How do I design my own templates for product labels?

Shopify — Create custom label templates: set label size and margins, place barcode, product fields, text and images freely, and select the template when printing.

In addition to the default layouts for product labels, you can design your own label templates. You set the label size and margins and freely place the barcode, product fields, text and images on the label. When printing labels, your templates are then available for selection.

Open label templates

You can find your templates in the Pickware Admin under Settings → Shop → Label templates. Alternatively, in the Create product labels process, you can also get there directly via Manage templates.

In the overview, you see the Name, the Label size and the Label sheet the template is designed for. If no sheet is set, it says No sheet. Via the actions of a row, you can Open, Duplicate or Delete a template. We have already created a sample label in the overview.

You create a new template via Create label template.

Set label size and margins

In the editor, under Template – general, you first set the Template name and the Label size.

Design a template for a label sheet

In the Label sheet field, you specify whether the template is designed for a specific label sheet, for example from Avery Zweckform or HERMA:

  • No sheet, free size: You set the label size yourself, as described below. Whether you print on a roll or on plain paper is only decided when you create the labels.

  • A specific label sheet: The cell of the sheet is the label. The editor takes the width and height from the sheet, and they cannot be changed. The template is then printed only on this sheet.

To find out which sheets are available and how to create your own, read How do I set up label print formats? Via the Manage label sheets link next to the field, you get there directly.

If you have not selected a sheet, we offer the following presets for the label size for common label printers:

  • 60 × 40 mm (roll, standard)

  • 50 × 30 mm (roll)

  • 40 x 40 mm (roll, square)

  • 32 x 25 mm (roll, compact)

  • 89 x 28 mm (DYMO 99010)

  • 89 × 36 mm (DYMO 99012)

  • 101 x 54 mm (DYMO 99014)

  • 102 × 152 mm (Zebra shipping)

Of course, you can also create your own sizes. To do so, enter the Width and Height yourself — 10 to 300 mm per edge is possible. Then you set the four margins: Margin top, Margin left, Margin right and Margin bottom, each 0 to 50 mm. The printable area lies within the margins. If you make the label smaller, the editor moves existing elements inward so that they stay within the printable area.

Place elements

Via Add elements, you can place seven types of elements on the label:

  • Free text — a fixed text that is the same on every label

  • Product field — a value from the respective product, for example the product name or the price

  • Print date — the date on which the label is printed

  • Barcode — a scannable code from a number field of the product

  • Product image — the cover image of the respective product

  • Manufacturer logo — the logo of the manufacturer of the respective product, if one is stored

  • Image — a fixed graphic from the media library, for example your logo

Simply click one of the elements. Then drag it to its position with the mouse. While dragging, the editor shows alignment guides that make it easy to adjust the size of the elements. Positions and sizes snap to half millimeters. The preview shows you live what the label will look like.

As soon as an element is selected, the template field changes into a field for the currently selected element. Here you can also position an element to the millimeter via X position, Y position, Width and Height. In addition, each element can be sent Bring to front or Send to back, Duplicated and Removed.

There is no automatic text flow while editing: an element stays exactly where you put it and does not push its neighbors away.

Product fields and barcodes

The following Product field options are available:

  • Product number

  • GTIN / EAN

  • Manufacturer product number

  • Supplier product number

  • Product name with variant properties

  • Product name without variant properties

  • Variant properties

  • Product properties

  • Manufacturer

  • Purchase price

  • List price

  • Lowest price in the last 30 days

  • Base price

  • Content

  • Pack unit

  • Weight

  • Dimensions

  • Price

For Product properties, under Properties you choose whether All of the product or only Selected ones are printed. With Show property, the name of the property is additionally shown before the value.

A Barcode can only encode number fields, for example the product number or the GTIN / EAN — not the product name or a price. With Show the content below the barcode, you additionally display the encoded number as text below the barcode.

If the selected field is not maintained for a product, a fallback applies depending on the field: for some fields the product number is printed instead, for others the spot on the label stays empty. Which case applies is shown as a note directly below the selection field.

Base price

Pickware does not take the base price from Shopify. Pickware calculates it from three fields on the Pickware product: Sales unit, Unit of measure and Base unit. The formula is: selling price ÷ sales unit × base unit. For Pickware to be able to calculate a base price, all three fields must be maintained.

Text, font and colors

For Free text, Product field and Print date, you can freely configure Font size, Font weight (Normal or Bold) and Alignment (Left, Centred, Right).

You can also set the Font color and Background color — helpful if text is to appear on a background image. Note the hint in the editor: most label printers print in a single color, so colors appear there as grayscale.

For Product image, Manufacturer logo and Image, you use Fit to specify whether the image should be fully visible (Contain (fully visible)) or fill the frame and may be cropped in the process (Cover (cropped)).

With the Image element, you can freely insert an Image file.

Preview and saving

At the bottom left, the Preview shows the label as it will be printed. Via Preview product, you select one of your products; without a selection, the preview is generated with sample data.

With Save, you save the template. If an element lies outside the printable area, the template cannot be saved and you get a corresponding error message. In this case, drag the element completely into the area within the margins.

Use a template when printing labels

Go to the product overview, select the desired products via the checkbox and click Create labels. In the Create product labels dialog, you find your templates in the Layout field under the Custom templates group. Via Manage templates, you get directly to the overview of your label templates.

If a label sheet is set in the template, this sheet is fixed in the Paper section. For templates without a sheet, you choose there whether to print individually on a roll or in a free grid on plain paper. If you also want to print a template with a sheet on a roll or plain paper, duplicate it and save the copy without a sheet.

With Create labels, you receive the labels as usual as a PDF file to download. If the selected template contains a GTIN / EAN field and no GTIN / EAN is stored for individual products, the dialog points this out and prints the product number for these products instead.

You can also use your saved templates for label printing when editing goods receipts.

Design labels with Pickware AI

In the editor, you can also describe the label in the chat instead of placing each element yourself — for example “add a barcode”, “make the price bigger” or “align the elements to the left”. Pickware AI only changes the draft you currently have in front of you: every change appears immediately in the preview, and it is only saved when you click Save. To find out what Pickware AI is and how to activate it, read What is Pickware AI?.

What a label template does not cover

  • Templates apply exclusively to product labels. Bin location labels are created via a separate dialog.

  • There is only one font and no text wrapping. A text that is wider than its element does not flow onto the next line.

  • Tables cannot be represented.

  • Only the product fields mentioned above are available as content. Metafields, stock levels and categories cannot be placed on the label.

  • Selling prices are printed as gross prices in the default currency, the purchase price as a net price. Prices in other currencies or Sales Channels cannot be selected.
