Connect Pickware MCP Server

With the Pickware MCP Server, you can connect AI assistants like Claude or ChatGPT directly to your Pickware installation. Instead of clicking through menus, you access your ERP data via chat, perform bulk changes, or handle routine tasks — in a few prompts instead of many clicks.

MCP (Model Context Protocol) is an open standard. That's why the Pickware MCP Server doesn't just work with a single provider, but with all AI assistants that support MCP.

What you can do with the MCP Server

  • Query data – stock levels, open supplier orders, order volume, picking throughput, daily reports.

  • Ask cross-entity questions – "Which products with stock 0 appear in open orders?"

  • Look up suppliers and products – "Show me which products we order from supplier XY."

  • Check shipping status – "What's the current shipping status of order #12345?"

The AI assistant performs every action with the permissions of your Pickware user account. Whatever your user account isn't allowed to do in the admin, the AI assistant can't do either.

Requirements

  • An active Pickware license.

  • A user account with an AI assistant that supports MCP (e.g. Claude, ChatGPT).

  • A Pickware user account with permission to view the personal MCP URL.

Step 1: Copy the MCP URL

Open the MCP settings page in your admin under Settings → Pickware MCP. There you'll find your personal MCP URL. Copy this URL — you'll need it in the next step to establish the connection with your AI assistant.

Setting up the connection with Claude

Pickware will soon be listed as an official connector in the Claude directory. Until then, you can establish the connection via a custom connector: In Claude, open the connector directory under Settings → Connectors, click on Add custom connector, and paste your MCP URL from step 1. The remaining steps (login and usage) are identical.

Once Pickware is officially listed, set up the connection as follows:

  1. In Claude, open the connector directory under Settings → Connectors and search for Pickware.

  2. Click on Connect and paste your MCP URL from step 1 in the following dialog.

  3. You'll be redirected to the Pickware Admin and log in there as usual. Claude then receives a token with your user permissions.

  4. Done. In every new chat, you can now work directly with your Pickware data.

Connectors are available in the Claude plans Free, Pro, Max, Team, and Enterprise.

Configuring permissions

After connecting, your AI assistant shows you an overview of the available Pickware tools. Each tool has a description and an indication of whether it accesses your data for reading or writing. You can set how access should be handled for each tool:

  • Always allow — The tool is used automatically whenever the AI assistant needs it for your request.

  • Ask every time — You're asked for confirmation before every use.

  • Deny — The tool is completely disabled and can't be used.

Currently, most available tools are read-only — they query data but don't change anything. Write tools that can modify data (e.g. updating order line items or setting tags) are being rolled out gradually and can be controlled individually. This way, you always stay in control of what the AI assistant is allowed to do in your system.

Setting up the connection with ChatGPT

Example prompts

  • "Which products are below the reorder point and need to be reordered?"

  • "What did we order from supplier XY last quarter?"

  • "Which products with stock 0 appear in open orders, and what's the open quantity per product?"

  • "Where do I have a problem today – stock, shipping, or picking?"

Security and permissions

  • The MCP Server runs in your own Pickware installation. There's no additional central data sharing.

  • The connection only applies to your user account. Employees connect their AI assistant to their own Pickware user account.

  • You can disconnect the connection in your AI assistant at any time or revoke access in the Pickware Admin.

  • Write tools are released very conservatively by Pickware. Each write tool goes through a separate review and is activated individually.
