Create quotes by prompt with Pickware AI

Learn how to create quotes by prompt — from 15 clicks and several minutes down to a single sentence.

Creating a quote: select the customer, search for products, enter quantities, adjust prices and discounts, save, send. Done manually, that quickly adds up to 15 clicks and several minutes — and with several quotes a day, it adds up considerably. With Pickware AI, you do it all in a single prompt.

Create a quote by prompt

The most direct way:

Write a quote to Müller GmbH for 10 units of item X and 5 units of item Y.

Pickware AI creates the quote, assigns the products and applies the stored prices. Afterwards, check the quote it created in the Admin before you send it.

Quotes with discounts and terms

You can specify discounts and terms directly in the prompt:

Create a quote to Conrad Electronic for 5 Terra PCs and 5 monitors with 15% discount like last time.

Pickware AI draws on the quote history and takes over the terms from previous quotes. The "like last time" is especially time-saving, because you skip the manual research for earlier prices and discounts.

Query the quote history

Before a new quote, it's often worth taking a look at previous quotes:

Which quotes have we written to Müller GmbH in the last 3 months?

and:

What terms did we have in the last quote to Conrad Electronic?

This way you make sure your new quote is consistent with earlier terms.

From 15 clicks to one prompt

The classic way to create a quote looks like this: You think about what should be offered. You open the Admin. You navigate to Quotes. You click "New". You type the customer name. You search for the first item. You enter the quantity. You search for the next item. You adjust the price. You save. You send.

With Pickware AI, this becomes a single sentence. And that applies to every quote, every day — the time savings multiply.

Tips for quotes via AI

  • Give the customer name exactly — "Müller GmbH" is more precise than "Müller". The more precise the customer name, the more reliable the allocation.

  • Use context — Phrases like "like last time" or "with the same terms as in March" save you the research for earlier prices and discounts.

  • Check the result — Review the quote that was created in the Admin before you send it to the customer — especially prices, discounts and quantities.
