How do I use the Bundles.app by Gazebo with Pickware for Shopify?

The Bundles.app by Gazebo allows you to flexibly create bundles for your Shopify shop and automatically synchronize them with Pickware when an order comes in. The Bundles.app takes over the calculation of the availability of the bundle parent based on the bundle children in Shopify and ensures that overselling can't occur in your shop. To create bundles, you use the external user interface of the Bundles.app.

Function & display in orders

In Shopify, your customers only see the bundle parent throughout the entire frontend. This applies to the listing, the cart, and the checkout. If needed, you can list the individual product components in the listing. So the customer only orders the bundle parent, not the individual children.

Shortly after the order is received, the Bundles.app automatically edits the order and adds the bundle children to the order with a 100% discount. In the following example, the product Hoptimist Gelb was ordered again in addition to the bundle above.

After this automatic editing of the order, it is automatically imported into Pickware. In Pickware, in addition to the bundle parent, the associated bundle children (the individual products contained) are imported as nested order line items.

During picking with the WMS, only the actual products need to be confirmed, not the virtual bundle parents. However, so you always keep track of the fact that some products may need to be packed together, you're shown that product bundles are included in an order.

If the products are already stored pre-packaged, you can also open the bundle in picking with one click and confirm all products that are part of the bundle.

If you pick using the picking list instead, only the products that actually need to be collected are displayed.

On the other order documents (delivery note, invoice), only the bundle parent appears, i.e. the product that the customer actually ordered.

If you need to create export documents because you ship to third countries (outside the EU), only the products actually contained in the package are listed on the customs declaration or the commercial invoice.

Returns of bundle products in Pickware

Returns for bundle products can be created normally via Shopify or Pickware. You can find all information on general return processing with Pickware here.

If you create a return for a bundle order via the Pickware Admin, all products that are part of a bundle are marked with a prefix. On the WMS, these products aren't currently marked.

After creating and processing the return, you can create a credit note as usual. If the bundle is returned in full, only the bundle parent appears on the credit note, as usual. If only bundle children are returned, they aren't shown on the credit note.

Stock changes of the bundle children in Pickware

As soon as the stock of one of the assigned bundle children changes in Shopify, the Bundles.app automatically updates the stock of the bundle parent. For example, if a goods receipt for a bundle child is entered in Pickware and the stock is transferred to Shopify, the stock of the bundle parent is automatically recalculated.

Configuring the Bundles.app

For the app to work correctly with Pickware, the following settings must be enabled or disabled in the Bundles.app:

Enable Order Editing so that the bundle children are automatically added to the order shortly after the order is received.

Disable Automatic Fulfill so that bundles are displayed correctly in the WMS and can be picked manually.

The Bundles.app takes over the calculation of the availability of the bundle parent in Shopify. Therefore, stock management for bundle parents shouldn't be enabled in Pickware, so that the stock of these products isn't overwritten in Shopify. Stock management in Pickware is automatically disabled once the first order for a bundle parent is received. Alternatively, you can set this manually in advance for the respective product in Pickware under General (Allgemein)Availability (Lieferbarkeit).

Limitations

The compatibility between Pickware and the Bundles.app is currently based on the Order Edit feature of the Bundles.app. After an order is received, the app edits the order and adds the bundle children to it. Shopify doesn't allow editing imported orders. Therefore, the Bundles.app can't edit orders that were, for example, created by marketplace integrations such as magnalister. The bundle children aren't added to these orders, so they appear incomplete in Pickware and can't be picked or deducted correctly. You can find more information on this directly from Shopify here.
