How can I assign products to a supplier?

Shopify — Assign products to one or more suppliers manually or via CSV import, including supplier number, minimum purchase, purchase steps and purchase price.

To assign products to a supplier, Pickware gives you two options. You can either assign each product manually, one by one, or edit the products in a file via CSV import and then import it into your Pickware Admin. With Pickware Advanced or Professional, you can also assign a product to several suppliers.

What information can I enter?

Under Purchasing → Supplier mapping or via the CSV import, you can maintain the following information for each assignment:

  • Product number

  • Product name

  • GTIN/EAN

  • Manufacturer

  • Manufacturer number

  • Supplier

  • Supplier number

  • Default supplier

  • Supplier product number

  • Minimum purchase

  • Purchase steps

  • PP (net)

In the product detail, you can maintain the following information for each assignment:

  • Supplier

  • Supplier number

  • Supplier product number

  • Minimum purchase

  • Purchase steps

  • Purchase price (gross / net)

  • Delivery time in days

In addition, Pickware shows you the columns Trade margin and Gross profit for each assignment, both in the overview under Purchasing → Supplier mapping and in the product detail on the Suppliers tab. Both are calculated from the selling price and the purchase price stored for that supplier.

The Gross profit is the amount in euros that remains after subtracting the purchase price from the selling price. The Trade margin states the same value as a percentage of the selling price.

Minimum purchase and purchase steps

The minimum purchase is the minimum order quantity of the product at the respective supplier. The purchase steps tell you in which quantity increments you can order the respective product from your supplier.

This information is then taken into account as a purchase suggestion when you create supplier orders. Both entries are optional, for example if your supplier has no requirements in this regard.

An example for the purchase steps: Your supplier only delivers a product by the pallet, and one pallet contains 60 units. If you enter 60 as the purchase steps, you can only order the product from this supplier in steps of 60, that is 60, 120, 180 units and so on.

The minimum purchase applies per product and supplier. The minimum order value, on the other hand, is maintained on the supplier under Purchasing → Suppliers, see How do I create and edit suppliers?. If the minimum purchase or the minimum order value is not reached, a note appears.

Delivery time per supplier

You can enter the delivery time in days for each supplier in the product detail on the Suppliers tab if it differs from the supplier's default delivery time. Pickware uses it to calculate the expected delivery date of the line item in a supplier order. It is shown on the line item as soon as the order has the state Confirmed. You can also enter the expected delivery date on the line item manually.

The option Select fastest supplier in the purchase list also uses the delivery time from the product supplier mapping. If no delivery time is stored there, the supplier's default delivery time applies.

Purchase prices from Shopify

Pickware takes the purchase price from the Cost per item field in the pricing section of the product in Shopify. This does not apply if the Sales Channel settings specify, via a checkbox, that purchase prices are not imported.

Maintain purchase prices that should apply in Shopify directly in Shopify.

Manual assignment

You can assign products to a supplier manually in several ways.

Via the supplier detail

Open the desired supplier and switch to the Products tab. Using the search field, you can select all products you want to assign to the supplier. If a product has this supplier as its default supplier, you can tell by the green checkmark in the Default supplier column.

Via the product detail

In the product detail on the Suppliers tab, you can select a supplier from the drop-down menu. You see all suppliers the product is assigned to in the list below, where you can adjust the properties for each one. You can recognize the default supplier by the star next to the name.

The first supplier you select automatically becomes the default supplier. You can change the assignment by clicking Mark as default supplier in the context menu of the desired row.

If you only use Pickware Starter, you can assign the product to only one supplier. In this case, the Supplier tab looks like this:

Via the product supplier mapping

Under Purchasing → Supplier mapping, you find an overview of all products and their assigned suppliers.

For all products that are already assigned to suppliers, you find one list entry per assignment. You can recognize the default supplier by the green checkmark in the corresponding column. If needed, you can also show only the default suppliers in the filter settings on the right.

For all products without a supplier assignment, you find one list entry each.

In the filter settings on the right, you find the option Show only products that are not yet assigned to a supplier. This lets you see the relevant products at a glance and assign them to a supplier.

To assign a product to a supplier, click the corresponding column and choose from the list of all available suppliers, that is, those suppliers the product has not yet been assigned to.

For products that have not been assigned to a supplier yet, you can only enter one supplier here, which is then automatically recorded as the default supplier. If you want to enter several suppliers, you can do so in the product properties or via CSV import.

Assignment via CSV import

First, configure the view under Purchasing → Supplier mapping to your liking. For example, you can use the List settings at the top right to hide table columns you don't need, or use the filter settings to filter the products so that only those that are not yet assigned to a supplier are shown.

Then click export to get a CSV file with all displayed products/product assignments and columns.

Tip: You can get a list of all products of a supplier by setting the Supplier filter in the filter settings on the right and then clicking Export.

In the CSV file, you can now enter the desired supplier for all products and upload the file again using the Import button. For the import to work, you only need the columns Product number and Supplier number.

Tip: Test the import first with a file containing only a few rows. Check the result and only then import all products.

You find the supplier number either directly next to the respective supplier or in your supplier's settings under Number.

For the import into Pickware, the CSV file must be UTF-8 encoded and use semicolons as the delimiter. You can find more details on this and where to find the corresponding configuration option in your spreadsheet program here.

Assigning variant products

When you assign a product with several variants to a supplier, change the properties of the assignment, or remove the assignment, you are asked every time you save whether you want to apply the changes to all other variants as well. The only exception is the supplier product number, which can only be changed individually for each variant.

Delete mapping

You can also delete existing product supplier mappings in several places. Besides deleting via the supplier properties (on the Products tab) or product properties (on the Suppliers tab), you can also delete a single mapping in Purchasing → Supplier mapping via the three dots at the far right next to the product, or delete several mappings at once.

To do so, select the desired entries in the list and then click the Delete product supplier mappings button that appears at the top of the list.

Alternatively, you can also delete mappings via CSV import.
Every exported CSV file contains the column Delete mapping for this purpose.
Enter Yes in this column for the desired entries, save the file, and then import it again into your Pickware Admin. The corresponding mappings are then removed automatically.

If you delete a mapping in which the supplier was set as the default supplier, the same logic applies automatically as with manual deletion — that is, if one exists, a subsequent default supplier is set.
