What does the Shopify location mean for Pickware?

Shopify — The linked location determines which stock Pickware syncs with your shop. Only one location can be linked directly; others are treated as external.

Note: This article describes the stock logic without locations. If you can manage multiple locations in the Pickware Admin under Warehousing → Locations, Locations and fulfillment orders with Pickware applies to you instead.

In this article, you'll learn what the Shopify location means for your Pickware integration. Although you can create multiple locations in Shopify, only one of them can be linked directly to Pickware. All other locations are treated as external by Pickware. You can find out how to handle orders from external locations in this separate article.

Below, you'll learn how the location mapping affects the processes of your online shop. The general rule is: The Shopify location is used for all Pickware functions that export stock from Shopify or transfer stock changes to Shopify.

We show you how to link the Shopify location with Pickware in a separate article.

Shopify location & product import

Once your Shopify shop has been successfully linked with the Pickware Admin, a product import is started. All products from your linked Shopify shop, along with their stock at your default location, are transferred to Pickware.

Once the products have been created, changes to the product properties are synchronized automatically, but stock is then only transferred as part of the stock sync.

Shopify location & stock sync

The stock sync is divided into two processes. During the stock export, stock is exported from Pickware to the linked Shopify location. During the stock import, stock is imported from the linked location in Shopify to Pickware.

The stock export can be automated. If you deactivate or delete the Shopify location selected in Pickware in Shopify, the automatic stock export is deactivated to avoid stock errors.

Shopify location & order fulfillment

The following applies to orders received for the linked Shopify location:

  • When orders come in in Shopify, the available stock is reduced in both Shopify and Pickware, and the reserved stock increases. In Pickware, the available stock of the products is calculated based on the stock of all warehouses.

  • As soon as you ship the order in Pickware, the stock is booked out in Pickware and Shopify at the same time, and the reservation is released.

Shopify location & returns

Stock adjustments made as part of returns, for example because a returned product is put back into storage, are also corrected at the linked Shopify location.
