With Pickware, you can add line items to a new or existing supplier order via a CSV import. This allows you to transfer supplier orders from external demand planning tools to Pickware and then continue with the classic Pickware purchasing process.
Create a supplier order
A supplier order must already exist before you can import line items via CSV.
If you haven't created a supplier order yet, here you can find out how to create a supplier order. To import line items, the supplier order doesn't need to contain any line items beforehand. You only have to select the corresponding supplier.
After the supplier order has been saved, you can continue with the import.
Import line items
Matching line items
So that the line items in the CSV file can be matched correctly to the products in your shop, the column Product number or Supplier product number is required. If both are specified, the product number takes precedence.
If several products from one supplier have the same supplier product number, all of those products are added to the supplier order. If a product hasn't been assigned to the supplier yet, a new product supplier mapping is created.
If the product is already part of the supplier order but is added again via the CSV, the product details are updated. If a product with an order quantity of 0 is included in the CSV file, it is removed from the supplier order.
Columns of the CSV file
For the import and export of the supplier order, the columns can be configured as needed. To do so, go to the supplier order and click List settings under Order line items (Bestellpositionen). Here you can set the order of the columns. You can also set which columns should be shown in the export and in the order overview.
For a correct import, the columns Product number or Supplier product number and Order quantity are mandatory.
Note: If the import aborts at the planned delivery date, the date format in the CSV file is incorrect. The format DD.MM.YY is not accepted. It's best to take the date format from a previously exported CSV file of a supplier order.
Specifying the purchase price correctly
The purchase price can be specified either as the net purchase price for a single product or as the (net) total of the line items. If only the net total is specified, small deviations may occur when the individual line items are calculated.
If neither the unit price nor the total is specified, the purchase price is determined as follows:
Either the purchase price from the product supplier mapping is used,
otherwise the purchase price on the product is used (this corresponds to the purchase price of the default supplier).
If neither exists, €0.00 is used.
Overwrite the details of the product supplier mapping
By importing the CSV file for supplier orders, you can overwrite the details of the product supplier mapping if the data in the CSV file differs from the existing values. To do so, turn on the toggle Neue Werte in die Produkt-Lieferanten-Zuordnung und das Produkt übernehmen (Apply new values to the product supplier mapping and the product) under Import.
The following fields are updated as a result:
GTIN/EAN (product)
Manufacturer number (product)
Manufacturer (product)
Supplier product number (product supplier mapping, if product number is specified)
PP (product supplier mapping, if specified)
Please note that the following values have no effect and are not applied as new values:
PP (gross)
Total (gross)
Delivered quantity (no goods receipt is created here)
Product name
Transferring open supplier orders from Shopware 6
If you're switching from Shopware 6 to Shopify, you can transfer open supplier orders to the Pickware Admin via CSV import.
Note: There is no bulk export of all supplier orders. You transfer each open order individually.
Export the open supplier order as a CSV file in the Shopware Admin.
In the Pickware Admin, create an empty supplier order for the same supplier and save it.
Import the CSV file into this order as described above.
