location or are managed externally.

  • Shopify locations that are deactivated in Shopify.

Save the mapping before you activate the stock export — until then, the option is not available.

Warehouse zone for fulfillments

In the Warehouse zone for fulfillments field, you define from which warehouse zone of this location stock is booked out when a fulfillment is imported from Shopify — that is, when it has already been shipped there. If you make no selection, the default warehouse zone of the location is used.

Activate the stock export

With the stock export, Pickware transfers the available stock of this location to the assigned Shopify location in real time. Pickware thereby becomes the leading system for its stock management. Other mappings are not affected.

When you activate it, a dialog guides you through the first sync in four steps. There you decide in which direction it runs:

  • Import stock from Shopify — the stock of the Shopify location is imported once into the Pickware location and booked into the default warehouse zone there. The existing stock of the Pickware location is overwritten in the process.

  • Export stock to Shopify — the available stock of the Pickware location is transferred to Shopify and overwrites the stock there. The export runs in the background and can take a few minutes.

Attention: If you import the stock from a Shopify location that is still empty, your Pickware location will also be at 0 afterwards. Therefore, only choose Import stock from Shopify if the stock at the Shopify location is correct.

Note: Pickware can only export stock for products that are stocked at the Shopify location. If a product is not stocked there, the Shopify location receives no stock for that product, and you will not see an error message. How to stock products at a location is described in Guide: How do I set up a second location?.

After that, Pickware transfers every stock change automatically. You can deactivate the stock export again at any time.

If you sell the same products through multiple connected Shopify shops, the dialog additionally points out what this means for your stock in the other shops.

Change or remove a mapping

You confirm both in a dialog because they affect running processes. If you remove a mapping or change it:

  • The fulfillment orders of the previous Shopify location are no longer displayed at this Pickware location in the WMS App.

  • If the Shopify location is not assigned to another Pickware location, its fulfillment orders are treated as externally fulfilled and can no longer be processed through Pickware.

  • The stock sync for this mapping is deactivated automatically. If you later activate a new mapping, you have to deliberately turn it back on.

As long as a Pickware location is linked to a Shopify location, it cannot be deleted. To do so, first remove the mapping.

When a Shopify location is deactivated or deleted

If you deactivate a mapped location in Shopify, Pickware shows this on the mapping and notifies you. Then the following applies:

  • Shopify moves the stock of this location to other Shopify locations. This does not happen in Pickware — you decide yourself what should happen to the stock at the Pickware location.

  • All open fulfillment orders are moved to other locations in Shopify.

  • No more stock is transferred from Pickware to this Shopify location.

In this case, check whether you want to move the mapping to a different Shopify location or remove it entirely.
