So far you have been working with one location, and you want to manage a second one (store, warehouse, pop-up) with its own stock in Pickware. This guide walks you through the setup in five steps. For the Shopify side, we refer you to Shopify's instructions, above all Setting up and managing locations.
Note on availability: These features are being rolled out to merchants gradually. If you don't see any locations in the Pickware Admin yet, the switch has not yet been made for your shop — contact us if you would like to use them.
What are a location and a warehouse zone?
What used to be called Warehouse in Pickware is now called Warehouse zone: a defined area at a location in which goods are stored on bin locations, for example the high-bay warehouse, the picking area, or the sales floor.
Above that is the Location: a place with an address, where one or more warehouse zones are located and which has its own stock. During the update, Pickware created a location called Main location for you and put all your previous warehouse zones into it. A Pickware location corresponds to exactly one Shopify location: Shopify decides which location fulfills an order, and Pickware picks and ships it there.
The five steps
Step | What happens | Where |
1 | Prepare: WMS App, Shopify location, enable products, open processes | Shopify, WMS |
2 | Create the location and link it to Shopify | Pickware |
3 | Move stock | Pickware, WMS |
4 | Assign WMS devices to the location | WMS |
5 | Switch over Shopify: routing, POS, unavailable stock | Shopify |
Stick to the order. In step 2, you link the new location to Shopify while it is still empty. The stock export is then already in place, but reports 0. Only after that do you move stock: as soon as it arrives at the new location, Pickware exports the quantity to the new Shopify location, and at the same moment it decreases at the old one. If you do it the other way around, the quantity at the old location drops online, and the new one doesn't report anything yet. Your customers then see less stock than you actually have.
Step 1: Prepare
1.1 Update the WMS App
Update the Pickware WMS App to the latest version on all devices. Older versions don't know about locations and show incomplete lists when there are multiple locations.
1.2 Define the target setup
Three questions to answer beforehand:
Which Shopify location should Pickware manage? Locations you don't link (fulfillers, dropshippers) remain external as before.
What will be at the new location in the future: store stock, shipping stock, or both? Should the location fulfill online orders?
Which warehouse zones (formerly warehouses) will move, or does the location start empty and you book in stock via goods receipt?
1.3 Create the location in Shopify
If the location doesn't exist in Shopify yet, create it under Settings → Locations and enter the address. Decide at this point whether the location should fulfill online orders (switch Use this location's inventory for online orders). How to do this is described in Shopify's guide Setting up and managing locations.
Depending on the plan, Shopify allows a fixed number of active locations (Starter 2, Basic/Grow/Advanced 10, Plus 200). Deactivated locations and app locations don't count. Under Settings → Locations you can see your limit.
Leave routing priorities, shipping profiles, and POS devices as they are for now. That comes in step 5, once stock is at the new location.
1.4 Enable products at the new Shopify location
Shopify manages stock per location. A product is enabled at a Shopify location when Shopify holds a stock quantity for that product there. Only then can the location sell the product and fulfill orders for it, and only then can Pickware export stock to it.
Shopify does not automatically enable existing products at a new location. If a product is not enabled, the new Shopify location receives no stock from Pickware for that product, and you won't see an error message.
Therefore, enable all products that will be stored at the new location in Shopify at the new location. The quantity can stay at 0 — Pickware will set it later.
Individually: product page → Inventory → Edit locations → check the location.
Up to 50 products: Products → Inventory → select products → bulk editor → activate location.
Large catalog: export inventory as CSV, add a column with 0 for the new location, and import it.
Shopify's guide on this: Managing inventory across multiple locations.
1.5 Plan for open processes in the warehouse zones being moved
The easiest way to bring stock to the new location in step 3 is to move entire warehouse zones. This is only possible if nothing is in progress in the warehouse zone. So plan a time window now in which the following processes are completed:
Must be completed | Counts as open |
Picking processes in the WMS | in progress or postponed (paused) |
Deliveries from picking processes | anything before shipped: picked, documents created, packed |
Goods receipts | draft, created, released, in progress |
Stocktakes | active |
Open supplier orders and returns do not block. Pickware shows you what is still open when you move.
Step 2: Create the location and link it
2.1 Create the location
Warehousing → Locations → Create location.
Code (unique, e.g. LAD) and Name (e.g. Store Darmstadt).
Address. It is inherited by all warehouse zones of the location and is the sender address for shipping labels from there, unless you configure otherwise.
A new warehouse zone. Every location needs at least one, so you create one right here. It becomes the default warehouse zone and the default goods receipt zone of the location. Existing warehouse zones only move in step 3. If you don't need the new warehouse zone later, you can delete it as soon as another warehouse zone is assigned to the location.
If your labels from this location should carry a different sender address, activate the alternative address on the location's detail page.
2.2 Link with Shopify
Location detail page → Shopify card → select Shopify location. Per shop, one Shopify location belongs to exactly one Pickware location and vice versa.
2.3 Activate the stock export
On the same card, you switch on the stock export of the allocation. It now exports 0, which is correct. From now on, the available stock of this Pickware location flows automatically to exactly this Shopify location.
To check, you can book a small stock change in the new warehouse zone, for example add one item, and verify in Shopify that the quantity at the new location follows. Then remove it again.
What runs automatically from now on
Shopify decides which order is fulfilled at which location. How you control this is described in step 5. For every Shopify fulfillment order at your linked Shopify location, Pickware creates a fulfillment order at the Pickware location; the shipping order and picking follow there, and shipping happens from there.
Changes in Shopify (location change, splitting, putting on hold, cancellation) are applied automatically. If a link is changed or removed, the stock export stops and must be deliberately switched on again.
Step 3: Move stock
You have three options. The first is the best.
3.1 Move a warehouse zone (recommended)
The stock moves with the warehouse zone, both location stocks change at the same moment, and both exports run immediately. There is no time window in which stock is missing online.
Complete all open processes in the warehouse zone (table from 1.5). Choose a time window in which no new picking starts there, for example before the start of a shift.
Warehousing → Locations → activate edit mode.
Drag and drop the warehouse zone onto the new location.
Check in the dialog what Pickware displays: if processes are still open, Move is blocked — complete them and try again. If it is the default warehouse zone of the old location, choose a new default warehouse zone there. If it is the last warehouse zone of the old location, Pickware asks whether the location should be deleted or a replacement warehouse zone should be created.
Confirm the move.
3.2 Goods receipt at the new location
If the location is being stocked from scratch (delivery directly there), simply book the goods receipt at the new location. The export runs with every booking.
3.3 Remove and add manually (only if necessary)
Remove at the old location, add at the new one. Between the two bookings, the stock is invisible online. Fine for individual items, not for entire product ranges. For those, use 3.1 or the CSV import per location instead.
3.4 Transfer via stock movement in the WMS App
In the current version of the WMS App, you can also transfer stock to another location via a stock movement. To do this, select a bin location in a warehouse zone of the other location as the destination. Your device stays assigned to its location.
After the move
In Pickware, open the stock overview per location; the total stock is the sum of both locations. In Shopify, open a product that was moved: the new location shows the moved stock, the old one the rest. If a product is completely missing at the new location, it is usually not enabled there (see 1.4).
Step 4: Assign WMS devices to the location
Each WMS device works for exactly one location. The picklist only shows orders for this location, and under Select warehouse zone only the warehouse zones of this location appear. In the product view, you see the stock of your location and, expandable below it, Other locations.
Existing devices are automatically assigned by the app to the location to which their previously selected warehouse zone belongs. If the warehouse zone moves in step 3, the device moves with it. Still, check on each device under Settings → Select location that the right location is set.
New devices ask for the location right during setup after the shop login.
Device changes location (e.g. a scanner moves to the store): Settings → Select location → choose location.
Picking profiles apply shop-wide and automatically take effect for the orders of every location. You don't need to create any for the new location.
Step 5: Switch over Shopify
Only now, when stock is actually at the new location and the devices are set up there.
5.1 Rebook unavailable stock (everyone)
If you have marked stock as unavailable in Shopify (e.g. damaged goods, reserve), that quantity stays at the old location in Shopify. Pickware does not move it along. Set it back to available at the old location and mark it as unavailable at the new location. How to do this: Inventory states in Shopify.
5.2 If you use Shopify POS
Switch your POS devices to the new location: POS app → Settings → Location → switch. From then on, sales and returns at the cash register book the stock of the new location. How to do this: Shopify POS locations.
5.3 If you ship from both locations
Routing priorities: Settings → Shipping and delivery → Order routing. Define which location is used first for online orders. How to do this: Order routing.
Shipping profiles: Add the new location to the shipping profiles from which it should deliver. Without an entry in the shipping profile, its stock doesn't count online. How to do this: Fulfillment locations in shipping profiles.
Good to know: What counts as available online
Shopify shows your customers the sum of the available stock of all Shopify locations that are active, have the Use inventory for online orders switch enabled, and are in the relevant shipping profile. A POS-only location without this switch doesn't count online, but its stock remains usable for the cash register. Pickware exports stock regardless of whether it counts online — Shopify decides.
What comes next?
Transfers between locations. Today you bring stock from one location to the other via goods receipt at the new location, via stock movement in the WMS App (see 3.4), or via CSV.
Stocktakes, demand planning, and valued inventory per location. Today they run per warehouse zone.
