You can create supplier orders directly from the purchase list (Purchasing → Purchase list) by selecting the products you want there and clicking the blue button at the top. To do this, a supplier must be assigned to each product.
You can find out how to check whether your purchase list reaches your supplier's minimum order value here.
Create a supplier order without a purchase list
You don't have to create a supplier order via demand planning and the purchase list. You can also create it directly and add the line items yourself or import them via CSV file.
Open Purchasing → Supplier orders and click Create supplier order.
Select the supplier and save the order. For a CSV import, save it without products first.
Add the line items as described under Can I add products to supplier orders afterwards?, or import them via CSV file. You can read how the import works in How do I import a supplier order into the Pickware Admin?.
Edit a supplier order
Once you have created the supplier order(s), you are automatically taken to the overview of all supplier orders (Purchasing → Supplier orders). Click an order there to open it.
In this overview, you can click the colored labels for State and Payment state directly to filter the list by them. Combined with the filter icon next to the Supplier, you can, for example, see all open orders of a specific supplier. A double-click on one of the labels instead opens the inline editing of the respective state, as usual.
Using the blue Edit button, you can edit the fields in the upper area under Summary and, for example, change the destination warehouse. The address of the selected warehouse is shown on the order document as the shipping address.
When you create the order, it takes over the currency and the taxation type of the supplier. In the summary, you can see the Exchange rate the order was created with and the order value in Total (default currency).
In edit mode, you can change the currency of the order as long as no goods receipt has been completed for it yet. The line item prices are then converted at the current rate. You can find out more in the article How can I purchase from suppliers in a foreign currency?.
In the Sales Channel field, you can select the Sales Channel for which the order document should be created. If a Sales Channel is selected, the logo, billing address, and business information from the document configuration of that Sales Channel are used on the document. The shipping address is still controlled via the selected warehouse. If no Sales Channel is selected, the global document configuration is used.
You can find out how to adjust the document configuration per Sales Channel in the article How do I customize the documents for my supplier orders?.
In the Order line items section, you can double-click a row to adjust the order quantity and purchase price, or remove a product from the order via the context menu.
If you change the purchase price here, a prompt appears asking whether you want to permanently apply the price to the respective supplier. If this is the default supplier, the purchase price in the product details on the General tab is overwritten accordingly. If the currency of the order differs from the currency of the supplier, changed prices are not applied to the supplier.
If at least one goods receipt has already been recorded for a line item and its purchase price differs from the ordered purchase price, a warning icon appears next to the purchase price of the line item. This way, you can see right away that the purchase price actually delivered does not match the ordered price, without having to manually compare the order and the goods receipt.
If you have set a minimum order value for the supplier, Pickware also shows you here whether it is reached: In the Purchasing → Supplier orders overview, a warning icon appears next to every order of this supplier as long as its total is below the minimum order value. In the opened order, the same warning icon appears next to the total row (net) of the order line items. The warning icon is purely informative – it does not block sending or changing the state of a supplier order. The minimum order value applies in the currency of the supplier. If the currency of the order differs from it, Pickware does not check it.
Print product labels from a supplier order
You can create product labels for the line items of a supplier order directly from the order – for example, to prepare the labels before the goods receipt.
To do this, open the supplier order and go to the Line items section. Using the Print all product labels button, you create labels for all line items of the order. The number of labels per line item is based on the Order quantity.
If you only want to print individual line items, select them via the checkbox column and use the Print selected product labels action for your selection.
The window for setting the barcode content, layout, and size is identical to the label creation from the product overview. You can find out more in the article How do I create labels for my products?.
Next to the blue edit button at the top, you will find another button with a downward arrow. There you have various actions available for the supplier order.
On the Documents and photos tab, you can upload files directly to the supplier order, e.g., quotes, order confirmations, or other documents from your communication with your supplier.
To do so, click the Upload button and select one or more files (PDF, PNG, and JPG/JPEG are supported). The uploaded files are displayed as separate tiles in the Supplier order section and can be deleted again via the context menu.
In addition, photos and documents that were recorded via the WMS App for linked goods receipts are displayed here. These appear in a separate section with the respective goods receipt number as the headline and cannot be deleted via the supplier order.
On the Comments tab, you can view comments that were recorded for the supplier order or add a comment yourself via the Edit button.
Note: Comments on the supplier order are purely internal. They are not displayed in the WMS App.
On the Custom fields tab, you can maintain further information such as internal references, order notes from the supplier, reconciliation flags, or approval notes. To do this, corresponding custom fields must have been configured beforehand. You can find detailed information on this in this article.
Well-maintained custom fields can help you with a wide range of processes and are completely customizable to your needs. For example, you can use them to:
Map internal approvals & review steps
Approved by team lead
Budget checked
Second approval required from €1,000
→ The complete approval status is visible directly on the supplier order — without external lists or email coordination.
Record agreed delivery terms & deviations
confirmed delivery date
partial delivery approval
substitute item agreed
deviating packaging or quantities
→ Everything that was clarified in the exchange with the supplier is transparently documented in the system.
Individual process notes for the goods receipt
Check samples first
Straight to the photo warehouse
Quality inspection required
Campaign: Black Friday
Special placement: Storefront
→ The goods receipt team can see right away how to handle the order — without anyone having to be informed manually.
Note: You can then send your supplier order. You can find out how this works here: How do I send a supplier order?
Can I add products to supplier orders afterwards?
If you want to add products to an existing supplier order afterwards, you can do so directly in the order.
Note: Completed supplier orders can no longer be changed. In this case, the input bar is grayed out and shows the message "Line items cannot be added to completed supplier orders."
To do so, open the relevant order and click Edit at the top. Then scroll to the Order line items section. Here you will now find a search bar with the message: Select a product to add it to this supplier order.
Here you can search by product name, product number, supplier product number, or manufacturer number. Only products that are already assigned to the respective supplier and are not yet part of the order are displayed.
Select a product to add it. A window then opens in which you can set the Order quantity and the Unit price.
Note: You can find more about sending supplier orders afterwards here.
